To change the ECM setting from the control panel 1. Press Setup. 2. Press to highlight Advanced Fax Setup , and then press OK. The Advanced Fax Setup menu appears. 3. Press to highlight Error Correction Mode , and then press OK. The Error Correction Mode menu appears. 4. Press to highlight Off or On. 5. Press OK. Receive a fax The HP All-in-One can receive faxes automatically or manually. If you turn off the Auto Answer option, you will need to receive faxes manually. If you turn on the Auto Answer option (the default setting), the HP All-in-One automatically answers incoming calls and receives faxes after the number of rings specified by the Rings to Answer setting. (The default Rings to Answer setting is five rings.) You can receive faxes manually from a phone that is: • Directly connected to the HP All-in-One (on the 2-EXT port) • On the same telephone line, but not directly connected to the HP All-in-One If you receive a legal-size fax and the HP All-in-One is not currently set to use legal-size paper, the device reduces the fax so that it fits on the paper that is loaded in the HP All- in-One. If you have disabled the Automatic Reduction feature, the HP All-in-One might print the fax on more than one page. This is referred to as manual faxing. Use the instructions in this section to receive a manual fax. You can receive faxes manually from a phone that is: • Directly connected to the HP All-in-One (on the 2-EXT port) • On the same phone line, but not directly connected to the HP All-in-One Chapter 11 140 Use the fax features Fax
To receive a fax manually 1.Make sure the HP All-in-One is turned on and you have paper loaded in the input tray. 2. Remove any originals from the document feeder tray. 3. Set the Rings to Answer setting to a high number to allow you to answer the incoming call before the HP All-in-One answers. Or, turn off the Auto Answer setting so that the HP All-in-One does not automatically answer incoming calls. 4. If you are currently on the phone with the sender, instruct the sender to press Start on their fax machine. 5. When you hear fax tones from a sending fax machine, do the following: a. Press Start Fax Black or Start Fax Color on the control panel of the HP All-in- One. b . When prompted, press to highlight Receive Fax Manually , and then press OK . 6. Press Start Fax Black again. 7. After the HP All-in-One begins to receive the fax, you can hang up the phone or remain on the line. The phone line is silent during fax transmission. Related topics •“ Set the number of rings before answering” on page 62 •“ Set the answer mode” on page 62 Set up backup fax reception Depending on your preference and security requirements, you can set up the HP All-in- One to store all the faxes it receives, only the faxes it receives while the device is in an error condition, or none of the faxes it receives. The following Backup Fax Reception modes are available: OnThe default setting. When Backup Fax Reception is On , the HP All-in-One stores all faxes it receives in memory. This enables you to reprint one or all of the most recently printed faxes if they are still saved in memory. NOTE: When the memory gets low, the HP All-in-One overwrites the oldest, printed faxes as it receives new faxes. If the memory becomes full of unprinted faxes, the HP All-in-One will stop answering incoming fax calls. NOTE:If you receive a fax that is too large, such as a very detailed color photo, it might not be stored in memory due to memory limitations. On Error OnlyCauses the HP All-in-One to store faxes in memory only if there is an error condition that prevents the HP All- in-One from printing the faxes (for example, if the HP All-in-One runs out of paper). The HP All-in-One will continue to store incoming faxes as l ong as there is memory available. (If the memory becomes full, the HP All-in-One will stop answering incoming fax calls.) When the error condition is resolved, the faxes stored in memory print automatically and are then deleted from memory. OffMeans that faxes are never stored in memory. (You might want to turn off Backup Fax Reception for security purposes, for example.) If an error condition occurs that prevents the HP All-in-One from printing (for example, the HP All-in-One runs out of paper), the HP All-in-One will stop answering incoming fax calls. NOTE:If Backup Fax Reception is enabled and you turn off the HP All-in-One, all faxes stored in memory are deleted, including any unprinted faxes that you might have received while the HP All-in-One was in an error condition. You will need to contact the senders to ask them to resend any unprinted faxes. For a list of the faxes you have received, print the Fax Log. The Fax Log is not deleted when the HP All-in-One is turned off. To set backup fax reception from the control panel 1. Press Setup. 2. Press to highlight Advanced Fax Setup , and then press OK. The Advanced Fax Setup menu appears. 3. Press to highlight Backup Fax Reception , and then press OK. The Backup Fax Reception menu appears. 4. Press to highlight On, On Error Only , or Off. 5. Press OK. Related topics “ Reprint received faxes from memory” on page 142 Reprint received faxes from memory If you set the Backup Fax Reception mode to On, the HP All-in-One stores faxes it receives in memory, whether the device has an error condition or not. NOTE: After the memory becomes full, the HP All-in-One overwrites the oldest, printed faxes as it receives new faxes. If all the stored faxes are unprinted, the HP All- in-One will not receive any more fax calls until you prin t or delete the faxes from memory. You might also want to delete the faxes in memory for security or privacy purposes. You can choose to reprint one or reprint all faxes in memory. For example, you might need to reprint your faxes if you lost the copy of your last printout. To reprint faxes in memory from the control panel 1. Make sure you have paper loaded in the input tray. 2. Press Setup. 3. Press to highlight Tools, and then press OK. The Tools menu appears. 4. Press to highlight Reprint Faxes in Memory , and then press OK. The Reprint menu appears. 5. Do one of the following: To reprint one fax from memory a .Press to highlight One Fax, and then press OK. To reprint all faxes in memory ▲Press to highlight All faxes in memory , and then press OK. 6. If you want to stop reprinting the faxes in memory, press Cancel. To delete all the faxes in me mory from the control panel 1. Press Setup. 2. Press to highlight Tools, and then press OK. The Tools menu appears. 3. Press to highlight Clear Fax Log , and then press OK. NOTE: You can also delete any faxes stored in memory by turning off the HP All-in- One. Press the On button to turn off th e HP All-in-One. All faxes stored in memory will be deleted from memory when you turn off the power to the HP All-in-One. Related topics “ Set up backup fax reception” on page 141 Poll to receive a fax Polling allows the HP All-in-One to ask another fax machine to send a fax that it has in its queue. When you use the Poll to Receive feature, the HP All-in-One calls the designated fax machine and requests the fax from it. The designated fax machine must be set for polling and have a fax ready to send. NOTE: The HP All-in-One does not support polling pass codes. Polling pass codes are a security feature that require the receiving fax machine to provide a pass code to the device it is polling in order to receive the fax. Make sure the device you are polling does not have a pass code set up or the HP All-in-One will not be able to receive the fax. To set up poll to receive a fax from the control panel 1. Press the Fax Menu button twice to advance to the Fax Menu. 2. Press to highlight Poll to Receive , and then press OK. 3. When prompted, enter the fax number of the other fax machine. 4. Press Start Fax Black or Start Fax Color . NOTE:If you press Start Fax Color but the sender sent the fax in black and white, the HP All-in-One prints the fax in black and white. Forward faxes to another number You can set up the HP All-in-One to forward your faxes to another fax number. If you receive a color fax, the HP All-in-One forwards the fax in black and white. HP recommends that you verify the number you are forwarding to is a working fax line. Send a test fax to ma ke sure the fax machine is able to receive your forwarded faxes. Receive a fax 143 Fax
To forward faxes from the control panel 1.Press Setup. 2. Press to highlight Advanced Fax Setup , and then press OK. The Advanced Fax Setup menu appears. 3. Press to highlight Fax Forwarding , and then press OK. The Fax Forwarding menu appears. 4. Press until On-Forward or On-Print & Forward appears, and then press OK. • Choose On-Forward if you want to forward the fax to another number without printing a backup copy on the HP All-in-One. NOTE: If the HP All-in-One is not able to forward the fax to the designated fax machine (if it is not turned on, for example), the HP All-in-One will print the fax. If you set up the HP All-in-One to print error reports for received faxes, it will also print an error report. • Choose On-Print & Forward to print a backup copy of your received fax on the HP All-in-One while forwarding the fax to another number. 5. At the prompt, enter the number of the fax machine that will receive the forwarded faxes, and then press OK. 6. At the prompt, enter a start time and date and a stop time and date, and then press OK. If the HP All-in-One loses power when Fax Forwarding is set up, the HP All-in-One saves the Fax Forwarding setting and phone number. When power is restored to the device, the Fax Forwarding setting is still On. NOTE: You can cancel fax forwarding by pressing Cancel on the control panel when the Fax Forwarding message is visible on the display, or you can select Off from the Fax Forwarding menu. Set the paper size for received faxes You can select the paper size for received faxes. The paper size you select should match what is loaded in your input tray. Faxes can be printed on letter, A4, or legal paper only. NOTE: If an incorrect paper size is loaded in the input tray when you receive a fax, the fax does not print and an error message appears on the display. Load letter, A4, or legal paper, and then press OK to print the fax. To set the paper size for received faxes from the control panel 1. Press Setup. 2. Press to highlight Basic Fax Setup , and then press OK. The Basic Fax Setup menu appears. 3. Press to highlight Fax Paper Size , and then press OK. The Fax Paper Size menu appears. 4. Press to highlight an option, and then press OK. Set up the HP All-in-One to check th e paper type before printing faxes By default, the HP All-in-One checks the paper type before printing a fax to ensure plain paper is loaded in the input tray. from printing faxes on photo or transparency paper left in the input tray from a previous job. If you have plain paper loaded and the HP All-in-One is erroneously detecting your paper as a type other than plain, you can change the Paper Checking setting, so this detection does not take place before printing faxes. NOTE: The HP All-in-One always checks the paper size before printing faxes, regardless of the Paper Checking setting. This is to preven t ink from overprinting into the device if a full-size fax was printed on small-size paper. To turn off paper checking from the control panel 1. Press Setup. 2. Press to highlight Basic Fax Setup , and then press OK. 3. Press to highlight Paper Checking , and then press OK. 4. Press to highlight Off, and then press OK. Set automatic reductio n for incoming faxes The Automatic Reduction setting determines what the HP All-in-One does if it receives a fax that is too large for the default paper size. This setting is turned on by default, so the image of the incoming fax is reduced to fit on one page, if possible. If this feature is turned off, information that does not fit on the first page is printed on a second page. Automatic Reduction is useful when you receive a legal-size fax and letter-size paper is loaded in the input tray. To set automatic reduction from the control panel 1. Press Setup. 2. Press to highlight Advanced Fax Setup , and then press OK. The Advanced Fax Setup menu appears. 3. Press to highlight Automatic Reduction , and then press OK. The Automatic Reduction menu appears. 4. Press to highlight Off or On. 5. Press OK. Block junk fax numbers If you subscribe to a caller ID service through your phone provider, you can block specific fax numbers, so the HP All-in-One does not print faxes received from those numbers in the future. When an incoming fax call is received, the HP All-in-One compares the number to the list of junk fax numbers you set up to determine if the call should be blocked. If the number matches a number in the blocked fax numbers list, the fax is not printed. (The maximum number of fax numbers you can block varies by model.) NOTE:This feature is not supported in all countries/regions. If it is not supported in your country/region, Junk Fax Blocker Set Up does not appear in the Basic Fax Setup menu. Set the junk fax mode By default, Block Junk Fax mode is turned On. If you do not subscribe to a caller ID service through your phone provider, or do not want to use this feature, you can turn off this setting. To set the junk fax mode 1. Press Setup. 2. Press to highlight Basic Fax Setup , and then press OK. The Basic Fax Setup menu appears. 3. Press to highlight Junk Fax Blocker Set Up , and then press OK. The Junk Fax Blocker Set Up menu appears. 4. Press to highlight Block Junk Fax , and then press OK. 5. Press to highlight On or Off, and then press OK. Add numbers to the junk fax list There are two ways to add a number to your junk list. You can select numbers from your caller ID history, or you can enter new num bers. The numbers in your junk list will be blocked if Block Junk Fax mode is set to On. To select a number from the caller ID list 1. Press Setup. 2. Press to highlight Basic Fax Setup , and then press OK. The Basic Fax Setup menu appears. 3. Press to highlight Junk Fax Blocker Set Up , and then press OK. The Junk Fax Blocker menu appears. 4. Press to highlight Add number to Junk List , and then press OK. The How to Add menu appears. 5. Press to highlight Select number from Caller ID history , and then press OK. The Add Numbers menu appears. 6. Press to scroll through the numbers from which you have received faxes. When the number you want to block is highlighted, press OK to select it. 7. When the Junk Fax Blocker prompt appears, do one of the following: • If you want to add another number to the list of junk fax numbers , repeat steps 4 through 6. • If you are done , press Back. 3.Press to highlight Junk Fax Blocker Set Up , and then press OK. The Junk Fax Blocker menu appears. 4. Press to highlight Add number to Junk List , and then press OK. The How to Add menu appears. 5. Press to highlight Enter new number , and then press OK. The Enter Junk Number menu appears. 6. Use the keypad to enter a fax number to block, and then press OK. Make sure you accurately enter the caller ID of the number you want to block. On many junk faxes, the number that is printed in the fax header is different than the actual caller ID number. 7. When the Junk Fax Blocker prompt appears, do one of the following: • If you want to add another number to the list of junk fax numbers , repeat steps 4 through 6. • If you are done , press Back. Remove numbers from the junk fax list If you no longer want to block a fax number, you can remove a number from your junk fax list. To remove a number from the junk fax list 1. Press Setup. 2. Press to highlight Basic Fax Setup , and then press OK. The Basic Fax Setup menu appears. 3. Press to highlight Junk Fax Blocker Set Up , and then press OK. The Junk Fax Blocker menu appears. 4. Press to highlight Remove from Junk List , and then press OK. The Remove Numbers menu appears. 5. Press to scroll through the numbers you have blocked. When the number you want to remove is highlighted, press OK to select it. Fax over the Intern et using IP phone You might subscribe to a low-cost phone service that allows you to send and receive faxes with the HP All-in-One by using the Internet. This method is called Fax over Internet Protocol (FoIP). You probably use a FoIP se rvice (provided by your telephone company) if you: • Dial a special access code along with the fax number, or • Have an IP converter box that connects to the Internet and provides analog phone ports for the fax connection. NOTE: You can only send and receive faxes by connecting a phone cord to the 1- LINE port on the back of the HP All-in-One, not by connecting the phone cord to the Ethernet port. This means that your connection to the Internet must be done either through a converter box (w hich supplies regular analog phone jacks for fax connections) or your telephone company. The FoIP service might not work properly when the HP All-in-One is sending and receiving faxes at high speed (33600 bps). If you experience problems sending and receiving faxes, Fax over the Internet using IP phone 147 Fax
use a slower fax speed. You can do this by changing the Fax Speed setting from Fast (33600) (the default) to Medium (14400) . You should also check with your telephone company to make sure their Internet phone service supports faxing. If they do not support faxing, you might encounter intermittent problems when trying to send and receive faxes through the Internet. Related topics “ Set the fax speed” on page 30 Stop faxing You can cancel a fax you are sending or receiving at any time. To stop faxing from the control panel ▲ Press Cancel on the control panel to stop a fax you are sending or receiving. If the HP All-in-One does not stop faxing, press Cancel again. The HP All-in-One prints any pages it has already started printing and then cancels the remainder of the fax. This can take a few moments. To cancel a number you are dialing ▲ Press Cancel to cancel a number you are currently dialing. Chapter 11 148 Use the fax features Fax
12 Print reports and forms The HP All-in-One enables you to print reports and to control when reports are printed automatically. You can also print forms such as ruled papers and checklists. This section contains the following topics: • Print reports • Print forms Print reports The HP All-in-One allows you to print reports and to control when reports are printed automatically. Use the reporting features to print self-test reports and fax reports. NOTE: Some reports might not be available in your country/region. This section contains the following topics: • Print a self-test report • Print fax reports Print a self-test report If you are experiencing problems with printing , print a self-test report before you replace the ink cartridges. This report provides useful information on several aspects of your device, including your ink cartridges. To print a self-test report 1. Load letter, A4, or legal unused plain white paper into the input tray. 2. Press Setup. 3. Press to highlight Print Report , and then press OK. 4. Press to highlight Self-Test Report , and then press OK. The HP All-in-One prints a self-test report, which contains the following information: • Product information : includes the model number, serial number, and other product information. • Revision information : includes the firmware version number. • Ink delivery system information : displays the approximate ink level of each installed ink cartridge, the status of each ink cartridge, the date each cartridge was installed, and the date each cartridge will expire. • Print quality pattern : displays six color blocks, re presenting each of the six installed cartridges. Solid, even blocks of color indicate there are no print quality problems. When streaks are displayed or there are missing blocks, clean the print head using the procedure described in “ Clean the print head” on page 162. If the color blocks still show print quality prob lems after cleaning the print head, align the printer using the procedure described in “ Align the printer” on page 161.
