    Feature Descriptions 585-300-206 Issue 5

    DescriptionPoints to Remember
    Administration Screens
The Personal Direc tory feature p ermits eac h sub sc rib er to
c reate a p rivate list of c ustomized names. These
    aliases cor-
resp ond to other subsc ribers. As with the system d irec tory,
the p ersonal d irec tory c an b e q ueried by name, or used for
add ressing messag es, transferring c alls, and c reating mail-
    ing lists.
    Eac h alias must b e used in name-ad d ressing mod e. For
g reater c onvenienc e, users who use the p ersonal d irec tory
often should have their d efault ad dressing mod e set (b y the
system ad ministrator) to name-ad d ressing instead of exten-
sion-ad d ressing . When users refer to other users either b y
name or alias, the DEFINITY AUDIX system first searc hes the
send er’s p ersonal d irec tory, then searc hes the system d irec -
tory. The system makes the translation from alias to user as
nec essary and announc es the name and /or numb er as usual
ac c ord ing to ap p lic ation.
Wh o h a s i t: All sub scrib ers have ac cess to the
p ersonal d irec tory via the
Sub sc rib er Ad ministration Menu
(op tion 5 on the Ac tivity Menu).
    Wh o c o n t r o l s i t: Sub sc rib ers c ontrol their own
    p ersonal d irec tories: c reating
them and ad d ing and d eleting
    names from them.
    Wh o c a n a c c e s s it: Only ind ivid ual subsc rib ers c an
ad d or d elete entries in their own
p ersonal d irec tories. However,
c allers who reac h a sub sc rib er’s
voic e mailb ox via the Call Answer
feature have ac c ess to the
sub sc rib er’s Personal Direc tory for
    use with the (Transfer)
    command.
    *T
nSub sc rib ers are resp onsib le for
    c reating and maintaining their
own p ersonal d irec tories.
nUsers must be in name address-
ing mode to use an alias.
    nEach personal directory is limited
    to 25 names (aliases).
nIt is possible to assig n more than
one alias in a p ersonal d irec tory to
one name in the system d irec tory.
nAliases are limited to 10 c harac -
    ters.
nIf a sub sc rib er is deleted from the
    system, the nightly Personal
Direc tory and Mailing List aud its
removes the sub sc rib er from all
other sub sc rib ers’ Personal Direc -
    tories.

    Applications
The p ersonal d irec tory allows sub sc rib ers to d raw information from the system
directory more efficiently. For example, it can be used to avoid spelling out
c ommon names that have many nearly id entic al permutations (Smith, Jones,
etc .) in the larg er d irec tory. It also p rovid es an ab b reviated d ialing c ap ab ility: a
user mig ht use the shorter alias
pac for the name Lisa Pac kard, for examp le. This
c an b e used c reatively for c od ing aliases ac c ord ing to various work assignments
    or resp onsib ilities.
    Requirements
Personal Direc tory has no req uirements other than those of the DEFINITY AUDIX
    system itself.
    Feature Operation
The d irec tory is c reated and edited via the Personal Direc tory Menu. The
DEFINITY AUDIX system ac c esses the Personal Direc tory eac h time you enter
names when ad d ressing voic e mail, c reating mailing lists, ac c essing the

    Interactions with Other Features
This sec tion id entifies the interac tions of the Personal Direc tory feature with
switc h features and other DEFINITY AUDIX features.
    Interactions with Switch Features
The Personal Direc tory feature interac ts d irec tly with only one switc h feature, Call
    Tr a n s f e r
. When transferring a c all, users may enter an alias from the Personal
Direc tory in p lac e of a name.
    Interactions with Other DEFINITY AUDIX
    Features
The Personal Directory feature interac ts with other DEFINITY AUDIX features as
    follows:
nAMIS Analog Networking: An alias may be c reated and assig ned to any
remote AMIS rec ip ient (one-step ad dressing only) just as it would b e for a
loc al sub sc rib er. If the remote sub sc rib er is nonad ministered , however,
the alias must initially b e assig ned using the extension numb er mod e.
nDial-b y-Name: When dialing by name, users c an enter aliases from the
    Personal Direc tory.
nDirec tory: When looking up a name entered b y a subsc riber, the system
moves on to the system Direc tory if it first d oes not find the name in the
sub sc rib er’s Personal Direc tory.
nMailing List: When c reating a mailing list, sub sc rib ers c an enter aliases
instead of names. They c an also use aliases when id entifying the owner of
    a mailing list.
nMessag e Delivery: An alias may b e c reated and assig ned to any remote
Message Delivery recipient just as it would be for a local subscriber.
However, if the remote rec ip ient is nonad ministered , the alias must initially
b e assig ned using the extension numb er mod e.
nMessag e Send ing Restric tions: The system d oes not c hec k for send ing
restric tions while the subsc riber is c reating a personal d irec tory. This
means that, thoug h subsc riber A may b e restric ted from send ing voic e
mail to sub sc rib er B, A c an still keep an alias for B in a p ersonal direc tory.
This is useful as a speed -d ial func tion, p artic ularly for c all transfers.
nName Ad dressing: When ad d ressing b y name, sub sc rib ers c an use
aliases from the Personal d irec tory.
nVoice Mailb ox: Personal Direc tory was orig inally desig ned for use with
Ad d ressing Messag es; this is its p rimary func tion. When ad dressing b y
name, users c an enter aliases from the Personal Direc tory.
