You c an mod ify your own list b y ad d ing individ ual rec ipients or d eleting former rec ip ients. You c an also c hang e the status of your list, d esig nating it as either p ub lic or p rivate. To review and /or mod ify your list, d o the following : 1. Log into the DEFINITY AUDIX system. 2. Press to selec t Personal Options Ad ministration. 3. Press to selec t the List Ad ministration ac tivity. 4. Press to review and/or modify your list. 5. Enter the address of the subsc riber who owns the list you want to review. 6. Press to sig nal that you have entered the ad dress. If you own the list, you may omit your extension numb er or name and simp ly p ress . 7. Enter the list ID. 8. Press to sig nal that you have entered the ID. The system will tell you how many names are on the list and read the first name to you. Scanning a Mailing List Summary If you want an overview of your Mailing Lists, you c an ask the DEFINITY AUDIX system to summarize them for you. The system will id entify eac h of the lists that you own, the numb er of sub sc rib ers on the list, and whether the list is p ub lic or p rivate. As eac h list is summarized , you c an ask the system to review the rec ip ients on the list, or you c an skip to the next list. While sc anning your list summary, you c an d elete existing lists b ut c annot ad d new ones. To hear a summary of all your lists, do the following: 1. Log into the DEFINITY AUDIX system. 2. Press to selec t Personal Options Ad ministration. 3. Press to selec t the List Ad ministration ac tivity. 4. Press to p lay a summary of your lists. Interactions with Other Features This sec tion id entifies the interac tions of the Mailing List feature with switc h features and other DEFINITY AUDIX features. Interactions with Switch Features The Mailing List feature has no d irec t interac tions with any switc h features. Interactions with Other DEFINITY AUDIX Features The Mailing List feature interac ts with other DEFINITY AUDIX features as follows: nAddress-by-Name: When entering ad d resses into a Mailing List, the c reator of the list c an use alternate ad d ressing ( ) to id entify list entries b y name instead of extension. nAMIS Analog Networking: Mailing Lists c an c onsist of users on remote voic e mail systems c onnec ted to the loc al system via AMIS Analog Networking , if those sub sc rib ers are ad ministered for AMIS one-step ad d ressing. However, pub lic Mailing Lists cannot b e shared ac ross more than one system. Also, you might have to use a loc ation p refix to inc lud e a remote AMIS user who is on a remote system ad ministered for AMIS one-step ad d ressing (this is not nec essary if you are add ressing the messag e using names instead of extensions). If a remote ad ministered sub sc rib er is ad d ed to a list, that sub sc rib er’s name will b e voic ed b ac k. Note that messag es add ressed to sub sc rib ers on systems c onnec ted via AMIS Analog Networking are q ueued for d elivery at a time sp ec ified b y the system ad ministrator. # # *R *T *A
DEFINITY AUDIX System Release 4.0 Feature Descriptions 585-300-206 Issue 5 May 1999 Mailing List 176 Interactions with Other Features nINTUITY Messag e Manager: Sub sc rib ers c an c reate Mailing Lists from their PC using I NTUITY Message Manager. nMessag e Delivery: Mailing Lists c an c onsist of administered or unad ministered Messag e Delivery rec ip ients. However, if you ad d an unad ministered rec ip ient to a mailing list, they will b e removed in the weekly aud it. The system ad ministrator should ad minister rec ip ients that need to b e p ermanent memb ers of a list. A loc ation p refix mig ht b e need ed to inc lude an ad ministered remote rec ip ient (this is not nec essary if you are ad d ressing the messag e using names instead of extensions). If a remote ad ministered rec ip ient is ad d ed to a list, his/her name will be voic ed b ac k. For unad ministered remote rec ip ients, no name will b e voic ed b ac k — just the ad dress. nMessag e-Waiting Ind ic ator: When a Mailing List is used to ad d ress a Voic e Mail messag e, a messag e-waiting ind ic ator (MWI) (either the messag e-waiting lamp or stutter d ial tone) informs the rec ip ients that there is a new messag e in their Voic e Mailb oxes. nName Record by Subscriber: When sub sc rib ers use this feature to rec ord their names, the rec orded names p lay b ac k as eac h sub sc rib er is ad d ed to the list. Also, the send er’s rec orded name is used in the head er of the messag e sent to eac h sub sc rib er on the list. nOutc alling: Messag es sent using a Mailing List will ac tivate the Outc alling feature just as a standard Voice Mail or Call Answer message does. nPersonal Direc tory: Entries c ontained in your Personal Direc tory c an b e used as entries in a Mailing List, even if the list is p ub lic . nPriority Messag e: Sub sc rib ers who have Priority Messag e permission c an send a Priority Messag e using the Mailing List feature. All memb ers on the list will rec eive the messag e with p riority status. nPriority Outcalling: Priority Messag es sent using a Mailing List will ac tivate the Priority Outc alling feature just as a stand ard Voic e Mail messag e ac tivates the Outc alling feature. nPrivate Messag e: By making a messag e private when using a Mailing List to send it to sub sc rib ers, none of the sub sc rib ers on the list will b e ab le to forward the messag e to other sub sc rib ers. nTraffic Rep orts: The Mailing List feature will generate d ata that c an b e monitored using Traffic Rep orts. Sp ec ific ally, eac h memb er on a Mailing List will b e c ounted as having rec eived a new messag e on the sub sc rib er traffic sc reens. Also, the numb er of messag es d elivered (shown on the feature traffic sc reens) will b e inc reased b y the numb er of entries in the list. nVo ic e M a i l: The Mailing List feature is used to route Voic e Mail to a d efined g roup of p eop le who req uire the same information (suc h as a d ep artment or p rojec t).

Also, the inc oming p ortion of the Voic e Mailb ox of eac h sub sc rib er on the Mailing List will rec eive notific ation of the messag e. Prior to delivery, the send er will find one entry in the und elivered sec tion of the outg oing mailb ox. The head er will say that the messag e is b eing sent to “ [name] and [N] others” (where [ name] is the first p erson on the list, and [N] is the total numb er of p eople the messag e is being sent to, minus one). As the message is b eing sent to eac h rec ip ient, another ind ivid ual head er is plac ed in the delivered c ateg ory of the send er’s outg oing mailb ox. Eac h list memb er’s name will b e in a d ifferent head er.

Message Delivery 179 DEFINITY AUDIX System Release 4.0 Feature Descriptions 585-300-206 Issue 5 May 1999 DescriptionPoints to Remember Administration Screens Message Delivery is an optional feature that permits sub- sc rib ers to send DEFINITY AUDIX Voic e Mail messag es to any touc h-tone telep hone anywhere in the world (inc luding someone’s home). This feature is an extension of the AMIS Analog Networking feature. When the rec ip ient answers, a rec ord ing informs the rec ipient that a messag e is waiting and that the rec ip ient should p ress to listen to it. The DEFINITY AUDIX system then p lays the messag e. If the rec ip ient d oesn’t answer, the system will make a total of six attempts to d eliver the messag e at intervals sp ec ified on the Sys- tem-Parameters Features sc reen. The loc al DEFINITY AUDIX system will transmit messag es at sp ec ific times set b y the system ad ministrator on the Mac hine sc reen. The times sp ec ified on this sc reen must be a sub set of the times ad ministered as outc alling p eriod s on the System-Parameters Outc alling sc reen. If a rang e of Mes- sag e Delivery telep hone numb ers is ad ministered , ind ividual rec ipients do not need to b e ad ministered on the loc al sys- tem. However, the system ad ministrator c an c hoose to administer any telep hone numb ers to whic h Messag e Deliv- ery traffic is heavy (this simp lifies ad d ressing p roc ed ures). If the Multiling ual feature is ac tivated , Messag e Delivery announc ements will b e in the system announc ement set. If the unilingual nature of the announc ement is unac c ep tab le, the system ad ministrator may rerec ord the announc ement in all languages of interest. 0 nEac h system using Messag e Delivery can d eliver messages to any touc h-tone telep hone. nRecipients can be individually ad ministered on the loc al system making ad d ressing easy. nMessag es are played to the rec ip - ient; if a rec ip ient is listening to a one minute messag e, an outc all- ing p ort will b e b usy for at least a minute. nIf a messag e is sent to a remote rec ipient and a voice mail system (other than a DEFINITY AUDIX system or AUDIX system) or answering mac hine p ic ks up the call, the recipient’s machine may rec ord the messag e head er b ut not the messag e b od y. nBec ause messag es are transmit- ted via analog lines, q uality may degrade. The system simp ly c alls rec ip ients, p romp ts them to p ress to listen to a messag e, then p lays the messag e. If a rec ipient’s numb er is in a range of ad ministered telep hone numb ers b ut their numb er is not ind ivid ually ad ministered , loc al sub sc ribers may have to enter the entire telep hone numb er (d ep end ing on ad ministration); area c od e or c ountry c od e p lus area c od e may b e req uired . If an ind ivid ual rec ip ient is ad ministered, sub sc rib ers usually need only enter a p ortion of the rec ip ient’s numb er. See DEFINITY AUDIX System — Ad ministration, 585-300-507, for the spec ific p roc ed ures req uired to ad minister the Messag e Delivery feature. NOTE: If sub scrib ers send Messag e Delivery messag es to remote recip ients and a voic e mail system or an answering mac hine p ic ks up the c all (b ec ause the rec ip ient d id not answer), the rec ip ient’s mac hine may rec ord the messag e head er. (This will not happ en if the remote system is a DEFINITY AUDIX system or an AUDIX system.) If this hap p ens, the mac hine will not b e ab le to rec ord the messag e bod y sinc e it c annot p ress to have the system p lay out the messag e. From the head er, the rec ip ient will know either the name or the numb er of the p erson who sent the messag e. Meanwhile, the loc al DEFINITY AUDIX system will c ontinue to try to send the messag e (making a total of six attemp ts) sinc e it d id not d etec t a touc h-tone ind ic ating that the intend ed rec ip ient rec eived the messag e. Requirements To use the Messag e Delivery feature, the AMIS Analog Networking feature must have b een ac tivated b y Luc ent Tec hnolog ies remote maintenanc e p ersonnel. The system ad ministrator must have administered the network c onnec tion type on the Mac hine sc reen to b e calld. The ad ministrator must also have ad ministered the system to p ermit outg oing AMIS Analog Networking c alls. Finally, the rec ip ient must have a touc h-tone p hone. Feature Operation The Messag e Delivery feature is easy to use. Recipients simp ly p ress to listen to a messag e when they answer a c all from the DEFINITY AUDIX system. Therefore, recipients must have a touc h-tone telep hone. Message Transmission The p roc ed ure for send ing Messag e Delivery messages dep end s on how the rec ip ient to whom a messag e is to b e sent is ad ministered on the loc al system. 0 0 0
