Select start and end date for the report. 17.9 FULL REPORTS This file contains all the raw data for each day the system is active. The Full Report file is an ASCII file and can be used for further pro- cessing. 18-1 Section 18 FAX 18.1 INTRODUCTION The Fax-On-Demand and Fax Mail options of the emaGEN system are a combination between the voice functionality of the system and the fax card, which serves as the fax interface. It can be accessed by clicking the Fax Settings heading on the the Site --> General screen, shown in Figure 7-1, in Section 7, above. 18.2 FAX PARAMETERS The Site --> Fax Settings screen -- shown in Figure 18-1, below -- contains parameters that configure the fax for your particular site, as follows. Company Name In this field you should enter the company name in the way you wish it to appear in the receiving fax. Outbound calls prefix Use this field to specify any special sequence needed to access an outbound line (e.g. 9,). Legal values:Up to 40 characters Default:None Action:Enter company name. Legal values:Up to 7 digits Default:None Action:Enter prefix sequence.

Area code prefix When an area code is dialed, it sometimes requires a prefix (1 in the US). This field specifies the area code prefix, if any. Section 18: FAX 18-3 General Delivery Mailbox For fax-mail, when the emaGEN detects a fax signal on an incoming call, without any specified mailbox, it will automatically save the fax in this mailbox. Cover Page If you would like your faxes to be preceded by a cover page, enter a file name to be sent as a fax cover sheet. Transfer to mailbox If emaGEN detects a fax signal when answering a line, it will trans- fer immediately to this mailbox, which is an extension connected to a fax machine. Length of local call number When analyzing a number to dial, emaGEN will not check a number for area code, unless it is longer then the length of a local number. Dialing Method Faxes can be sent using Tone or Pulse dialing. Select the method in which your phone network works. 76-110-0887/0, Issue 1 18-4 18.3 FAX LINES The fax lines list -- on the Site --> Fax Settings screen, shown in Fig- ure 18-1, above -- is required to match between the fax devices and the actual analog extensions to which the fax device is connected. For each fax device, define the mailbox/extension it is connected to. 18.4 FAX MAIL 18.4.1 Receiving Faxes If you have a dedicated fax card with DID’s, a fax can be automati- cally received and placed in a mailbox with the corresponding DID number. See the Fax DID field on the Mailbox --> Properties screen, Figure 11-1, in Section 11, above. 18.4.2 Retrieving Faxes There are two options to retrieve messages: using unified messaging or through the phone. A. Unified Messaging For unified messaging, refer to the mailbox e-mail settings. Faxes are received by the e-mail client as an attachment to an e-mail, and can be viewed using any fax viewer (standard on windows 98/Me/ 2000). The fax can then be printed, stored or forwarded. B. Telephone interface The owner will hear the fax option in their mailbox and can specify a fax number to which those messages will be sent. 18.5 FAX-ON-DEMAND 18.5.1 General Fax-On-Demand is executed through the script generator. It is es- sential to adapt the script implementation to the fax configuration. The commands in the script generator are capable of controlling whether to send immediately or to ask for a fax number and dial to
Section 18: FAX 18-5 this number. 18.5.2 Same Call (One-To-One) To implement this mode, make sure the fax card is connected direct- ly to the voice port. A script, which handles this mode, should include a selection of the document number followed by a TransFax com- mand. 18.5.3 Return Call (Dedicated line) To implement this mode, make sure there is a fax card independent of all voice ports, and which is defined as FAX ONLY. 18.5.4 Same Call and Return Call combination In order to use the two modes in the same system: 1. Make sure you have a dedicated card in addition to the on-line card. 2. Port definition must include FAX ONLY ports, as well as VOICE+FAX ports. 3. Use a special script command (Menu 1 Digit /S) to divert the call according to the relevant options. What are the relevant options? There are several cases which may occur, when using the combined mode: 1. All voice lines are equipped with a one-to-one fax card, and in addition there is one or more independent fax lines. In this case, a caller to each line will have the option to get on-line or return- call fax. 2. Some voice lines are equipped with one-to-one fax. A call comes in on a line equipped with fax: the caller will have both options. 3. Some voice lines are equipped with one-to-one fax. A call comes in on a line not equipped with fax: the caller can be told to call a different line for on-line or enter a number for return-call. 4. None of the voice lines is equipped with a fax card. Only dedi- cated fax is available. The system will prompt the caller to enter number for redirection. 18.5.5 Fax Function Descriptions To create a fax-on-demand script, four functions are available: Choose Doc. Get Phone No. Trans. Fax.
76-110-0887/0, Issue 1 18-6 Menu 1 Digit, Choose Doc Use this function to receive the document number required by the caller. In the Parameter field, enter the number of digits to be re- ceived. OK:Document number is valid. ERR:No such document exists or no digits were received. Get Phone No.: Use this function to receive the telephone number of the fax machine to send the document to. In the parameter field, enter two parameters: minimum number of digits to receive and maximum number of digits. Use a comma to separate between the two parameters. The # key can be used by the caller to terminate number entry if it is less then the maximum number of digits. OK:Sufficient number of digits was entered. ERR:Not enough digits were entered. Trans. Fax: Use this function to send the fax to the required destination. Param- eters available for this function are: No Parameter -- Send the selected fax (Choose Doc.) to the selected number. /D -- Play the selected document number (to confirm entry). /P -- Play the selected telephone number (to confirm entry). /S -- Submit fax to queue in a dedicated line call. /O -- Send fax in an on-line call. To send a specific document number (as required by the Menu 1 Dig- it command), add the document number to the: /O -- for example, if the document number is 110, then the com- mand is TransFax/O110; or /S -- for example, if the document number is 110, then the com- mand is TransFax/S110. OK:Fax sent.
Section 18: FAX 18-7 ERR:Not able to send fax. Menu 1 Digit /S: This command checks the configuration of the current line and the fax setup of the entire system. It checks whether the current line can be used for on-line, and if other lines can also be used as on-line and as return-call. It returns one of the following values: 1. This line is equipped with on-line fax and there are no dedicated faxes. 2. This line is equipped with on-line fax and there are also dedi- cated fax lines. 3. This line is not equipped with on-line fax but there are dedicated fax lines. 4. This line is not equipped with on-line fax, there are no dedicated fax lines, but there are other on-line fax lines. 5. There are no fax lines on the system. The current value returns as an entry in the Menu 1 Digit. You should specify the five cases in the number boxes. According to the status, the script goes to the relevant option; for example, if the return value is 1 -- the script will continue to the line corresponding with entry 1. Document Selection The document can be selected in two ways: ChooseDoc - and a parameter indicating the number of digits to receive. You should record a message “Please enter document number”. Menu 1 Digit - record a message containing a list of available documents. For each document assign a corresponding menu entry, which will go to a separate line in the script. This line should contain a TransFax with a specific document number.
