Fax 5-12 Introduction to Using Fax Functions Reg is te rin g t h e M ach in e’s N am e Registering the Machine’s Name Your name or company’s name must be registered as the machine’s name. B asic M eth od s f o r S en d in g F a xe s Basic Methods for Sending Faxes This section describes the flow of sending faxes. 1 Place documents. 2 Press [FAX]. 3 Adjust any necessary scan settings for your documents. C allin g t h e R ecip ie n t b efo re Calling the Recipient before S en d in g F a x D ocu m en ts ( M an ual Sending Fax Documents (Manual S en d in g) Sending) Use manual sending when you want to talk to the recipient before sending a document, or if the recipient does not have a fax machine that can receive automatically. You cannot use the platen glass for manual sending. You cannot use group addresses for manual sending. You cannot use 2-Sided scanning mode for manual sending. 1 Connect an external telephone to the machine if you want to talk to the recipient before sending a document. For information on how to connect an external telephone to the machine, see “Make Fax Settings,” in the Starter Guide or “Setting Up the Machine,” in the e-Manual. – – –
Fax 5-14 Sending Fax Documents 2 Place documents in the ADF. 3 Press [FAX]. 4 Adjust any necessary settings for your documents. For details, see “Adjusting Density,” on p. 5-23, “Selecting Image Quality,” on p. 5-24, and “2-Sided Document (MF4380dn Only),” on p. 5- 25. 5 Press [Hook] or pick up the handset of your external telephone. If you press [Hook], you can temporarily adjust the monitor tone volume with [ ] and [ ]. 6 Dial the recipient’s fax number. Make sure to confirm the dial tone before entering a fax number. If you enter the number before the dial tone is heard, the call may not connect, or the wrong number may be dialed. 7 Talk through the handset to the recipient. If you press [Hook] in step 5, you can pick up the handset when you hear the recipient’s voice. If you hear a high-pitched signal instead of the recipient’s voice, go to step 9. 8 Ask the recipient to set their fax machine to receive faxes. – – 9 When you hear a high-pitched signal, press [Start], then hang up the handset. Scanning starts, and the scanned data is sent to the specified destination when scanning is complete. S w it c h in g T e m pora ril y t o T o n e Switching Temporarily to Tone D ia lin g Dialing If your machine is set for pulse dialing, use the procedure below to switch to tone dialing to use information services (e.g., banks, airline reservations, and hotel reservations). To talk to the other party, you will need to connect an external telephone to the machine. 1 Press [FAX]. 2 Press [Hook]. Make sure to confirm the dial tone before entering a fax number. If you enter the number before the dial tone is heard, the call may not be connected, or the wrong number may be dialed. 3 Enter the number of the fax information service using – [numeric keys]. =031XXXXXX Ex. 4 When the recorded message of the information service answers, press [Tone] to switch to tone dialing. =031XXXXXXT Ex.

If you are using the external telephone, hang up the handset after pressing [Start]. D ia lin g a n O ve rs e as N um ber ( W it h Dialing an Overseas Number (With Pau se s) Pauses) When you dial or register an overseas number, you may need to insert a pause within the number. 1 Place documents. 2 Press [FAX]. 3 Adjust any necessary scan settings for your documents. For details, see “Adjusting Density,” on p. 5-23, “Selecting Image Quality,” on p. 5-24, and “2-Sided Document (MF4380dn Only),” on p. 5- 25. 4 Enter the international access code using – [numeric keys]. =012 Ex. For details on international access codes, contact your local telephone company. 5 If necessary, press [Redial/Pause] to insert a pause. =012P Ex. The letter is displayed between the numbers. in the fax/telephone number represents 2.5-second pause. Fax 5-16 Sending Fax Documents Basic M eth od s f o r S en d in g P C Basic Methods for Sending PC Fa xe s Faxes This section describes the flow of sending PC faxes. Make sure that the fax driver is installed. For details on the fax driver settings, see “Fax,” in the e-Manual. Sending documents from a computer and scanning documents over the network cannot be processed at the same time. If this happens, these documents are handled differently depending on the following: If you send PC documents when the machine is scanning documents, the machine scans documents first, then starts sending the PC documents when scanning is complete. If you scan documents when the machine is sending PC documents, scanning is canceled. Wait for the PC documents to be sent out, then perform the scanning operation again. 1 Open the document you want to fax from the application. 2 Select [Print] from the [File] menu. The procedure for displaying the [Print] dialog box may differ depending on the application you are using. 3 Select your fax from [Name], then click [Properties]. The fax name displayed in the fax driver screen is changed by settings in the [Printers] folder (or [Printers and Faxes]). (See “Fax,” in the e-Manual.) The procedure for displaying the fax driver screen may differ depending on the applications you are using. – – 4 Configure the required settings in the fax driver screen, then click [OK]. 5 Click [OK]. – – 6 Specify recipient name and fax number in the [Sending Settings] sheet, click [Add to Recipient List]. The number of recipients to which you can send simultaneously depends on the conditions of cover sheet attachment. For more information, click [Help] in the bottom righthand corner of the fax driver window to view the online help. You can select a recipient from the address book by clicking [Address Book]. (See “Fax,” in the e-Manual.) You cannot access or edit the address book if you do not have access permission (default: Power Users or higher) to the destination folder of the address book. If this is the case, log on as user having access permission to the folder, or click [Specify a Folder] in the [Edit Address Book] sheet, and change the destination folder of the address book to a folder, such as the [My Documents] folder, that you have write permission for. For details about how to change the destination folder of the address book, see “Fax,” in the e-Manual. – – – 7 If you want to attach a cover sheet, select [Cover Sheet] sheet, specify a format for the cover sheet. See “Fax,” in the e-Manual for cover sheet attachment. 8 Click [OK].

You can also cancel a transmission from the Status Monitor screen. (See “Checking/Deleting Fax Transmission Documents,” on p. 5 - 45.) 1 Press [Stop/Reset] during transmission. 2 When the message appears, press [ ] to select . < YES NO > CANCEL DURING TX/RX? For sending jobs, remove any unscanned documents from the ADF. If you are in the copy or scan standby mode and want to cancel a fax job, press [FAX] to return to the fax mode first. – –

You can select a destination stored in a one-touch key or coded dial codes, or specify a new destination. Sp ecif y in g a N ew F a x N um ber Specifying a New Fax Number You can specify a new fax number using – , [numeric keys] and [Tone]. 1 Place documents. 2 Press [FAX]. 3 Adjust any necessary scan settings for your documents. Fax 5-19 Specifying Destinations Usin g t h e O ne-T o u ch K eys Using the One-Touch Keys You can specify up to eight destinations using one- touch Keys. To use this feature, you need to first register destinations in one- touch Keys. (See “Registering One-Touch Keys,” on p. 3-3.) 1 Place documents. 2 Press [FAX]. 3 Adjust any necessary scan settings for your documents. For details, see “Adjusting Density,” on p. 5-23, “Selecting Image Quality,” on p. 5-24, and “2-Sided Document (MF4380dn Only),” on p. 5- 25. 4 Press the desired one-touch key (01 to 08). This is useful if you want to send the same document to several destinations. You can register up to 50 destinations in one group. To use this feature, you need to register destinations in a group address beforehand. (See “Registering Group Addresses,” on p. 3- 9.) 1 Place your documents. 2 Press [FAX]. 3 Adjust any necessary scan settings for your documents. For details, see “Adjusting Density,” on p. 5-23, “Selecting Image Quality,” on p. 5-24, and “2-Sided Document (MF4380dn Only),” on p. 5- 25. 4 Press the one-touch key under which the desired group dialing is registered. U sin g t h e A ddre ss B ook K ey Using the Address Book Key [Address Book] search enables you to search for a recipient registered in the machine. This is useful when you forget which one-touch key or coded dial code the recipient you want is registered under. To use this feature, you need to register destinations in Address Book beforehand. (See “Registering Destinations in the Address Book,” on p. 3-1.) 1 Place documents.

NAME SEARCH : Searches a destination by name. : Searches a destination by fax number. If no recipient is registered in the Address Book, is displayed. 5 Enter the first letter of the recipient’s name or the first part of the fax number with – and [numeric keys]. For example, if you want to search for a name that starts with the letter “C”, press (ABC). Entries starting with the letter you entered are displayed if any entries are registered. When you select in step 4, you can switch the input mode by pressing [ Tone]. [:A]: Letter mode [:1]: Number mode canon NAME SEARCH [A] Ex. – – – – 6 Press [] or [] to search for the recipient. DDD NAME SEARCH [A] Ex. []: Displays recipients in alphabetical order. [ ]: Displays recipients in reverse order. 7 When the desired recipient is displayed, press [OK]. S en d in g D ocu m en ts t o M ore T h an Sending Documents to More Than O ne L o ca tio n ( B ro ad ca stin g) One Location (Broadcasting) Broadcasting enables you to send the same document to multiple recipients. Up to 124 destinations can be specified at the same time. (Out of the 124 destinations, 16 numbers can be specified with – , [numeric keys] and [ Tone].). If you specify a group, which is made up of several destinations, each destination is counted as a separate address. If you frequently send documents to multiple destinations, it is recommended that you store those destinations as a group. – – – –
