Activity Log 1 DEFINITY AUDIX System Release 4.0 Feature Descriptions 585-300-206 Issue 5 May 1999 DescriptionPoints to Remember Administration Screens The Ac tivity Log feature is an ad ministrative tool for investi- g ating sub sc rib er-rep orted p rob lems with messag e-waiting ind ic ators (MWIs) and the delivery of messag es. It maintains a history of sub sc rib er ac tivity in the DEFINITY AUDIX sys- tem. Sinc e ad ministrators c an use the log to trac k ac tivity b y sub sc rib er extension and b y sp ec ific time, they c an often resolve rep orted p rob lems b efore filing troub le rep orts with Lucent. Wh o h a s i t: Normally, only the DEFINITY AUDIX system administrator uses the ac tivity log . Wh o c o n t r o l s i t: The system administrator accesses the activity log and sp ec ifies d ata c ollec tion throug h the DEFINITY AUDIX administration terminal. Wh o c a n a c c e s s it: Only the system ad ministrator or other authorized users can ac c ess the ac tivity log throug h the administration terminal interfac e. The ac tivity log is ad ministered and ac c essib le throug h any ap proved DEFINITY AUDIX ad ministration termi- nal, Personal Comp uter (PC), or Work Group Station (WGS). DEFINITY AUDIX System Release 4.0 Feature Descriptions 585-300-206 Issue 5 May 1999 Activity Log 2 Applications Applications The Activity Log helps system administrators diagnose user-perceived problems suc h as MWI d elays and d elayed d eliveries d ue to full mailb oxes. Requirements The only requirement for this feature is one of the certified administration terminals or a stand ard PC or WGS running a stand ard terminal emulation p ac kag e (suc h as a 513 Terminal Emulation p ac kag e). A 570 p arallel, 572 serial, or other 473-c omp atib le p rinter is op tional b ut rec ommend ed . Feature Operation It is rec ommend ed that you enab le the Ac tivity Log so you will have the req uired information at the time p rob lems are rep orted . You will use two d ifferent sc reens when working with the Ac tivity Log: the System-Parameters Ac tivity-Log sc reen and the Disp lay Ac tivity-Log sc reen. Setting Up the Activity Log Use the change/display system-parameters activity log c ommand to: nEnab le/d isab le the Ac tivity Log . The d efault is n (the Ac tivity Log is disabled). nInstruc t the Ac tivity Log to rec ord MWI up d ates. The d efault is n (the Ac tivity Log will not rec ord MWI up d ates). nSet a maximum numb er of Ac tivity Log entries. The maximum allowab le value is 99,999. The d efault is 10,000. nClear all entries in the Ac tivity Log. The d efault is n. If you enter y, all entries in the Ac tivity Log will b e c leared immed iately. However, this value always reverts to n after you exit the sc reen. NOTE: If you instruc t the Ac tivity Log to rec ord MWI up d ates, the numb er of rec ord s g enerated will inc rease signific antly and c ould d egrad e system p erformanc e. It is rec ommend ed that this field not b e enab led on a reg ular b asis, b ut only as nec essary.

You will use the d isp lay ac tivity-log c ommand to d esig nate sub sc rib er, d ate, and time. The Ac tivity Log will then d isp lay ac tivity information for the selec ted sub sc rib er, starting at the spec ified date and time. The events are listed in c hronolog ic al order (old est first). Press (Next Pag e) to d isplay the remaining entries. A rec eived entry is mad e in the Ac tivity Log eac h time a messag e is d elivered into a subsc rib er’s mailbox. Note that a messag e with multip le rec ip ients will g enerate a rec eived entry for eac h rec ip ient. The messag e may b e one of the following : nVoice mail nPriority voice mail nCall Answer Sinc e CA messag es are sc hed uled for immed iate d elivery at the time they are c reated , the sc hed uled d elivery time is not rep eated on the d isp lay. Address-by-Name 5 DEFINITY AUDIX System Release 4.0 Feature Descriptions 585-300-206 Issue 5 May 1999 DescriptionPoints to Remember Administration Screens The Ad d ress-b y-Name feature allows c allers to ad dress a message to any subscriber by dialing the subscriber’s name instead of the sub sc rib er’s extension numb er. Callers who d o not know a sub sc riber’s extension numb er may selec t name addressing by pressing (for Alternate Address- ing Mod e) and entering the sub sc rib er’s name. The DEFIN- ITY AUDIX system will automatically address the message to that sub sc rib er. Wh o h a s i t :The Ad d ress-b y-Name feature is available to all subsc ribers of the DEFINITY AUDIX system. Who controls it:The system administrator assig ns each subscriber’s default add ressing format (either extension numb er or name) on the Class of Servic e or Subsc riber screens. Callers also c ontrol this feature b y p ressing to tog g le b etween extension numb er and name add ressing . But this feature c an b e most c onvenient when the send er d oesn’t know (or c an’t rememb er) the extension number of an intend ed messag e rec ip ient. It is p artic ularly useful when used with the Personal Direc tory feature, whic h allows the send er to use ab breviated names. Requirements The Ad d ress-b y-Name feature has no ad ministration req uirements. At the req uest of sub sc rib ers who p refer to add ress-b y-name, the ad ministrator c an set the d efault ad d ressing mod e to name ad dressing on p ag e 2 of the Sub sc rib er sc reen. Feature Operation The Ad d ress-b y-Name feature c an b e used any time you want to ad d ress a messag e, c reate a mailing list, or set up a p ersonal d irec tory. The most c ommon use, add ressing a messag e, is d esc rib ed in d etail b elow. To use the feature with the Mailing List or Personal Direc tory features (assuming your default ad d ressing mod e is numb er add ressing ), enter when first p romp ted for an ad d ress, then enter all addresses by name. You will stay in name addressing mode until you p ress ag ain or until you are finished with the task. To add ress a messag e to a subsc riber b y name, d o the following : 1. Log into the DEFINITY AUDIX system. 2. Rec ord and app rove a messag e normally (see the Voic e Mail feature). 3. Press to switch to name ad d ressing mod e (this assumes your d efault ad d ressing mod e is b y extension numb er). 4. Enter the letters that sp ell the last name of the sub sc rib er, then, if nec essary, enter all or p art of the first name (do not enter any c harac ters b etween the first and last names). Press . Note that in many c ases it is not nec essary to enter the entire name; a uniq ue matc h is all that is req uired . *A *A *A #

One of the following will occur: nIf the system find s a uniq ue matc h for the letters you entered , the sub sc rib er’s name is voic ed b y the system. nIf the system find s two or three sub sc rib er names that matc h the c harac ters you have entered , you will b e promp ted to selec t the ap p rop riate name. nIf the system req uires more information to make a matc h, you will b e asked to enter more c harac ters (c ontinuing from where you stopped). For examp le, to name-ad d ress a messag e to a sub sc rib er named Jill Wilson, you mig ht p ress the following seq uenc e of keys: Interactions with Other Features This sec tion id entifies the interac tions of the Ad d ress-b y-Name feature with switc h features and other DEFINITY AUDIX features. Interactions with Switch Features The Ad d ress-b y-Name feature d oes not interac t with the switc h. Interactions with other DEFINITY AUDIX Features The Ad d ress-b y-Name feature interac ts with other DEFINITY AUDIX features as follows: nClass of Servic e: The Add ress-b y-Name feature c an be a p arameter for d ifferentiating c lasses of servic e. The DEFINITY AUDIX system ad ministrator c an assig n a d efault ad d ressing format (extension numb er or name) for eac h sub sc rib er using the Class of Servic e sc reen. nDial-b y-Name: The Dial-b y-Name feature is nearly id entic al to ad d ress-b y-name, b ut is used for transferring out of the DEFINITY AUDIX system rather than for ad d ressing messag es. Thoug h similar, the features are not d irec tly interrelated . For example, if you invoke name ad d ressing for send ing a messag e, then b eg in a transfer to another extension, the system expec ts you to enter an extension numb er unless you p ress (for d ialing -b y-name) while transferring . nDirec tory: The system directory stores linked name and extension number information, and this d atab ase is searc hed when sub sc rib ers ad d ress b y either name or extension. nINTUITY Messag e Manager: Sub sc rib ers c an use name ad d ressing when using I NTUITY Messag e Manag er. *AWILSONJ# *A

If an exac t matc h is not found, the DEFINITY AUDIX system then searc hes the list of all ad ministered sub sc rib ers. Sub sc rib ers c an use name ad d ressing when c reating or mod ifying their p ersonal d irec tories. ADAP p ro- vid es a vehic le for d ownload ing d ata from the DEFINITY AUDIX d atab ase to the PC for further analysis and for mod i- fying DEFINITY AUDIX sub sc rib er data d irec tly in the DEFIN- ITY AUDIX d atab ase without ac c essing the ad ministrative sc reens. ADAP inc lud es two uniq ue user interfac es: nPC2AUDIX, a nontec hnic al menu-d riven p rog ram that download s d ata from the DEFINITY AUDIX d atab ase to the PC, org anizes it in a d BASE III PLUS format, and prod uc es a set of p reformatted stand ard ized rep orts. PC2AUDIX also c an b e used to b ac k up DEFINITY AUDIX data to a d iskette. nA set of p rogrammer-oriented DOS-level c ommand s that c an mod ify sub sc rib er d ata d irec tly in the DEFINITY AUDIX datab ase and d ownload selec ted data from the DEFINITY AUDIX d atab ase to the PC. No rep orting c ap ab ility is inc lud ed ; it is left to the c ustomer to develop rep orting ap p lic ations on the PC or to up load the d ata to a host c omp uter for further analysis. nADAP will run on any Lucent Tec h- nolog ies 6300-c omp atib le or newer mod el PC. A Luc ent Tec h- nolog ies 6286 or 6386 WGS (or c omp atib le) PC is rec ommend ed . nADAP DOS-level command s req uire c ustomer-d evelop ed soft- ware to prod uc e rep orts. The ad ministrator c an d efine rep ort c riteria to help manag e system resourc es and d etermine when ad d itional hard ware or ad ministrative c hang es are nec essary. Even thoug h PC2AUDIX and ADAP DOS-level c ommand s are c omponents of the same pac kag e and share some c ommon func tionality, they are in many ways uniq ue ad ministrative tools for ac c essing and analyzing the DEFINITY AUDIX database. ADAP also provides a billing package that allows you to bill customers for DEFINITY AUDIX system use. PC2AUDIX PC2AUDIX is a menu-d riven ap p lic ation for nonp rog rammers that d ownload s d ata from the DEFINITY AUDIX d atabase to the PC and p rod uc es a set of p reformatted , stand ard ized rep orts with the d ownloaded information. Rep orts c an b e g enerated direc tly from the PC2AUDIX menu. PC2AUDIX is useful for monitoring system resourc es (inc lud ing p ort usag e and d isk spac e), analyzing traffic p atterns, g enerating b illing rep orts, and arc hiving traffic d ata to d iskette. PC2AUDIX req uires that the d BASE III PLUS d atab ase software p rog ram is also installed on the PC. Data retrieved from the DEFINITY AUDIX d atab ase b y PC2AUDIX is automatic ally org anized in a d BASE III PLUS format. PC2AUDIX p rovid es the following c ap ab ilities throug h its menu-d riven interfac e: nData retrieval — Hourly, d aily, and monthly system traffic d ata c an b e d ownloaded to d isk files on the PC using PC2AUDIX menu op tions. nTraffic rep orts — Download ed system traffic d ata c an b e formatted in rep orts that d etail averag e p orts in use and peak p orts in use b y hour for a sp ec ified p eriod , file system usag e by hour and b y d ay for a sp ec ified p eriod, session usag e and remote traffic p er d ay for a sp ec ified p eriod , and system attend ant traffic for a d ay or a month. nCustomer b illing — Downloaded system traffic d ata c an b e formatted in reports that provide DEFINITY AUDIX billing detail for individual sub sc rib ers and d ep artments (or other c od ed entities) b ased on customer-supplied billing criteria. nSite-sp ec ific d ata — Download ed system traffic data c an b e searc hed and formatted in lists of sub sc rib ers with b ills over a sp ec ified amount, sub sc rib ers with usag e over or und er sp ec ified limits, and sub sc rib ers with sp ac e threshold exc ep tions. nSc heduling — PC2AUDIX d ata retrieval, the proc ess of d ownload ing d ata from the DEFINITY AUDIX d atab ase to the PC, c an b e q ueued to run unattend ed d uring off-hours using PC2AUDIX menu op tions.
