Bulletin Board 73 DEFINITY AUDIX System Release 4.0 Feature Descriptions 585-300-206 Issue 5 May 1999 DescriptionPoints to Remember Administration Screens The Bulletin Board feature (also c alled Information Servic e) allows the system ad ministrator to set up a sp ec ial numb er that p lays a rec orded messag e to the c aller. Essentially it is a listen-only extension for posting messages. Callers reach a Bulletin Board either b y d ialing the numb er d irec tly, or by b eing forward ed to the Bulletin Board extension from another numb er or an Automated Attend ant. The DEFINITY AUDIX system simp ly plays the messag e, and d oesn’t p romp t the c aller for inp ut. The c aller is exp ec ted to hang up after hearing the messag e. It is not d esig ned to rec ord any messag es from c allers b ec ause suc h a c ap ab ility would require a large, irregularly used mailbox that would waste resourc es. Bec ause the Bulletin Board extension is set up by the system administrator as a “ dummy” subsc riber, its mailb ox c an rec eive voic e mail sp ec ific ally ad d ressed to that extension. Wh o h a s i t: Normally, DEFINITY AUDIX sub scrib ers d o not have this form of Call Answer; it is used for nonstaffed extensions. These extensions are assig ned Bulletin Board p ermission by the system administrator.Many Bulletin Boards c an b e set up p er system. Wh o c o n t r o l s i t: The system administrator assig ns Bulletin Board s on a p er-extension basis. They are controlled by whomever knows the password for eac h extension. Wh o c a n a c c e s s it: Any loc al or outsid e c aller c an d ial the Bulletin Board numb er. Callers may not leave a messag e, however, sinc e it is a listen-only servic e. nMessag es c an b e up to 20 min- utes long . nA Bulletin Board d oes not req uire the c aller to use a touc h-tone tele- phone, but it can be administered to respond to touc h-tone c om- mand s suc h as (Restart) (CL-mod e only), (Transfer), or (Esc ap e to Attend ant). nBulletin Board s are simp ly Voic e Mailb oxes with only half the nor- mal Call Answer func tion: they c an g reet the c aller, b ut c annot rec ord a messag e from the c aller. One c ommon use is to p rovid e information ab out a tool used freq uently b y sub sc rib ers, suc h as a mainframe c omputer or the DEFINITY AUDIX system itself. Another c ommon use is to rep lac e a former emp loyee’s voic e mailb ox with a b ulletin b oard to inform c allers of that p erson’s rep lac ement, and /or new numb er. If resourc es permit, many Bulletin Board extensions c an b e set up , eac h und er a d ifferent news c ateg ory. Projec t manag ers might p ost d aily or weekly informal status rep orts in this way, for example. Suc h a use allows manag ers to stay informed without inc urring p ap er c lutter or wasting c leric al resourc es. Callers c an b e d irec ted to various b ulletin b oards b y an automated attend ant: “For fishing c ond itions at Errelson Reservoir, p ress 1; for fishing c onditions at Lake Web ber, Press 2,...” . (Use the c all-answer c all-treatment p rovided b y the Automated Attend ant for this type of ap p lic ation.) An Automated Attend ant c an b e used to p rovide the Bulletin Board messag e in several lang uag es. The main attend ant would tell c allers to c hoose a lang uag e. Nested attend ants would present the messag e in the selec ted lang uage. See the Automated Attend ant feature for more information. By c omb ining the Bulletin Board feature and the Multip le Personal Greeting s feature, Bulletin Boards c an p resent d ifferent announc ements for d ifferent c all types (internal/external c allers and in-hours/out-of-hours c allers). Bulletin Board s c an b e rec ord ed using the Multiling ual feature. The Call Answer Lang uag e Choic e field c an b e set to y (yes) on the Sub sc rib er or COS sc reen. This allows the Bulletin Board messag e to b e rec ord ed in two lang uag es using the Dual Lang uage Personal Greeting s c ap ab ility. The rec ord ed messag e tells c allers, in the alternate lang uag e, to p ress to listen to the messag e in the alternate lang uage. If the Call Answer Lang uag e Choic e field is set to y (yes), the Multiple Personal Greeting s feature c annot b e used . Requirements The Bulletin Board feature req uires no spec ial hard ware or software. The system must simp ly ac c ommod ate as many extra extensions as will b e used for Bulletin Board s. The storag e sp ac e req uired for the announc ement is nominal. Its ad ministration is similar to that for extensions within a stand ard c lass of servic e. NOTE: Bulletin Board s can rec eive Voice Mail ad dressed d irectly to their mailb oxes. Users should take c are not to ad d ress messag es to Bulletin Board extensions unless someone has b een d esignated to rec eive them, otherwise the mailboxes will b e p erp etually full. Bulletin Board s c annot rec eive messag es via the Call Answer feature — c allers c annot leave messag es after listening to the Bulletin Board announc ements. Callers may use the Guest Password feature to send voice mail to a Bulletin Board mailb ox, however. Feature Operation Bulletin Board messag es are rec ord ed just as are p ersonal g reeting s (see the Multiple Personal Greeting s feature.) Internal or outsid e c allers reac h a Bulletin Board either by dialing the number directly, or by being forwarded to the Bulletin Board extension from another numb er or an Automated Attend ant. Up on answering the c all, the DEFINITY AUDIX system immed iately p lays a p re-rec ord ed messag e or announc ement. Interactions with Other Features This sec tion id entifies the interac tions of the Bulletin Board feature with switc h features and other DEFINITY AUDIX features. Interactions with Switch Features The Bulletin Board feature interac ts with switc h features as follows: Call Forward ing: The Call Forward ing feature may b e used to forward or red irec t c allers to the Bulletin Board extension (for examp le, a main number could redirect callers to this message after regular working hours). Call Forward ing must b e c orrec tly ad ministered on the switc h if it is to b e used in c onjunc tion with a Bulletin Board . Call Coverag e: Normally, a Bulletin Board should have a call-coverage p ath direc ted to the DEFINITY AUDIX system with zero ring s. Interactions with Other DEFINITY AUDIX Features The Bulletin Board feature interac ts with other DEFINITY AUDIX features as follows: Automated Attend ant: The Automated Attend ant feature c an b e used to red irec t c allers to a Bulletin Board extension as one of its menu op tions, it c an b e used to allow the c aller to selec t one of several lang uages in whic h to hear the messag e, or it c an be set to time-out to p lay a stand ard Bulletin

Thoug h seld om d one, it is p ossib le to ad minister an automated attend ant to d irec t c allers to leave a messag e for the b ulletin b oard via the Guest Password p rompt. nCall Answer: Bulletin Board s have the Personal Greeting portion of the Call Answer feature, b ut no c ap ab ility for rec ord ing a Call Answer messag e. nGuest Password: You c an ac c ess a Bulletin Board mailb ox via the g uest password to leave a voice mail message. This is a special use of the Bulletin Board , however, as the extension is seld om staffed and its mailb ox seld om used . It is also a sp ec ial use of the Guest Password , as normally the p assword is used to leave mail only at staffed extensions. nINTUITY Messag e Manager: The Bulletin Board recording can be made using the I NTUITY Messag e Manag er. nMultiling ual: The Call Answer Lang uag e Choic e field c an b e set to y (yes) for the Multiling ual feature. This allows the Bulletin Board messag e to b e rec ord ed in two lang uag es using the Dual Lang uag e Personal Greeting s c ap ability. The rec ord ed messag e tells c allers, in the alternate lang uag e, to p ress to listen to the messag e in the alternate lang uag e. nMultiple Personal Greeting s: Bec ause a b ulletin b oard messag e is a sp ec ial ap p lic ation of a p ersonal g reeting , the Multip le Personal Greeting s feature c an b e used with b ulletin b oard s to exp and their versatility. Sp ec ific ally, eac h b ulletin b oard c an have up to three messag es assig ned to it: one for internal c allers d uring offic e hours, one for external c allers d uring offic e hours, and one for all c allers after offic e hours. As the extension is never staffed , the busy/no answer messag e assig nments d on’t ap p ly. If no p ersonal g reeting is rec ord ed and ac tive for the Bulletin Board extension, c allers will hear “ Announc ement not rec orded . Try ag ain later .” If the Call Answer Lang uag e Choic e field is set to y (yes) on the Sub sc rib er or COS sc reen, the Dual Lang uage Personal Greeting s c ap ability of the Multilingual feature is used instead of the Multip le Personal Greetings feature. nPlayback and Recording Control: Callers c annot c ontrol the p layb ac k of Bulletin Board messag es. However, sinc e the Bulletin Board announc ement is rec ord ed just as a p ersonal g reeting is rec ord ed , you have ac c ess to all the op tions for p ausing , rerec ord ing, etc ., whic h help you p rod uc e a hig h q uality announc ement. nVoice Mail: The Bulletin Board mailb ox c an rec eive only p rerec ord ed voic e mail specifically addressed to the Bulletin Board extension. It cannot rec eive Call Answer messag es. *1

Call Answer works in c onjunc tion with the Call Forward ing and Call Coverag e features on the switc h. Who has it: Only sub sc rib ers who have b een given Call Answer permission by the system ad ministrator have the Call Answer feature. Who c ontrols it: The system administrator assig ns Call Answer on a p er-sub sc rib er or c lass of servic e b asis. The switch administrator must set up the c all-c overag e paths or Message Se r v ic e Sy st e m ( M SS) f o r c a l ls t o b e automatic ally red irec ted to the DEFINITY AUDIX system. Sub sc ribers may also use Call Forward ing or other switc h features to manually red irec t c alls to the system. Who c an ac c ess it: Any c aller c an leave messag es throug h Call Answer. Touc h-tone ac c ess allows the c aller to use b asic ed iting and c ontrol options when leaving a messag e. Only the c alled sub sc rib er c an ac c ess Call Answer messag es p lac ed in that sub scrib er’s mailb ox.nSub sc rib ers c an “ sc reen” (listen to) Call Answer messag es as they are b eing rec ord ed if the DEFIN- ITY AUDIX system is ad ministered in d isp lay set (DS) Mod e. The lis- tener c an interrup t the DEFINITY AUDIX system to sp eak to the c aller, and p ress to d is- c onnec t the system. (See the Call Sc reening (DS Mode Only) fea- ture.) nEither b efore or after a sub sc rib er leaves a Call Answer messag e for someone (CL mode only), the sub sc rib er c an ac c ess his/her own mailb ox without hang ing up by pressing and logging into the DEFINITY AUDIX system. nIf a sub sc rib er’s mailb ox is full, the c aller will b e informed that no messag e c an b e left and the caller may b e p rovid ed with sev- eral op tions. **X *R Call Answer C O S, Su b

Also, d ep end ing on switc h ad ministration, c alls may be red irec ted to the DEFINITY AUDIX system for any of the following c ond itions: nRed irec t only internal c alls to the DEFINITY AUDIX system nRed irec t external c alls to the DEFINITY AUDIX system nRed irec t c alls to the DEFINITY AUDIX system while the sub sc rib er’s line is busy nRed irec t c alls to the DEFINITY AUDIX system if the sub sc rib er d oesn’t answer nRed irec t all c alls to the DEFINITY AUDIX system using Send All Calls or Cover All Requirements The switc h must b e c orrec tly ad ministered to p rovid e Call Forward ing or Call Coverag e features for Call Answer to work prop erly. The Call Forward ing feature on the switc h allows sub sc rib ers to red irec t inc oming c alls d irec tly to the DEFINITY AUDIX system b y supp lying the DEFINITY AUDIX extension as the forward ing numb er. The Call Coverag e feature allows the DEFINITY AUDIX system to automatic ally answer an inc oming c all when the sub sc rib er is b usy or d oes not answer. Feature Operation Inc oming c alls may b e red irec ted to the DEFINITY AUDIX system either b y reac hing the DEFINITY AUDIX system at the end of a c all-c overag e p ath, or by a sub sc rib er or other p arty forward ing or red irec ting c alls to the DEFINITY AUDIX system. Bec ause the system answers inc oming c alls automatic ally, c allers do not need touc h-tone c ap ab ility to reac h it. Onc e ac c essed , the feature c an b e manipulated by both callers and subscribers. Up on answering the c all, the DEFINITY AUDIX system voic es either a stand ard system g reeting or a sub sc rib er’s p ersonal greeting . A tone sound s after either g reeting , ind ic ating that rec ord ing has b eg un. The c aller has several op tions for ed iting the messag e and end ing the c all. After rec eiving a messag e, the DEFINITY AUDIX system p lac es it in the sub sc rib er’s inc oming mailb ox. The Messag e-Waiting Ind ic ator (MWI) (messag e-waiting lamp or stutter d ial tone)

If the Multiling ual feature is ad ministered for the sub sc riber with the Call Answer Lang uag e Choic e set to y (yes) on the Sub sc rib er or COS sc reen, c allers have a c hoic e of two lang uag es in whic h to hear either the system or p ersonal g reeting . The p rimary g reeting tells the c aller, in the alternate lang uag e, to p ress to hear the greeting in the alternate lang uage. If the system is ad ministered for c all transfers, c allers may use the Transfer ( ) or Esc ap e to Attend ant ( ) c ommands to leave the DEFINITY AUDIX mailb ox for another d estination b efore or after leaving a Call Answer messag e. NOTE: The End -of-Messag e Warning op tion c auses the rec ord ing of a Call Answer message to be interrup ted at a p red efined amount of time (warning time) b efore the maximum rec ord ing time is reac hed . Leaving a Call Answer Message To leave a Call Answer messag e, d o the following : 1. Sp eak your messag e after the DEFINITY AUDIX system answers the p hone. 2. Do one of the following: nIf you are satisfied with your messag e and d o not want to log into the system, transfer to another extension, or make the message p rivate or p riority, hang up . nTo p ause, p ress . (Press ag ain to c ontinue rec ord ing and return to step 1.) nTo rewind and rep lay the messag e, p ress . nTo d elete and rerec ord the messag e, p ress , then press and return to step 1. nTo rerec ord only a p ortion of your messag e, d o the following : — Find the p ortion of the messag e you want to ed it b y pressing to rewind in four-sec ond or 10-sec ond inc rements and b y pressing to forward in four-second or 10-second inc rements (The system ad ministrator sets the inc rement value for four sec ond s or ten sec ond s on the System-Parameters Features sc reen). — Press immed iately to b egin rerec ord ing the selec ted p ortion. — Return to step 1. 3. To approve your message, press . 4. Do one of the following: nTo make this messag e private (this is an op tion that p revents the rec ip ient from forward ing the messag e to other sub sc rib ers), p ress and rep eat this step.
