Administering AUDIX Voice Power The AUDIX Voice Power Menu When the AUDIX Voice Power menu appears, the cursor will be at Automated Attendant Administration, and you must press to select the function that you want to administer. AUDIX Voice Power Menu NOTE: If you are administering your system for the first time, go to the next section, System Parameter Administration, and continue through this chapter in the order in which it is written. If you are updating the system, go directly to the procedure that you need. 3-3
Administering AUDIX Voice Power System Parameter Administration Before you can perform ongoing administration functions for your AUDIX Voice Power system, you must administer the system parameters. Once these parameters are set, you will most likely not have to change them. 1.Get your completed FORM C from the AT&T AUDIX™ Voice Power Planning Guide and Forms. 2. At the AUDIX Voice Power menu, move the cursor to System Parameter Administration and press {Enter}. --- The System Parameter Administration form appears. Administering AUDIX Voice Power 3.Using FORM C from the Planning Guide that you completed while planning your system, type in the information requested on this screen. Press {Enter} after completing each field. 4.When you have entered all the infmnation, press {F3} (SAVE) to save the parameters, — A window appears informing you that the system parameters have been updated. 5.Press any key to continue. — You return to the AUDIX Voice Power menu. Updating System Parameters If it is necessary to update system parameters, use the above procedure. The new values will replace the old values. Be sure to record the new values on FORM C. Subscriber Administration Information must be entered into the system for each subscriber. You recorded this information on FORM D while planning your system. Initial Implemetation Follow these steps to add subscribers during initial system implementation: 1. 2. Get the completed FORM D for each subscriber from the AT&T AUDIX™ Voice Power Planning Guide and Forms. At the AUDIX Voice Power menu, move the cursor to Subscriber Administration and press {Enter}. — The Subscriber Administration form appears. 3-5

When you are finished with each FORM D, press {F1} (ADD) to save that subscriber’s information. — A window appears confirming that the new subscriber was added to the system. Press any key to continue. .—An empty Subscriber Administration form appears. Repeat the above process until you have completed a form for each subscriber. Press {F6} (CANCEL) to return to the AUDIX Voice Power menu. 3-6
Administering AUDIX Voice Power Updating Subscribers The following section discusses various procedures that you must perform to update the subscriber database. These procedures include: n Adding new subscribers to the database n Changing subscriber information n Moving a subscriber n Deleting subscribers from the database n Printing the subscriber database n Displaying the subscriber database Adding a New Subscriber To add a new subscriber, follow these steps: 1. 2. 3. 4.Write the information for the new subscriber on FORM D from the Planning Guide. At the AUDIX Voice Power menu, move the cursor to Subscriber Administration and press {Enter}. —The Subscriber Administratiom form appears Type in the new subscriber information from FORM D, pressing {Enter} each field. When you are finished entering the subscriber information, press [F1] (ADD). — A window appears confirming that the new subscriber was added to the subscriber database. Press any key to continue. — An empty Subscriber Administration form appears. 5. 3-7

Subscriber Administration Form 6.Continue to complete a Subscriber Administration form for each subscriber that you want to add, repeating Steps 3 through 5. 7.After you have added the last subscriber, press {F6} (CANCEL) to return to the AUDIX Voice Power menu. 3-8
Administering AUDIX Voice Power Changing a Subscriber Record At some time, you may need to change information in a subscriber’s record. For example, if a subscriber has a new secretary with a different extension, you will have to access that subscriber’s record and change the personal operator extension. To change the information in a subscriber’s record, follow these steps: 1. 2. 3. 4. 5. NOTE: Be sure to update FORM D from the Planning Guide with the new information. At the AUDIX Voice Power menu, move the cursor to Subscriber Administration and press {Enter}. — The Subscriber Administration form appears. Type in the extension number of the subscriber that you want to update. Press {F4} (DISPLAY) to display the subscriber information associated with the specified extension number. — AUDIX Voice Power fills in the remainder of the Subscriber Administration form with the associated subscriber data or tells you the extension is not valid. — If this is not a valid extension or the correct subscriber, return to Step 2. Type in your changes to the subscriber record from FORM D and press {F3} (CHANGE) to change the subscriber record. — A window appears confirming that the change has been made. Press any key to continue. — An empty Subscriber Administration form appears. 3-9
Administering AUDIX Voice Power Repeat Steps 2 through 5 until all changes have been made. Press {F6} (CANCEL) to return to the AUDIX Voice Power menu. NOTE. Y OU cannot change the extension number of a subscriber using the procedure described above because the extension number is used to access the records. If a subscriber moves to a new extension, you must use the specific procedure that follows to effect the move, Moving a Subscriber At some time, you may need to move a subscriber from one extension to another. To move a subscriber, follow these steps: NOTE: Be sure to update FORM C from the Planning Guide with the new information. 1.At the AUDIX Voice Power menu, move fhe cursor to Subscriber Administration and press {Enter}. — The Subscriber Administration form appears. 2,Type in the old extension number of the subscriber that you want to move. 3.Press {F4} (DISPLAY) to display the subscriber information associated with the specified extension number. — AUDIX Voice Power fills in the remainder of the Subscriber Administration form with the associated subscriber data or tells you the extension is not valid. — If this is not a valid extension, return to Step 2. 4,If this is the correct subscriber, press [F5] (MOVE) to begin the move. — The Move Subscriber form appears. 3-10
Administering AUDIX Voice Power 5. 6. 7. Enter the new extension from FORM D from the Planning Guide and press {F3} (SAVE). — A window appears requesting confirmation of the move. Press Y to confirm the move (or n to cancel the move). — A window appears confirming that the move has taken place. Press any key to continue. — An empty Subscriber Administration form appears. 8. Repeat Steps 2 through 7 until all changes have been made. 9. Press {F6} (CANCEL) to return to the AUDIX Voice Power menu. NOTE: The new extension cannot already be in use within the database. On confirmation, the new extension will inherit voice mail, call answer greeting, name, and other subscriber attributes of the old extension. The old extension will be deleted from the database. You cannot move the general mailbox (extension 9999) or the maintenance mailbox (9998) to another extension. 3-11
Administering AUDIX Voice Power Deleting a Subscriber To remove a subscriber, follow fhese steps: NOTE: Be sure to mark the deletion on FORM D from the Planning Guide. 1. At the AUDIX Voice Power menu, move the cursor to Subscriber Administraion and press {Enter}. -– The Subscriber Administration form appears. 2. Type in the extension number of the subscriber that you want to remove . 3.Press {F4} (DISPLAY) to display the subscriber information associated with the specified extension number. — AUDIX Voice Power fills in the remainder of the Subscriber Administration form with the associated subscriber data or tells you the extension is not valid. — If this is not a valid extension, return to Step 2. 4. If this is the correct subscriber record, press {F2} (DELETE) to remove the subscriber. — AUDIX Voice Power prompts you to type y to confirm the deletion, or n to cancel it. 5. If this is the correct subscriber, press Y to confirm the deletion. — A window appears to confirm that the subscriber has been deleted. 6.Press any key to continue. — An empty Subscriber Administration form appears, NOTE: If you already deleted the wrong extension, you must reenter all the information and press [F1] (ADD). 7.Repeat Steps 2 through 6 until all changes have been made. 8.Press [F6] (CANCEL) to return to the AUDIX Voice Power menu. 3-12
