    AMIS Analog Networking
    31 Interactions with Other Features
for AMIS two-step ad d ressing c annot b e inc lud ed on mailing lists.
Messages addressed to remote recipients will be put in the outcalling
q ueue and d elivered d uring one of the intervals sp ec ified on the Mac hine
    sc reen.
nMessag e Delivery: This feature is an extension of the AMIS Analog
Networking feature. Rather than send ing a messag e to a remote voic e
mail system, this feature p ermits sub sc rib ers to send a messag e to any
touc h-tone p hone (inc lud ing someone’s home).
nMessag e Send ing Restric tions: The ad ministrator c an ad minister whic h
sub sc rib ers c an send AMIS analog messag es, and to whic h remote
systems these sub sc rib ers c an send messag es.
nMultiling ual: If the Multiling ual feature is ac tive, AMIS network outc alls will
b e mad e using the system announc ement set.
nOutc alling: The maximum numb er of outc alling p orts, administered via the
System-Parameters Outc alling sc reen, inc lud es p orts used for Outc alling ,
Messag e Delivery, and AMIS Analog Networking . Also, the times
ad ministered on the Mac hine sc reens for AMIS Analog and Messag e
    Delivery messages to be delivered
must b e a sub set of the outc alling
p eriods administered via the System-Parameters Outc alling sc reen or the
AMIS analog messag es will not b e transmitted .
nPersonal Direc tory: In one-step ad d ressing only, an alias may be c reated
and assigned to any remote AMIS rec ip ient just as it c an be for a loc al
sub sc rib er. If the remote sub sc rib er is nonad ministered , however, the
alias must initially b e assig ned using the extension numb er mod e.
    nPri o r it y M e s sa g e: Priority messag es will b e d elivered to remote AMIS
systems, but they will not b e rec og nized as p riority messages by remote
    systems.
nPrivate Message: You c annot send private messag es via the AMIS analog
feature. Sub sc rib ers who d esig nate AMIS messag es as p rivate are
notified b y the DEFINITY AUDIX system that their messag e was
    undeliverable.
nSec u ri t y Pas s w ord: There is no sec urity p assword for remote AMIS analog
    systems.
    NOTE:
The system ad ministrator should ensure that all sub sc rib ers
c arefully sec ure their mailb oxes with a g ood p assword to p revent
unauthorized p ersons from ac c essing the system and send ing
    AMIS analog messag es.
nTraffic Rep orts: The traffic rep orts that show the most useful statistic s for
AMIS Analog Networking ac tivities (c omb ined with Messag e Delivery
ac tivities) are g enerated using the Sp ec ial Features Daily Traffic , Sp ec ial
Features Hourly Traffic , Sub sc rib er Daily Traffic , and Sub sc rib er Monthly
    Traffic sc reens.

    34 Applications
    Applications
A variety of announc ement sets are availab le with the DEFINITY AUDIX system
for use in various reg ions of the world . Eac h sub sc rib er c an have up to three
ac tive announc ement sets — c all answer p rimary, c all answer sec ond ary, and
login — as long as the Multiling ual feature is turned on for the system and the
announc ement sets have b een assig ned to the sub sc rib er on either the
Sub sc rib er or the Class of Servic e sc reen.
Using multip le announc ement sets with the Multiling ual feature enab les the
DEFINITY AUDIX system to b e an effec tive voic e messag ing tool in areas of the
world where two or more lang uag es pred ominate and in markets where there is a
need to offer teletyp ewriter (TTY) servic e for hearing -imp aired users. The
Americ ans With Disab ilities Ac t enc ourages emp loyers to make reasonab le
ac c ommod ations for emp loyees with d isab ilities, inc lud ing emp loyees who are
    hearing -imp aired .
The system ad ministrator c an p ersonalize and c ustomize the DEFINITY AUDIX
system as need ed . Ac tivity 9 (System Ad ministration) on the DEFINITY AUDIX
Ac tivity Menu lets the system ad ministrator perform the following tasks:
    nListen to system announc ements.
nRec ord , c hang e, or listen to announc ement frag ments (frag ments are
short sec tions of DEFINITY AUDIX voic e p romp ts).
nUse a voic e terminal to rec ord and listen to sub sc rib ers’ names. Remote
mac hine names also may b e rec ord ed .
    Considerations
    !WA R N I N G :
Inc orrec t use of the announc ement c ustomization c ap ab ility c ould b e
hazard ous to the integ rity of the DEFINITY AUDIX system announc ements. If
you d ec id e you must c hange announc ements, you must be extremely
c areful and p rec ise. If you make a mistake, the resulting announc ements
c ould b e erroneous and rec tifying mistakes c ould b e frustrating and
time-c onsuming. It is strong ly rec ommend ed that you d o not attemp t to
mod ify any announc ements without the help of your Luc ent Tec hnologies
    software specialist.
Before c ustomizing any announc ements, system ad ministrators should b ec ome
familiar with the c omp osition of eac h announc ement b y stud ying the app rop riate
announc ement c ustomization g uid e if available. An announc ement c ustomization
g uid e is availab le for eac h announc ement set.

    Requirements
There are several requirements for using announc ement sets.
nBefore installing an ad ditional announc ement set, ensure that there is
enoug h d isk sp ac e for b oth the announc ement set and voic e text storag e.
    See
    DEFI N I TY A U D I X Sy s t e m — Sy s t e m D e s c r i p t i o n, 585-300-214, for
estimates of the amount of storage spac e req uired b y eac h
    announc ement set. See
Installation and Switc h Administration for the
    DEFINITY AUDIX System Release 4.0,
     585-300-122, for instruc tions on
installing an add itional announc ement set.
nThe Multiling ual feature must b e ac tivated to use multip le announc ement
sets with the DEFINITY AUDIX system. See the Multiling ual feature for
more information on using announc ement sets in a multilingual
    environment.
nThe DEFINITY AUDIX system ad ministrator must assig n
announc ement-c ontrol p ermission to ind ivid ual sub sc rib ers using the
COS or the Sub sc rib er sc reens. This announc ement-c ontrol p ermission
c an b e used to rec ord subsc rib ers’ names or c ustomize announc ements
and should be reserved for system ad ministrators. The Announc ement
sc reen enab les system ad ministrators to mod ify announc ements.

    36 Feature Operation
    Feature Operation
Part of DEFINITY AUDIX system ad ministration req uires using a voic e terminal to
rec ord system announc ements and sub sc rib ers’ names (or having the
sub sc rib ers rec ord their own names using the Name Rec ord By Subsc riber
feature). The following list id entifies the rec ord ing ac tivities available:
nThe most c ommon task is rec ord ing and c hang ing subsc rib ers’ names
that are voic ed b y the DEFINITY AUDIX system. Voic e mailb ox
ad ministration req uires rec ord ing new subsc ribers’ names in the names
d ata filesystem. This allows the DEFINITY AUDIX system to announc e the
names of c alled sub sc rib ers for Call Answer g reeting s and the names of
sub sc rib ers who send or leave messag es.
The name rec ord ing should be d one in a q uiet area using a g ood voic e
terminal (always listen to names after voic ing them to ensure the rec ord ing
    is c lear and c orrec tly p ronounc ed ). Names may b e a maximum of 8
    sec ond s long .
    NOTE:
If a sub sc rib er’s name is not rec ord ed , only the extension numb er is
    voiced.
nIf the Automated Attend ant or Bulletin Board features are used , a
d esig nated sp eaker (suc h as the system ad ministrator or other
resp onsib le p arty) must rec ord the announc ement or list of menu c hoic es.
This activity is performed like recording a subscriber’s personal greeting
(for more information, see Rec ord ing a Personal Greeting in the
    Multip le
    Personal Greeting s
feature d esc rip tion). If using the Multiling ual feature
and the Call Answer Lang uag e Choic e field is set to y (yes), a Dual
Lang uag e Personal Greeting is rec ord ed instead of a Multiple Personal
    Greeting .
nOccasionally the system administrator may rerecord DEFINITY AUDIX
announc ements or frag ments. This ac tivity should b e p erformed only
    when necessary.
This sec tion d efines the announc ement d irec tory and its operation. For
p roc ed ures on rec ording sub sc rib er names and system announc ements, see the
DEFINITY AUDIX System — Ad ministration, 585-300-507, d oc ument.
     Announcement Directories
System announc ements are stored in the announc ements d irec tory
    (/audix/annc
). Names rec ord ed b y the system ad ministrator (or rec ord ed b y
sub sc rib ers) are stored in the names d irec tory (/aud ix/nm).

Two announc ement versions of U.S. Eng lish are availab le: U.S. Eng lish

Eng lish Terse or c reate your own set of announc ements b y c opying and
mod ifying the U.S. Eng lish or U.S. Eng lish Terse sets. Any of the other
p urc hasab le announc ement sets c an b e c ustomized after b eing installed
    on the DEFINITY AUDIX system.
    Changing Announcement Fragments
Announc ement frag ments are numb ered p iec es of voic e d ata that are c omb ined
in the system to sc reen the p romp ts and announc ements the system p lays for
sub sc rib ers and c allers who ac c ess the system. The frag ment numb ers must b e
c omb ined in the rig ht ord er for an announc ement to p lay c orrec tly, and one
frag ment may affec t many announc ements. Announc ements are hand led in the
    DEFINITY AUDIX system as follows:
nAnnounc ements are c omp osed of one or more frag ments.
nFrag ments are ind ivid ually rec ord ed p iec es of sp eec h.
nSub sc rib er and mac hine names are sp ec ial announc ement frag ments.
System announc ements are listed by frag ment numb er and text in eac h of the
announc ement c ustomization guid es listed und er
Consid erations. If you need to
c hang e an announc ement or frag ment, you must use the c orrec t frag ment
numb er. Before c hang ing a frag ment, you should estimate the imp ac t the
c hang e will have on other announc ements in the system sinc e one frag ment c an
b e used in numerous announc ements. Frag ments should b e rec ord ed in a q uiet
area using a g ood telep hone set.
System ad ministrators should c onsid er the g lobal imp lic ations of c hanging eac h
    frag ment:
nIf the announc ement frag ments you want to c hang e are not used in other
announc ements that you d o not want to c hang e, you simp ly c an rerec ord
them using your touc h-tone telep hone.
nIf the announc ement frag ments you want to c hang e are used in other
announc ements that you d o not want to c hang e, you c an c reate new
frag ments to assoc iate with just the announc ements you want to c hang e.
You c an ad d , save, c hang e, remove, or c opy announc ement sets
    or sp ecific
frag ments using the Announc ement sc reens. See the

The Automated Attend ant feature p resents c allers with a
voic ed menu of op tions, then routes c alls ac c ord ing to the
keys the caller p resses. Calls may b e routed to any tele-

b ox, where the c aller will hear the sub sc rib er’s Call Answer
g reeting (either p ersonal or system) or a p romp t to leave a
message for the sub sc rib er. If the c aller d oes not resp ond to
the attend ant menu within a sp ec ified p eriod of time, the c all

the caller to leave a message.
The automated attend ant also c an b e ad ministered to route a

    40 Applications
    Applications
This feature is p artic ularly useful in d iverse org anizations that hand le many
external c alls. Its nearly unlimited routing c ap ab ilities have many ap p lic ations,
esp ec ially in the servic e ind ustries. Customers need only sp ec ify the nature of
their b usiness to have their c alls routed to the ap p rop riate rep resentative, voic e
mailb ox, or Bulletin Board . The following sec tions id entify only a few of the
ap p lic ations where an automated attend ant c an b e used .
    Freeing Personnel for Other Tasks
While an automated attend ant is hand ling inc oming c alls, the p ersonnel who
would otherwise b e need ed to answer these c alls are availab le for other tasks.
For examp le, p eop le who c all a c omp any’s main or d irec tory-listed number hear,
instead of a rec ep tionist, a g reeting or menu telling them whic h touc h-tone b utton
to p ress to b e d irec ted to the dep artment of their c hoic e. These c allers c ould
reac h an ag ent b y selec ting a menu op tion or b y waiting for the system to
    automatic ally transfer them.
In ad dition to menu c hoic es, eac h automated attend ant menu c an b e
ad ministered to allow c allers to transfer to an extension of their c hoic e. This
allows the DEFINITY AUDIX system to p rovide Direc t Inward Dialing (DID)
servic e for an entire c omp any.
    Businesses that Receive Many Calls
At b usinesses that typ ic ally rec eive many inc oming c alls, suc h as telemarketing
g roups, many c ustomers may wait for servic e for long p eriod s of time. Using an
automated attend ant in this c ase c ould inc rease c ustomer satisfac tion and
    p romote sales as follows:
nThe switc h c ould be ad ministered to route c allers to an automated
attend ant after waiting a c ertain leng th of time or when a c ertain numb er of
c alls are in q ueue (req uires vec toring ).
nThe attend ant menu c ould g ive c allers the op tion of leaving a messag e for
a return c all, or remaining on hold . If c allers elec t to leave a messag e, they
could be routed to a general DEFINITY AUDIX voice mailbox with Call
Answer p ermission. After hearing the messag e, the ag ent c an b e
