Panafax Desktop 161 Document Management System Section Sending a Document via Windows Application You can send a fax directly from any Windows Application by simply printing to the Panafax Desktop Driver. For e xa mple, compose a document from your wo rd proce ssor application. When yo u are finished an d ready to fax it to a remote location, simply follow the procedure below. Sending Document 1From the current Application select Print from the File menu. 2The Print dialog box appears. Select Pa nafax Desktop Driver from the Printer Name menu. Click the button to convert the document into a Fax image. 3Enter the recipie nts Fax No., Name and Company or select your Personal Phone Book. Note: To input a pause, use the comma ,. Click the button to enter the recipient to the recipient list. Enter/select another recipient if you desire. Type the Subject in the Subject field and a brief message to be included in the Cover Sheet. Click the icon when ready to send the fax. Note: Click the icon to verify the fax image to be sent to the remote station(s). OK

Note: 1. Click the button to enable the retrieval of the phonebook data from the device. 2. To use the Acquire Device’s Phone Book function, the Key Operators Password is required. See page 149 “Transmission/ Reception Tab | Acquires Phone Book data from the device”. 3. If setup as a Client PC, only the Phone Book data can be acquired from the device by the Server PC. 4. Note:Thoug h a pause usually is ind icated as a co mma (,) with Panafax De sktop, it is changed into p by the import and export of the CSV file. Please input pause with p when you make a CSV file. Importing from the CSV file 1On the Phone Book dialog box, Select File | Import... from the menu. 2Select the file to be imported and click the button. 3Confirm the contents of the Data Field and Addressbook Field ma tch. Select the Data Field you want to import to. Select the item and click the button to change the fie ld setting if the Da ta Field a nd Addressbook Field doesnt mach. Click the button if you completed. No te: 1.Name and Fax No. of the Address book field are essential (minimum requirements). Please remove the check box of any unnecessary Address book Field(s). 2. The characters except for the following are prohibited for use in the Fax No. field. A telephone number or any data will not be imported if any of the prohibited characters are contained within it.
