The additional attempts will be made only if the mailbox owner did not respond to the prior notification and had not entered the mailbox as a subscriber. As soon as the mailbox owner entered the mailbox as a subscriber (i.e. dialed # and the mailbox number, followed by the correct password), emaGEN will cease message notification attempts for this schedule line until new mes- sages are left in the mailbox. 76-110-0887/0, Issue 1 11-24 11.9 EMAIL SETTINGS Email settings are defined for each mailbox on the Mailbox --> Email Settings screen -- shown in Figure 11-6, below. Figure 11-6 Mailbox --> Email Settings screen emaGEN is a POP3/IMAP4 compliant server. Users can log in to emaGEN using any standard POP3 or IMAP4 email client (such as Outlook Express, Outlook, Netscape or others) and retrieve their email, voice and fax messages. In addition, emaGEN can send message notification to an email ad- dress. This feature is referred to as Send-mail. The difference between the POP3 implementation and IMAP4 imple- mentation is the level of synchronization between the email client and emaGEN server. With POP3, messages are downloaded from the server to the client. After they are downloaded, the messages are independent from the
Section 11: MAILBOX 11-25 server. Therefore, if the user deletes a message through the email client, it still remains in the server. If the user deletes a message through the telephone, the message still remains in the client. With IMAP4 there is complete synchronization between the client and the server. All the server folders appear in the client view, and when messages are deleted or saved, the client automatically up- dates the server and vice versa. 11.9.1 Enabling the email client To allow a mailbox to work as a unified messaging mailbox, that is, to be accessed by an email client, check the Email Client check box. emaGEN will allow this check box to be checked as long as there are available email clients in the system (license to use email clients is purchased per user). 11.9.2 Setting up the email client for POP3 While setting up a mail account in each client software is done differ- ently, you need to use the following information: User ID: the mailbox number. Email address: you can use any valid email address. Password: you can use either the numeric password of the mailbox or enter a user friendly password in the Client Password field. Pop3 server: the IP address of emaGEN. SMTP server: emaGEN is not used for sending outgoing mail, and therefore you can use any other valid SMTP address. Since the POP3 protocol has no synchronization method between the server and the client, you can use the Message Status after Download POP3 option to maintain some level of synchronization: Unheard: When the client downloads messages from the server, the message status will remain unheard. NOTE To make sure that the client will not receive multiple copies of the message, select the option to leave copy of messages on server from the advanced settings of the email cli- ent. NOTE For this option to work, in the email client advanced options, the option to Leave copy of messages on server must be disabled. Delete: When the client downloads messages from the server, the message will be deleted. NOTE For this option to work, in the email client advanced options, the option to Leave copy of messages on server must be disabled. 11.9.3 Setting up the email client for IMAP While setting up a mail account in each client software is done differ- ently, you will generally need to use the following information: User ID: the mailbox number. Email address: you can use any valid email address. Password: you can use either the numeric password of the mailbox, or enter a user friendly password in the Client Password field. IMAP server: the IP address of emaGEN. SMTP server: emaGEN is not used for sending outgoing mail, and therefore you can use any other valid SMTP address. Make sure the type of mail account is IMAP. After setting up the account, you need to get the IMAP folders from the server and enable them. In some email clients, such as Microsoft Outlook, you will need to restart the client for the folders to be visible. NOTE IMAP is only available in the internet ver- sion of Microsoft Outlook, not in the corpo- rate version. Permanently deleting messages using IMAP When using the IMAP client, you will notice a deleted folder. This folder stores all deleted messages, and can be used to undelete them. If you would like to permanently delete these messages, you can select the Purge Deleted Message option from the Edit menu of the email client.
Section 11: MAILBOX 11-27 11.9.4 Setting up Send-Mail The Send-Mail feature will push messages into a POP3 compliant server. Any incoming voice or fax message will appear in the mail- box defined in the Send Mail field. To maintain synchronization between emaGEN and the mail server, set up the POP3 accounts to check the mailbox to which you send Send Mail. The Push method for unified messaging is useful in a Synchronized Email server environment, such as Microsoft Exchange. Messages will be pushed to the server and then emaGEN will scan the Email server. When the message is removed from the Email server, it will automatically be removed from emaGEN. Anytime a message is deleted from emaGEN, it will be removed from the Email server (the delete field on the POP3 account setting should be checked). You must define an SMTP server through which emaGEN can send the notification. This can be done through the SMTP settings in emaGEN T3adm – change registry keys.
76-110-0887/0, Issue 1 11-28 11.10 POP3 ACCOUNTS POP3 account definitions are made for each mailbox on the Mailbox --> POP3 Accounts screen -- shown in Figure 11-7, below. Figure 11-7 Mailbox --> POP3 Accounts screen The POP3 accounts are used to check email in any of five different email addresses. emaGEN can be set to automatically check these accounts every scheduled amount of time, and if new mes- sages are received, it can light a message light or call out, using the schedule table. In addition, emaGEN can be set to read out the email messages using text-to-speech ( emaGEN Speech must be installed).
Section 11: MAILBOX 11-29 For each mail account you wish to retrieve messages from, set the IP address of the POP3 server, the User ID, and password. You should also set the POP3 port (default it is 110) and timeout (default is 100 seconds). You can also specify if you want emaGEN to delete the message on the server or not. 11.10.1 Synchronize email emaGEN downloads and stores email messages locally. If you would like the messages to be synchronized with the email server on which they were originally received, check the Synchronize Email box. This will ensure that if the message is deleted from the server by another email client (e.g. Outlook Express), the message will also be deleted from emaGEN. 11.11 EMAIL REPLY SETTINGS Email Reply Settings are defined, for each mailbox, on the Mailbox --> Email Reply Settings screen -- shown in Figure 11-8, below. Figure 11-8 Mailbox --> Email Reply Settings screen emaGEN allows users to reply or forward email messages. They can reply or forward with a recorded message (which will be sent as a wave file attachment) or with a predefined text file or attachment. You can set up to five different forward addresses and text or attachment files. The user will then be able to select on-the-fly the address and file they wish to use for forwarding.
