Troubleshooting and Routine Maintenance125 B No Paper FedThe machine is out of paper or paper is not properly loaded in the paper tray. Do one of the following: „ Refill the paper in the paper tray, and then press Black Start or Color Start . „ Remove the paper and load it again and then press Black Start or Color Start . The paper is jammed in the machine. See Printer jam or paper jam on page 128. No Response/Busy The number you dialed does not answer or is busy. Verify the number and try again. Not Registered You tried to access a Speed Dial number that is not programmed. Set up the Speed Dial number. (See Storing Speed Dial numbers on page 56.) Out of Memory The machines memory is full. Fax sending or copy operation in progress Do one of the following: „ Press Stop/Exit and wait until the other operations in progress finish and then try again. „ Clear the data in the memory. To gain extra memory, you can turn off Advanced Fax Operation. (See Turning off Advanced Fax Operations on page 65.) „ Print the faxes that are in the memory. (See Printing a fax from the memory on page 42.) The memory card or USB flash memory drive you are using does not have enough free space to scan the document. Delete unused files from your memory card or USB Flash memory drive to make some free space and then try again. Paper Jam Paper is jammed in the machine. Open the Jam Clear Cover (at the back of the machine) and remove the jammed paper. (See Printer jam or paper jam on page 128.) Unable to Clean XX Unable to Init. XX Unable to Print XX Unable to Scan XX The machine has a mechanical problem. — OR — A foreign object such as a clip or ripped paper is in the machine. Open the scanner cover and remove any foreign objects inside the machine. If the error message continues, do one of the following: „ See Transferring your faxes or Fax Journal report on page 126 before disconnecting the machine so you will not lose any important messages. Then, disconnect the machine from the power for several minutes and then reconnect it. Error MessageCauseAction
126 Error animationB Error animation displays step-by-step instructions when paper gets jammed or ink cartridges become empty. You can read the steps at your own pace by pressing c to see the next step and d to go backward. If you do not press a key after 1 minute, the animation starts running automatically again. Note You can press d, c or OK to pause the auto-animation and go back to step-by- step mode. Transferring your faxes or Fax Journal reportB If the LCD shows: „ Unable to Clean XX „ Unable to Init. XX „ Unable to Print XX „ Unable to Scan XX We recommend transferring your faxes to another fax machine or to your PC. (See Transferring faxes to another fax machine on page 127 or Transferring faxes to your PC on page 127.) You can also transfer the Fax Journal report to see if there are any faxes you need to transfer. (See Transferring Fax Journal report to another fax machine on page 127.) Note If there is an error message on the machines LCD, after the faxes have been transferred, disconnect the machine from the power source for several minutes, and then reconnect it. Unusable Device Disconnect device from front connect or & turn machine off&thenon A broken device has been connected to the USB direct interface. Unplug the device from the USB direct interface, then press On/Off to turn the machine off and then on again. Unusable Device Please Disconnect USB Device. A USB device or USB Flash memory drive that is not supported has been connected to the USB direct interface. For more information, visit us at http://solutions.brother.com. Unplug the device from the USB direct interface. Wrong Paper Size Paper is not the correct size. Load the correct size of paper (Letter, Legal or A4), and then press Black Start or Color Start . Troubleshooting and Routine Maintenance127 B Transferring faxes to another fax machine B If you have not set up your Station ID, you cannot enter fax transfer mode. aPress Stop/Exit to interrupt the error temporarily. bPress Menu. cPress a or b to choose Service. Press OK. dPress a or b to choose Data Transfer . Press OK. ePress a or b to choose Fax Transfer . Press OK. fDo one of the following: „ If the LCD shows No Data, there are no faxes left in the machines memory. Press Stop/Exit . „ Enter the fax number to which faxes will be forwarded. gPress Black Start . Transferring faxes to your PC B You can transfer the faxes from your machines memory to your PC. aPress Stop/Exit to interrupt the error temporarily. bMake sure you have installed MFL-Pro Suite on your PC, and then turn on PC FAX Receiving on the PC. (For details see PC- FAX receiving for Windows ® in the Software User’s Guide on the CD-ROM.) cMake sure you have set PC Fax Receive on the machine. (See PC Fax Receive on page 63.) If faxes are in the machine’s memory when you set up PC Fax Receive, the LCD will ask if you want to transfer the faxes to your PC. dDo one of the following: „ To transfer all faxes to your PC, press 1. You will be asked if you want a backup print. „ To exit and leave the faxes in the memory, press 2. ePress Stop/Exit . Transferring Fax Journal report to another fax machine B If you have not set up your Station ID, you cannot enter fax transfer mode. aPress Stop/Exit to interrupt the error temporarily. bPress Menu. cPress a or b to choose Service. 128 Document jam B Documents can jam in the ADF unit if they are not inserted or fed properly, or if they are too long. Follow the steps below to clear a document jam. Document is jammed in the top of the ADF unit B aTake out any paper from the ADF that is not jammed. bOpen the ADF cover. cPull the jammed document up and to the left. dClose the ADF cover. ePress Stop/Exit . Note To avoid document jams close the ADF cover properly by pressing it down in the middle. Document is jammed inside the ADF unit B aTake out any paper from the ADF that is not jammed. bLift the document cover. cPull the jammed document out to the left. dClose the document cover. ePress Stop/Exit . Printer jam or paper jamB Take out the jammed paper depending on where it is jammed in the machine. aPull the paper tray (1) out of the machine. bPull out the jammed paper (1) . 1 1
Troubleshooting and Routine Maintenance129 B cReset the machine by lifting the scanner cover from the front of the machine and then closing it.„ If you cannot remove the jammed paper from the front of the machine, or the error message still appears on the LCD after you have removed the jammed paper, please go to the next step. dRemove the Jam Clear Cover (1) from the back of the machine. Pull the jammed paper out of the machine. CAUTION DO NOT place the jam clear cover face down as shown in the illustration. You may damage the cover and cause paper jams. ePut the Jam Clear Cover back on. Make sure the cover is set properly. fUsing both hands, use the plastic tabs on both sides of the machine to lift the scanner cover (1) unti l it locks securely into the open position. Make sure that there is no jammed paper left in the corners of the machine. Note If the paper is jammed under the print head, unplug the machine from the power source, and then move the print head to take out the paper. 1 1
130 gLift the scanner cover to release the lock (1). Gently push the scanner cover support down (2) and close the scanner cover (3). hPush the paper tray firmly back into the machine. Note Make sure you pull out the paper support until it clicks. Dial Tone B Setting the dial tone to Detection will shorten the dial detect pause. aPress Menu. bPress a or b to choose Initial Setup . Press OK. cPress a or b to choose Dial Tone . Press OK. dPress a or b to choose Detection or No Detection . Press OK. ePress Stop/Exit . Telephone line interferenceB If you are having problems sending or receiving a fax due to possible interference on the telephone line, you can change the compatibility setting, which reduces the modem speed to minimise errors. aPress Menu. bPress a or b to choose Fax. Press OK. cPress a or b to choose Miscellaneous . Press OK. dPress a or b to choose Compatibility . Press OK. ePress a or b to choose Normal (or Basic ). „ Basic reduces the modem speed to 9600 bps. Unless interference is a recurring problem on your telephone line, you may prefer to use it only when needed. „ Normal sets the modem speed at 14400 bps. (factory setting) Press OK. fPress Stop/Exit . Note When you change the compatibility to Basic , the ECM feature is only available for color fax sending.
Troubleshooting and Routine Maintenance131 B Routine maintenanceB Replacing the ink cartridgesB Your machine is equipped with an ink dot counter. The ink dot counter automatically monitors the level of ink in each of the 4 cartridges. When the machine detects an ink cartridge is running out of ink, the machine will tell you with a message on the LCD. The LCD will tell you which ink cartridge is low or needs replacing. Be sure to follow the LCD prompts to replace the ink cartridges in the correct order. Even though the machine tells you that an ink cartridge is empty, there will be a small amount of ink left in the ink cartridge. It is necessary to keep some ink in the ink cartridge to prevent air from drying out and damaging the print head assembly. aOpen the ink cartridge cover. If one or more ink cartridges are empty, for example Black, the LCD shows Ink Empty and Black. bPull the lock release lever down and take out the ink cartridge for the color shown on the LCD. cOpen the new ink cartridge bag for the color shown on the LCD, and then take out the ink cartridge. dRemove the protective yellow cap (1). Improper Setup DO NOT touch the area shown in the illustration below. 1
132 Note If the protective yellow caps come off when you open the bag, the cartridge will not be damaged. eEach color has its own correct position. Insert the ink cartridge in the direction of the arrow on the label. fLift the lock release lever and push it until it clicks, and then close the ink cartridge cover. gThe machine will automatically reset the ink dot counter. Note • If you replaced an ink cartridge, the LCD will ask you to verify that it was a brand new one. (For example, Did You Change Black ) For each new cartridge you installed, press 1(Yes ) to automatically reset the ink dot counter for that color. If the ink cartridge you installed is not a brand new one, be sure to press 2 ( No ). • If the LCD shows No Cartridge after you install the ink cartridges, check that the ink cartridges are installed properly. WARNING If ink gets in your eyes, wash them out with water at once and call a doctor if you are concerned. CAUTION DO NOT take out ink cartridges if you do not need to replace them. If you do so, it may reduce the ink quantity and the machine will not know the quantity of ink left in the cartridge. DO NOT touch the cartridge insertion slots. If you do so, the ink may stain your skin. If ink stains your skin or clothing, wash with soap or detergent at once. If you mix the colors by installing an ink cartridge in the wrong position, clean the print head several times after correcting the cartridge installation. Once you open an ink cartridge, install it in the machine and use it up within six months of installation. Use unopened ink cartridges by the expiration date written on the cartridge package. DO NOT dismantle or tamper with the ink cartridge, this can cause the ink to leak out of the cartridge. Mbrother

We also strongly recommend that you continue to use only Genuine Brother Brand replacement ink cartridges. Use or attempted use of potentially incompatible ink and/or cartridges in the Brother machine may cause damage to the machine and/or may result in unsatisfactory print quality. Our warranty coverage does not apply to any problem that is caused by the use of unauthorized third party ink and/or cartridges. To protect your investment and obtain premium performance from the Brother machine, we strongly recommend the use of Genuine Brother Supplies. Cleaning the outside of the machineB CAUTION Use neutral detergents. Cleaning with volatile liquids such as thinner or benzine will damage the outside surface of the machine. DO NOT use cleaning materials that contain ammonia. DO NOT use isopropyl alcohol to remove dirt from the control panel. It may crack the panel. Clean the outside of the machine as follows: B aPull the paper tray (1) completely out of the machine. bWipe the outside of the machine with a soft cloth to remove dust. cRemove anything that is stuck inside the paper tray. dWipe the paper tray with a soft cloth to remove dust. ePut the paper tray firmly back in the machine. 1
134 Cleaning the scannerB aLift the document cover (1). Clean the scanner glass (2) and the white plastic (3) with a soft lint-free cloth moistened with a non-flammable glass cleaner. bIn the ADF unit, clean the white bar (1) and the glass strip (2) with a lint-free cloth moistened with a non-flammable glass cleaner. Note In addition to cleaning the scanner glass and glass strip with a non-flammable glass cleaner, run your finger tip over the glass to see if you can feel anything on it. If you feel dirt or debris, clean the glass again concentrating on that area. You may need to repeat the cleaning process three or four times. To test, make a copy after each cleaning. Cleaning the machine printer platenB WARNING Be sure to unplug the machine from the AC power outlet before cleaning the printer platen (1). If ink is scattered on or around the printer platen wipe it off with a soft, dry, lint-free cloth. aUsing both hands, use the plastic tabs on both sides of the machine to lift the scanner cover until it locks securely into the open position. bClean the machine printer platen (1). 1 2 3 1 2 1
