30 4 Memory Security4 Memory Security lets you prevent unauthorized access to the machine. You will not be able to continue to schedule Delayed Faxes or Polling jobs. However, any pre- scheduled Delayed Faxes will be sent even if you turn on Memory Security, so they will not be lost. While Memory Security is On, the following operations are available:„ Receiving faxes into memory (limited by memory capacity) „ Fax Forwarding (If Fax Forwarding was already On) „ Remote Retrieval (If Fax Storage was already On) „ Cordless handset (MFC-990CW only) • Making a call • Receiving a call • Viewing Caller ID (with subscriber service) While Memory Security is On, the following operations are NOT available: „ Printing received faxes „ Sending faxes „ Copying „ PC printing „ Scanning „ PhotoCapture „ PC Fax Receive „ Cordless handset (MFC-990CW only) • Intercom • Transfer a call • Register cordless handset „ Operation from control panel Note • To print the faxes in memory, turn off Memory Security. • You must turn off PC Fax Receive before you can turn on Memory Security. • If you forget the Memory Security password, please call your Brother dealer for service. Turning off the memory security4 aPress Unlock. bEnter the registered 4-digit password using the buttons on the LCD. Press OK. Memory Security is automatically turned off. Note If you enter the wrong password, the LCD shows Wrong Password and stays offline. The machine will stay in Secure mode until the registered password is entered.

34 5 Entering Fax mode5 When you want to send a fax, or change fax send or receive settings, press the (Fax ) key to illuminate it in blue. The LCD shows: Press dor c to scroll through the Fax key options. Some functions are only available when sending monochrome faxes. „ Fax Resolution (See page 39.) „ Contrast (See page 38.) „ Broadcasting (See page 37.) „ Preview (See page 36.) „ Delayed Fax (See page 40.) „ Batch TX (See page 40.) „ Real Time TX (See page 39.) „ Polled TX (See page 87.) „ Polling RX (See page 85.) „ Overseas Mode (See page 40.) „ Glass ScanSize (See page 35.) „ Set New Default (See page 41.) „ Factory Reset (See page 41.) You can also enter the fax number by pressing Speed Dial , press the number you want and press Send a fax . Note You can preview a fax message before sending it by setting Preview to On. Note • To cancel, press Stop/Exit. • If you send a mono fax when the memory is full it will be sent in real time. Sending a Fax35 5 Faxing from the scanner glass5 You can use the scanner glass to fax pages of a book one at a time. The documents can be up to Letter or A4 size. You cannot send colour faxes with multiple pages. Note Since you can only scan one page at a time, it is easier to use the ADF if you are sending a multiple page document. aPress (Fax ). bLoad your document face down on the scanner glass. (See Using the scanner glass on page 21.) cEnter the fax number using the dial pad or Speed Dial . Note You can preview a fax message before sending it by pressing Preview. For details, see How to preview an outgoing fax on page 36. dPress Mono Start or Colour Start. „ If you press Mono Start, the machine starts scanning the first page. Go to step e. „ If you press Colour Start , the machine starts sending the document. eWhen the LCD asks you Next Page? , do one of the following: „ To send a single page, press No (or press Mono Start again). The machine starts sending the document. „ To send more than one page, press Yes and go to step f. fPlace the next page on the scanner glass. Press Mono Start or Colour Start. The machine starts scanning the page. (Repeat steps e and f for each additional page.) Faxing Letter size documents from the scanner glass5 When documents are Letter size, you need to set Glass ScanSize to Letter. If you do not, the side portion of the faxes will be missing. aPress (Fax ). bPress dor c to display Glass ScanSize . cPress Glass ScanSize . dPress Letter. Note You can save the setting you use most often by setting it as default. (See Setting your changes as a new default on page 41.) Colour fax transmission5 Your machine can send a colour fax to machines that support this feature. Colour faxes cannot be stored in the memory. When you send a colour fax, the machine will send it in real time (even if Real Time TX is set to Off).
Chapter 5 36 How to preview an outgoing fax5 You can preview a fax message before you send it. You must set the Real Time Transmission and Polling RX to off before you use this feature. (See Real time transmission on page 39 and Polling receive on page 85.) aPress (Fax ). bPress dor c to display Preview. cPress Preview. dPress On. eLoad the document. fEnter the fax number using the dial pad. You can also enter the fax number by pressing Speed Dial . Then, press a or b to display the number you want, press the number to choose it, and then press Send a fax . gPress Mono Start. The machine starts scanning the document and the outgoing fax appears on the LCD. When the fax is displayed, press MENU. The buttons will appear on the LCD and perform the operations shown below. Note The fax message in the memory will be sent and then erased when you press Mono Start . hPress Mono Start . Cancelling a fax in progress5 If you want to cancel a fax while the machine is scanning, dialling or sending, press Stop/Exit. Button Description Enlarge the fax. Sending a Fax37 5 Broadcasting (Monochrome only) 5 Broadcasting is when the same fax message is automatically sent to more than one fax number. You can include Groups, Speed Dial numbers and up to 50 manually dialled numbers in the same broadcast. After the broadcast is finished, a Broadcast Report will be printed. aPress (Fax ). bLoad your document. cPress dor c to display Broadcasting . dPress Broadcasting . eYou can add numbers to the broadcast in the following ways: „ Press Add Number and enter a number using the buttons on the LCD. Press OK. „ Press Speed Dial . Press to search by Alphabetical Order or Numerical Order. Press the entries that you want to add to the broadcast. Press OK. fAfter you have entered all the fax numbers by repeating step e, press OK. gPress Mono Start. Note • If you did not use up any of the numbers for Groups, you can ‘broadcast’ faxes to as many as 250 different numbers. • The available memory will vary depending on the types of jobs in the memory and the number of locations used for broadcasting. If you broadcast to the maximum numbers available, you will not be able to use dual access and delayed fax. • If the memory is full, press Stop/Exit to stop the job. If more than one page has been scanned, press Mono Start to send the portion that is in the memory. Cancelling a Broadcast in progress5 aPress Stop/Exit. bDo one of the following: „ To cancel the entire broadcast, press Entire Broadcast . Go to stepc. „ To cancel the current job, press the button that displays the number being dialled. Go to step d. „ To exit without cancelling, press Stop/Exit . cWhen the LCD asks if you want to cancel the entire broadcast, do one of the following: „ Press Yes to confirm. „ To exit without cancelling, press No or Stop/Exit. dDo one of the following: „ To cancel the current job, press Yes. „ To exit without cancelling, press No or Stop/Exit. # 01
Chapter 5 38 Additional sending operations 5 Sending faxes using multiple settings5 When you send a fax you can choose any combination of these settings: resolution, contrast, scan size, overseas mode, delayed fax timer, polling transmission and real time transmission. aPress (Fax ). The LCD shows: bPress dor c to display a setting you want to change and press the setting, then press the option you want. cGo back to b to change more settings. Note • Most settings are temporary and the machine returns to its default settings after you send a fax. • You can save some of the settings you use most often by setting them as default. These settings will stay until you change them again. (See Setting your changes as a new default on page 41.) Contrast5 If your document is very light or very dark, you may want to change the contrast. For most documents the factory setting Auto can be used. It automatically chooses the suitable contrast for your document. Use Light when sending a light document. Use Dark when sending a dark document. aPress ( Fax). bPress dor c to display Contrast. cPress Contrast. dPress Auto, Light or Dark. Note Even if you choose Light or Dark, the machine will send the fax using the Auto setting in any of the following conditions: • When you send a colour fax. • When you choose Photo as the Fax Resolution.
