Click here to go online for more information. Copies are blank or faded ● The contrast setting might be set too light. From the printer c ontrol panel display, touch Copy, touch and Settings , touch Lighter/Darker , and then use the arrows to create darker copies. ● The quality setting of Fast (which produces draft-quality co pies) might be responsible for the missing or faded documents. Change to the Normal or Best setting. ◦ The contrast setting might be set too light. From the printer control panel display, touch Copy , touch and Settings , touch Lighter/Darker , and then use the arrows to create darker copies. Size is reduced ● The reduce/enlarge or other copy feature might have been set fr om the printer control panel to reduce the scanned image. Check the settings for the copy job to make sure that they are for normal size. ● The HP software settings might be set to reduce the scanned ima ge. Change the settings, if needed. For more information, see the on-screen H elp for the HP software. ● The dirty scanner glass might red uce the scanned image. Clean the scanner glass or lid backing. For more information, see Maintain the printer on page 34. ● This incoming page size may be la rger than the original currently loaded. Copy quality is poor ●Check the printer ◦ The scanner lid might not be closed correctly. ◦ The scanner glass or lid backing might need cleaning. For mo re information, see Maintain the printer on page 34. ● Unwanted lines ◦ The scanner glass, lid backing, or frame might need cleaning. F or more information, see Maintain the printer on page 34. ● Copy is slanted or skewed If you are using the automatic d ocument feeder (ADF), check the following: ◦ Make sure that the ADF input tray is not too full. ◦ Make sure that the ADF width adj usters are snug against the sides of the paper. Click here to go online for more information. Scanner did nothing ●Check the original ◦ Make sure that the original is lo aded correctly. For more information, see Load an original on the scanner glass on page 27 or Load an original in the document feeder on page 28. ● Check the printer ◦ The printer might be coming out of Sleep mode after a period of inactivity, which delays processing a short while. Wait u ntil the printer displays the Home screen. ● Check the HP software Make sure that the HP software provided with the printer is ins talled correctly. NOTE:If you do not scan frequently, you can choose to turn off the f eature. ◦(Windows) Open the HP printer so ftware. For more information, see Open the HP printer software (Windows) on page 37. In the window that appears, go to the Scan section under Print, Scan & Fax , select Scan a Document or Photo . ◦ (OS X) Open HP Utility. For more information, see HP Utility (OS X) on page 117. Under Scan Settings, select Scan to Computer, and ensure that Enable Scan to Computer is selected. Scan takes too long Scanning with higher scan resolu tion takes longer and results in larger file sizes. Lower the resolution to scan more quickly. For more information, see Load an original on the scanner glass on page 27. ◦ Colored backgrounds can cause images in the foreground to blend into the background. Try adjusting the settings before you scan the original, or try enhancing the image after you scan the original. ● Check the settings ◦ Make sure that the inp ut paper size is large enough for the ori ginal that you are scanning. ◦ If you are using the HP printer software, the default settings in the printer software might be set to automatically perform a s pecific task other than the one that you are attempting. See the on-screen Help for the printe r software for instructions about changing the properties. Text cannot be edited ●Make sure that the OCR has been installed: Depending on your operating syst em, do one of the following: ◦ Windows 8: Right-click an empty area on the Start screen, click All Apps on the app bar, select the printer name, and then click Utilities. Select Printer Setup & Software . Click Add more software , click Customize Software Selections , and make sure the OCR option is selected. ◦ Windows 7, Windows Vista , and Windows XP: From the computer desktop, click Start, select All Programs , click HP, select your printer name, and then select Printer Setup & Software . Click Add More Software , click Customize Software Selections , and make sure the OCR option is selected. ◦ (OS X) If you have installed the HP printer software using the Minimum installation option, the OCR software might not have been installed. To install this software, place the printer software CD into the computer, double-click the HP Installer icon on the printer software CD. When you scan the original, make sure that you select a document type in the software that creates editable text. If text is classified as a graphic, it is not converted to text. If you are using a separate OCR (optical character recognition) program, the OCR program might be linked to a word-proces sing program that does not perform OCR tasks. For more information, see the documentati on provided with the OCR program. Make sure you have selected an OCR language that corresponds to the language used for the document you are scanning. For more information, see the docume ntation provided with the OCR program. ● Check the originals ◦ When scanning documents as edita ble text from the ADF, the original must be loaded into the ADF with the top forward and print-side up. When scanning from the scanner glass, the original must be loaded with the top facing the right edge of t he scanner glass. Also, make sure the document is not skewed. For more information, see Load an original on the scanner glass on page 27 or Load an original in the document feeder on page 28. ◦ The software might not recognize text that is tightly spaced. For example, if the text that the software converts has missing or combined characters, "rn" might appear as "m." 138 Chapter 10 Solve a problem ENWW
◦The accuracy of the software depe nds on the image quality, text size, and structure of the original and the quality of the scan itself. Make sure that you r original has good image quality. ◦ Colored backgrounds can cause images in the foreground to blend too much. Scanned image quality is poor ●Text or images on the back of a two-sided original appear in the scan ◦ Two-sided originals can "bleed" text or images from the back side to the scan if the originals are printed on paper that is too thin or too transparent. ● Unwanted lines Ink, glue, correction fluid, or an unwanted substance might be on the scanner glass. Try cleaning the scanner glass. For more information, see Maintain the printer on page 34. ● The scanned image is skewed (crooked) ◦ The original might have been loa ded incorrectly. Be sure to use the paper-width guides when you load the originals into the ADF. For more information, see Load an original in the document feeder on page 28. For best results, use the scann er glass for scanning rather tha n the ADF. For more information, see Load an original on the scanner glass on page 27. ● The scanned image shows blots, li nes, vertical white stripes, or other defects ◦ If the scanner glass is dirty, the image produced does not have optimum clarity. See Maintain the printer on page 34 for cleaning instructions. ◦ The defects might be on the original and are not a result of th e scanning process. ● Size is reduced ◦ The HP printer software settings might be set to reduce the scanned image. See the HP printer software Help for more information about cha nging the settings. Unable to scan to network folder NOTE:HP Digital Filing does not su pport Active Directory. ●The computer where the network folder is located is turned off Make sure the computer where t he network folder is stored is turned on and connected to the network. ● The network folder has not been set up correctly ◦ Make sure the folder i s created on the server. For more information, see the documentation available for your operating system. ◦ Make sure the folder has been sh ared and that users can both read and write to the folder. If you are using a Mac computer, make sure you have enabled SMB sharing. For more information, see the documentation available for your operating system. ◦ Make sure the folder name uses only the letters or characters s upported by the operating system. ◦Make sure the folder name is entered in the correct format in t he HP software. For more information, see the information in the wizard or the setup assistant. ◦ Make sure the valid username and password have been entered. For more information, see the information in the wizard or the setup assistant. ● The disk is full Make sure the server containing the network folder has sufficient free disk space. ● The printer cannot create a unique filename using the assigned prefix and suffix or the filename prefix has not be en set up correctly ◦ The printer can create up to 9,999 files using the same prefix and suffix. If you have scanned many files to a folder, change the prefix. ◦ Make sure the filename prefix us es only the letters or characters supported by the operating system. For more infor mation, see the documentation a vailable with the operating system. Unable to scan to email ● The email profile has not been set up correctly Make sure the valid outgoing SMTP server settings have been specified in the HP software. For more information about the SMTP s erver settings, see the documentation provided by your email service provider. ● Email messages are sent to some recipients but not to others wh en sending to multiple recipients The email addresses might not be correct or might not be recogn ized by the email server. Make sure that the email addresses fo r all email recipients have been entered correctly in the HP software. Check your email Inbox for any delivery notification failure messages from the email server. ● Sending large email messages Some email servers have been co nfigured to reject email messages larger than a pre- determined size. To determine if your email server has a maximu m file-size limit, see the documentation provided by your email service provider. If the email server does have such a limit, change the maximum emai l attachment size for the outgoing email profile to a value smaller than that of the email server. 140 Chapter 10 Solve a problem ENWW
Solve fax problems This section contains fax setup troubleshooting information for the printer. If the printer is not set up correctly for faxing, you might e xperience problems when sendin g faxes, receiving faxes, or both. If you are having faxing problem s, you can print a fax test report to check the status of the printer. The test fails if the printer is not set up correctly for faxin g. Perform this test after you have completed setting up the printer for faxing. For more information, see Test fax setup on page 204. If the test fails, review the report for information on how to fix any problems found. Learn more information about running fax test, click here to go online for more information. For further assistance, visit the HP online support site www.hp.com/support. ● The fax test failed ● The display always shows Phone Off Hook ● The printer is having problems sending and receiving faxes ● The printer cannot receive faxes, but can send faxes ● The printer cannot send fa xes, but can receive faxes The fax test failed If you ran a fax test and the test failed, review the report for basic information about the error. For more detailed information, check the report to see which part o f the test failed, and then review the appropriate topic in this se ction for solutions to try. After a few seconds, plug the power cord in again, and then turn the power on. Run the test again. If the test fails again, continue reviewing the troubleshooting information in this section. ● Try to send or receive a test fax. If you can send or receive a fax successfully, there might not be a problem. ● If you are running the test from the Fax Setup Wizard (Windows) or HP Utility (OS X), make sure the printer is not busy completing another task, such as receiving a fax or making a copy. Check the display for a message indicat ing that the printer is busy. If it is busy, wait until it is finished and in the idle state b efore running the test. ENWW Solve fax problems 141
●Make sure you use the phone cord that came with the printer. If you do not use the supplied phone cord to connect from the telephone wall jack to the printer, you might not be able to send or receive faxes. After you plug in the phone cord that came wi th the printer, run the fax test again. ● If you are using a phone splitter, this can cause faxing proble ms. (A splitter is a two-cord connector that plugs into a tel ephone wall jack.) Try removing the splitter and connecting the printer directly to th e telephone wall jack. After you resolve any problems f ound, run the fax test again to make sure it passes and the printer is ready for faxing. If the Fax Hardware Test continues to fail and you experience problems faxing, contact HP support. Go to www.hp.com/support. This website provides information and utilities that can help you correct many common printer problems. If prompted, select your country/region, and then click Contact HP for information on callin g for technical support. The "Fax Connected to Active Telephone Wall Jack" test failed ●Check the connection between the telephone wall jack and the pr inter to make sure the phone cord is secure. ● Make sure you use the phone cord that came with the printer. If you do not use the supplied phone cord to connect from the telephone wall jack to the printer, you might not be able to send or receive faxes. After you plug in the phone cord that came wi th the printer, run the fax test again. ● Make sure you have correctly connected the printer to the telep hone wall jack. Using the phone cord supplied in the box with th e printer, connect one end to your telephone wall jack, then connect the other end to the po rt labeled 1-LINE on the back of the printer. If you do not hear a dial tone, contact your telephone company and have them check the line. ● Try to send or receive a test fax. If you can send or receive a fax successfully, there might not be a problem. After you resolve any problems f ound, run the fax test again to make sure it passes and the printer is ready for faxing. The "Phone Cord Connected to Corre ct Port on Fax" test failed Plug the phone cord into the correct port. ●Make sure you use the phone cord that came with the printer. If you do not use the supplied phone cord to connect from the telephone wall jack to the printer, you might not be able to send or receive faxes. After you plug in the phone cord that came wi th the printer, run the fax test again. ● If you are using a phone splitter, this can cause faxing proble ms. (A splitter is a two-cord connector that plugs into a tel ephone wall jack.) 1.Using the phone cord supplied in the box with the printer, conn ect one end to your telephone wall jack, then connect the oth er end to the port labeled 1-LINE on the back of the printer. NOTE:If you use the 2-EXT p ort to connect to the telephone wall jack , you cannot send or receive faxes. The 2-EXT port sh ould only be used to connect other equipment, such as an answering machine. Try to send or receive a test fax. The "Using Correct Type of Phone Cord with Fax" test failed ●Make sure you used t he phone cord supplied in the box with the printer to connect to the telephone wall jack. One end o f the phone cord should be connec ted to the port labeled 1-LINE on the back of the printer, and t he other end to your telephone wall jack, as shown in the illustration. 1 Telephone wall jack 2 Use the phone cord supplied in the box with the printer to conn ect to the "1-LINE" port If the phone cord that came with the printer is not long enough, you can use a longer 2-wire phone cord to extend the length . You can purchase the cord at a n electronics store that carries phone accessories. ● Check the connection between the telephone wall jack and the pr inter to make sure the phone cord is secure. ●Make sure you use the phone cord that came with the printer. If you do not use the supplied phone cord to connect from the telephone wall jack to the printer, you might not be able to send or receive faxes. After you plug in the phone cord that came wi th the printer, run the fax test again. ● If you are using a phone splitter, this can cause faxing proble ms. (A splitter is a two-cord connector that plugs into a tel ephone wall jack.) Try removing the splitter and connecting the printer directly to th e telephone wall jack. The "Dial Tone Detection" test failed ●Other equipment, which uses the same phone line as the printer, might be causing the test to fail. To find out if other equipme nt is causing a problem, disconnect everything from the phone line, and then run the test again. If the Dial Tone Detection Test passes without the other equipment, then one or more pieces of the equipment is causing problems; try add ing them back one at a time and rerunning the test each time, until you ident ify which piece of equipment is causing the problem. ● Try connecting a working phone and phone cord to the telephone wall jack that you are using for the printer and check for a dial tone. If you do not hear a dial tone, contact your telephone company and have them check the line. ● Make sure you have correctly connected the printer to the telep hone wall jack. Using the phone cord supplied in the box with th e printer, connect one end to your telephone wall jack, then connect the other end to the por t labeled 1-LINE on the back of the printer. ● If you are using a phone splitter, this can cause faxing proble ms. (A splitter is a two-cord connector that plugs into a tel ephone wall jack.) Try removing the splitter and connecting the printer directly to th e telephone wall jack. ● If your telephone system is not using a standard dial tone, such as some PBX systems, this might cause the test to fail. This does not cause a problem sending or receiving faxes. Try sending or receiving a test fax. ● Check to make sure the country/re gion setting is set appropriately for your country/region. If the country/region setting is not se t or is set incorrectly, the test might fail and you might have problems sending and receiving faxes. ● Make sure you connect the printe r to an analog phone line or you cannot send or receive faxes. To check if your phone line is digital, connect a regular analo g phone to the line and listen for a dial tone. If you do not hear a normal sounding dial tone, it might be a phone line set up for digital phones. Connect the prin ter to an analog phone line and try sending or receiving a fax. ● Make sure you use the phone cord that came with the printer. If you do not use the supplied phone cord to connect from the telephone wall jack to the printer, you might not be able to send or receive faxes. After you plug in the phone cord that came wi th the printer, run the fax test again. After you resolve any problems f ound, run the fax test again to make sure it passes and the printer is ready for faxing. If the Dial Tone Detection test continues to fail, contac t your telephone company and have them check the phone line. The "Fax Line Condition" test failed ● Make sure you connect the printe r to an analog phone line or you cannot send or receive faxes. To check if your phone line is digital, connect a regular analo g phone to the line and listen for a dial tone. If you do not hear a normal sounding dial tone, it might be a phone line set up for digital phones.
