Voice Mail 333 DEFINITY AUDIX System Release 4.0 Feature Descriptions 585-300-206 Issue 5 May 1999 DescriptionPoints to Remember Administration Screens Voic e Mail is like a “ verb al letter” that c an be sent to one or more of the subsc ribers on the DEFINITY AUDIX system. The system, in this c ase, b ec omes an elec tronic p ost offic e that delivers spoken messages. Unlike the Call Answer feature (that offers the c aller an opportunity to leave a message if the called party is unavail- able), subscribers c an use the Voice Mail feature to record a message that is d elivered d irec tly to the rec ipient’s Voic e Mailb ox (muc h as a note or memo is d elivered throug h c om- p any mail). Thus, the Voic e Mail feature is a p ro-ac tive means of p roviding information, whereas the Call Answer feature is reac tive. Voice Mail is created, addressed, scheduled for delivery, sent, rec eived, and stored in Voic e Mailb oxes. Wh o h a s i t: All DEFINITY AUDIX subsc rib ers c an c reate, edit, send , and rec eive Voic e Mail messag es. Note that these capabilities can be limited via the Messag e Send ing Restric tions and Private Messag e features. Wh o c o n t r o l s i t: The system ad ministrator sp ec ifies the system-wid e messag e leng th limit (up to 20 minutes) on the System-Parameters Limits sc reen. Ind ivid ual sub sc rib ers c an have their maximum messag e leng ths altered up to this limit throug h the Class of Servic e or Sub sc rib er sc reens. nIf a messag e is c reated and the sub sc rib er either restarts or d is- c onnec ts without ad d ressing it to at least one person, the messag e will not b e saved . nIn ad dition to send ing new Vo i c e Mail messag es, sub scrib ers can review, mod ify, and resend mes- sag es that they c reated p reviously and then filed in the file c ab inet sec tion of their mailb oxes. nTo assist in add ressing Voice Mail, the system offers the Direc tory feature that provides subscriber’s names or extensions. nThe maximum Voic e Mail mes- sag e leng th (inc lud ing menus or g reeting s) is 20 minutes. nSp eed and volume c ontrols are availab le. nSub sc rib ers c an use INTUITY Mes- sag e Manag er to c reate and transmit voic e mail messag es using their PC. DEFINITY AUDIX System Release 4.0 Feature Descriptions 585-300-206 Issue 5 May 1999 Voice Mail 334 Applications Applications Voic e Mail is an invaluab le tool in any situation where an easy one-way transfer of information is needed . For examp le, to inform an entire dep artment ab out a sc hed uled meeting , one messag e c an b e rec ord ed (inc lud ing the d ate, time, loc ation, and ag end a of the meeting ) and ad d ressed using a Mailing List that c ontains the names or extensions of all the memb ers of the d ep artment. The system will transmit a c op y to eac h person on the list and inform them that the messag e exists via the Messag e-Waiting Ind ic ator (MWI) feature. Requirements The Voic e Mail feature has no req uirements other than those of the DEFINITY AUDIX system itself. Feature Operation Voic e Mail messag es are d ivid ed into two p arts: the head er (eq uivalent to an envelop e), and the messag e itself (eq uivalent to a letter), d esc rib ed b elow. nTh e head er id entifies the send er, rec ip ient, typ e of messag e (suc h as Call Answer, or Voic e Mail), and the time and d ate the messag e was sent or rec eived . The system automatic ally c reates a head er for eac h messag e sc hed uled for d elivery. If a messag e is add ressed to more than one rec ip ient, the system c reates a head er for eac h rec ip ient. nTh e messag e is the ac tual statement rec ord ed b y the originator. Only one c op y of the messag e is stored on d isk at a time. Many sub sc rib ers c an rec eive a c op y of the same messag e b y having the system c reate multip le head ers for a sing le messag e. DEFINITY AUDIX System Release 4.0 Feature Descriptions 585-300-206 Issue 5 May 1999 Voice Mail 335 Feature Operation As a DEFINITY AUDIX sub sc rib er, you c an c reate new messages, c hang e existing messag es in the outg oing sec tion of your voic e mailb ox, or ap p end to existing messag es. All rec ord ing op erations are p erformed in a similar way: record the message, play it back or change it if desired, and approve it for d elivery. The system g uid es you throug h the step s with voic e p romp ts. When a step is app roved , the system announc es the next step in the ac tivity. NOTE: The End -of-Messag e Warning op tion c auses the rec ord ing of a Voic e Mail messag e to b e interrup ted at a pred efined amount of time (warning time) b efore the maximum rec ord ing time is reac hed, and the message c reator is informed that a sp ec ific numb er of sec ond s remain for rec ording . If, for examp le, the maximum messag e that c an b e rec ord ed is 3 minutes and this field is set to 15, when someone has rec orded 2 minutes 45 sec ond s of a messag e, the system will interrup t them with a message stating that they have 15 sec ond s remaining . Before a Voic e Mail messag e c an b e d elivered , however, you must ad d ress it. You c an send a message to one or more rec ip ients; and , if your c omp any has an AMIS network, you c an ad d ress messag es to remote sub sc rib ers. Messag es are ad d ressed using the name or extension of the intend ed rec ip ient. Any c omb ination of sub sc rib er names, extension numb ers, or Mailing Lists may b e used to ad d ress a message. Also, a time and d ate may b e sp ec ified for future d elivery; if neither is sp ec ified , the messag e is sent immed iately. In AMIS Analog Networking systems, a message scheduled for immediate delivery is queued for d elivery to the remote system at the next sc hed uled transmission p eriod . Messag es that have b een sc hed uled for d elivery b ut have not yet b een sent are called und elivered messag es. These messag es may b e ac cessed and mod ified und er the outg oing sec tion of the Voic e Mailb ox any time b efore they are delivered. NOTE: Messag es that have b een c reated b ut not ad d ressed to any rec ip ients are deleted. Subscribers are given two opportunities to address a message b efore it is d eleted . If the sub sc rib er enters a sig n without ad d ressing the messag e after the sec ond p rompt for ad d ressing , the messag e is deleted. The sub sc rib er hears, “ No ad d ressees id entified . Deleted .” At the sc hed uled d elivery time, the DEFINITY AUDIX system moves the messag e from the send er’s Voic e Mailb ox (outg oing ) to the rec ip ient’s Voic e Mailb ox (inc oming ). The send er c an no long er play, c hang e, or d elete a delivered messag e, althoug h the messag e head er and status may b e trac ked throug h the outgoing sec tion of the Voic e Mailb ox (see the Voice Mailb ox feature for more information on trac king the status of a messag e). If sub scrib ers want to keep a c op y of their messag es, they may save a cop y in the file c ab inet sec tion of the Voic e Mailb ox b efore the messag e is d elivered (see the Voice Mailb ox feature for more information on filing a c op y of a messag e). #

The following ed iting c ommand s are availab le while you are rec ord ing the message: nTo temp orarily suspend record ing : a. Press (if you want to p ause and c ollec t your thoug hts). b . Press ag ain to c ontinue rec ord ing. The system will c ontinue rec ord ing without a b reak in the messag e. nTo rewind and play b ac k: a. Press to rewind to the b eginning of the messag e. b . Press to p lay the messag e. If you want to c ontinue rec ord ing from any partic ular p oint, p ress at that p oint. nTo d elete this messag e and rec ord a new one: a. Eac h of these d elivery op tions is a tog g le switc h. This means you c an turn eac h op tion on and off like a lig ht switc h b y rep eated ly p ressing its b utton. The p riority op tion (option 2) may not be availab le to all sub sc rib ers, d ep end ing on how the feature is ad ministered (see the Priority Messag e feature in this manual). After you have ap p roved your messag e, the system will ask you to enter an ad d ress. Your ad ministrator has arrang ed for the system to ask you either for an extension numb er or for a name as an ad d ress. Take one of the following ac tions ac c ord ing to your need s: nTo ad dress to ind ivid ual rec ip ients: a.Enter the rec ip ient’s ad d ress (either name, alias, or extension). You may switc h b ac k and forth b etween name and extension ad d ressing b y pressing . Note that you must b e in name add ressing mod e to ad d ress b y aliases. b . Press to sig nal that you have entered the ad d ress. The system will voic e the rec ip ient’s name or extension if no name has b een rec ord ed for that sub sc rib er. If you d o not p ress a key within five sec onds after p ressing the #, you will hear the following d ial-through p romp t, Enter ad d ress, followed b y the p ound sig n, or if you are finished ad d ressing, p ress p ound ; to have system wait, p ress star-W.
