11 Use the fax features You can use the HP All-in-One to send and receive faxes, including color faxes. Before you begin faxing, make sure you have set up the HP All-in-One properly for faxing. You might have already done this as part of the initial setup, by using either the control panel or the software that came with the HP All-in-One. You can verify the fax is set up correctly by running the fax setup test from the control panel. You can access this test from the Fax Settings menu. This section contains the following topics: • Send a fax • Receive a fax • Fax over the Internet using IP phone • Stop faxing • Print fax reports Send a fax You can send a fax in a variety of ways. Using the control panel, you can send a black- and-white or color fax from the HP All-in-One. You can also send a fax manually by dialing from an attached phone. This allows you to speak with the recipient before sending the fax. This section contains the following topics: • Send a basic fax • Send a fax manually from a phone • Send a fax using monitor dialing • Send a fax in Error Correction Mode Send a basic fax You can easily send a single- or multiple-page black-and-white or color fax using the control panel, as described here. NOTE: If you need printed confirmation that your faxes were successfully sent, enable fax confirmation before sending any faxes. NOTE: If the fax number you are dialing is busy or if there is no answer, the product automatically redi als the number several times. If you do not want to redial the number, press Cancel when the product is dialing. TIP:You can also send a fax manually by dialing from a phone or by using the monitor dialing feature from the control panel. These features allow you to control the pace of your dialing. They are also useful when you want to use a calling card to charge the call and you need to respond to tone prompts while dialing. Send a fax 79 Fax
To send a basic fax from the control panel 1.Press the button next to Scan/Fax. 2. Press the button next to Start Fax. The Send Fax screen appears. 3. Press the button next to the down arrow to highlight Black & White or Color , and then press the button next to OK. The Enter Number screen appears. 4. Enter the fax number using the keypad or press the button next to the up or down arrow to redial a recently dialed number, and then press the button next to OK. The Load Originals screen appears. 5. Load your original print side down on the right front corner of the glass, and then press the button next to OK. NOTE: If you are sending a color fax, the fa x is sent immediately. If you are sending a black and white fax, the fax is stored in memory until you have scanned each page of the original. The Another page? screen appears. 6. Do the following: If you have another page to fax a. Press the button next to OK to select Yes. b . Repeat steps 5 and 6. If you do not have another page to fax ▲ Press the button next to the down arrow to select No, and then press the button next to OK. The product sends the fax. Related topics •“ Send a fax manually from a phone” on page 80 •“ Send a fax using monitor dialing” on page 82 •“ Print fax confirmation reports” on page 85 Send a fax manually from a phone You can initiate a fax call from a telephone on the same phone line as the HP All-in-One if you are more comfortable using the keypad on your phone, rather than using the keypad on the control panel of the HP All-in-One. This method of sending a fax is called manually sending a fax. When you send a fax manually, you can hear the dial tones, telephone prompts, or other sounds through the handset on your telephone. This makes it easy for you to use a calling card to send your fax. Depending on how the recipient has their fax machine set up, the recipient might answer the phone, or the fax machine might take the call. If a person answers the phone, you can speak with the recipient before sending the fax. If a fax machine answers the call, you can send the fax directly to the fax machine when you hear the fax tones from the receiving fax machine. Chapter 11 80 Use the fax features Fax
To send a fax manually from a phone 1.Dial the number using the keypad on the phone that is connected to the product. NOTE: You must use the keypad on the phone to dial the number. Do not use the keypad on the control panel of the product. 2. If the recipient answers the telephone, you can engage in a conversation before sending your fax. NOTE: If a fax machine answers the call, you will hear fax tones from the receiving fax machine. Proceed to the next step to send the fax. 3. Press the button next to Scan/Fax. 4. Press the button next to Start Fax. The Fax Mode screen appears. 5. Press the button next to the down arrow to highlight Send New Fax, and then press the button next to OK. The Load Originals screen appears. 6. Load your original print side down on the right front corner of the glass, and then press the button next to OK. TIP: If you are sending the fax directly to a fax machine, and will not be speaking with a recipient before sending the fax, you might find it more convenient to load the first page of your original on the glass before initiating the fax call. 7. Press the button next to OK. NOTE: If you were speaking with the recipient before sending the fax, inform the recipient that they should press Start on their fax machine after they hear fax tones. The Another page? screen appears. 8. Do the following: If you have another page to fax a. Press the button next to OK to select Yes. b . Load the next page of your original print side down on the right front corner of the glass. c . Press the button next to OK. The Another page? screen appears. d . Repeat step 8. If you do not have another page to fax ▲ Press the button next to the down arrow to select No, and then press the button next to OK. The telephone line is silent while the fax is transmitting. At this point, you can hang up the telephone. If you want to continue speaking with the recipient, remain on the line until the fax transmissi on is complete. Send a fax 81 Fax
Send a fax using monitor dialing Monitor dialing allows you to dial a number from the control panel as you would dial a regular telephone. When you send a fax using monitor dialing, you can hear the dial tones, telephone prompts, or other sounds through the speakers on the HP All-in-One. This enables you to respond to prompts while dialing, as well as control the pace of your dialing. NOTE: Make sure the fax volume is turned on, or you will not hear a dial tone. To send a fax using monitor dialing from the control panel 1.Press the button next to Scan/Fax. 2. Press the button next to Start Fax. The Send Fax screen appears. 3. Press the button next to the down arrow to highlight Black & White or Color , and then press the button next to OK. The Enter Number screen appears. 4. Press the button next to OK to continue without entering a phone number. The Load Originals screen appears. 5. Load your original print side down on the right front corner of the glass, and then press the button next to OK. NOTE: If you are sending a color fax, the fa x is sent immediately. If you are sending a black and white fax, the fax is stored in memory until you have scanned each original. The Another page? screen appears. 6. Do the following: If you have another page to fax a. Press the button next to OK to select Yes. b . Repeat steps 5 and 6. If you do not have another page to fax ▲ Press the button next to the down arrow to select No, and then press the button next to OK. 7. Once you hear the dial tone, enter the number by using the keypad on the control panel. Your fax is sent when the receiving fax machine answers. 8. Respond to any prompts that may occour. Send a fax in Error Correction Mode Error Correction Mode (ECM) prevents loss of data due to poor phone lines by detecting errors that occur during transmission and automatically requesting retransmission of the erroneous portion. Phone charges are unaffec ted, or might even be reduced, on good phone lines. On poor phone lines, ECM might increase sending time and phone charges, but sends the data much more reliably. The default setting is On. Turn ECM off only if it increases phone charges substantially, and you can accept poorer quality in exchange for reduced charges. Chapter 11 82 Use the fax features Fax
Before turning the ECM setting off, consider the following. If you turn ECM off •The quality and transmission speed of faxes you send and receive are affected. • The Fax Speed is automatically set to Medium (14400). • You will no longer be able to send or receive faxes in color. To change the ECM setting from the control panel 1. Press the button next to Scan/Fax. 2. Press the button next to Fax Menu. 3. Press the button next to Fax Setup. 4. Press the button next to the down arrow to highlight Error Correction Mode, and then press the button next to OK. The Error Correction Mode screen appears. 5. Press the button next to the down arrow to highlight Off or On, and then press the button next to OK. Receive a fax The HP All-in-One can receiv e faxes automatically or manually. If you turn on the Auto Answer option by setting the number of rings to wait, the HP All-in-One automatically answers incoming calls and receives faxes. If you turn off the Auto Answer option, you will need to receive faxes manually. NOTE: If you receive a legal-size fax, the HP All-in-One reduces the fax so that it fits on the paper that is loaded in the input tr ay. If the fax size is so large that it requires more than a 60% reduction, the HP All-in-One might print the fax on more than one page. When you are on the phone, the person you are speaking with can send you a fax while you are still connected. This is referred to as manual faxing. Use the instructions in this section to receive a manual fax. You can receive faxes manually from a phone that is: • Directly connected to the HP All-in-One (on the 2-EXT port) • On the same telephone line, but not directly connected to the HP All-in-One To receive a fax manually 1. Make sure the product is turned on and you have paper loaded in the input tray. 2. Make sure the Auto Answer setting is set to Dont answer or to a higher number of rings so that you are able to answer the call before the product answers. 3. If you are currently on the phone with the sender, instruct the sender to press Start on their fax machine. You will hear fax tones from a sending fax machine. 4. Press the button next to Scan/Fax. 5.Press the button next to Start Fax. The Fax Mode screen appears. 6. Press the button next to the down arrow to highlight Receive Fax Manually, and then press the button next to OK. After the product begins to receive the fax, you can hang up the phone or remain on the line. The phone line is silent during fax transmission. Fax over the Intern et using IP phone You might subscribe to a low-cost phone service that allows you to send and receive faxes with the HP All-in-One by using the Internet. This method is called Fax over Internet Protocol (FoIP). You probably use a FoIP service (provided by your telephone company) if you: • Dial a special access code along with the fax number, or • Have an IP converter box that connects to the Internet and provides analog phone ports for the fax connection. NOTE: You can only send and receive faxes by connecting a phone cord to the 1- LINE port on the back of the HP All-in-One. This means that your connection to the Internet must be done either through a converter box (which supplies regular analog phone jacks for fax connections) or your telephone company. The FoIP service might not work properly when the HP All-in-One is sending and receiving faxes at high speed (33600 bps). If you experience problems sending and receiving faxes, use a slower fax speed. You can do this by changing the Fax Speed setting from Fast (33600) (the default) to Medium (14400) or Slow (9600) . You should also check with your telephone company to make sure their Internet phone service supports faxing. If they do not support faxing, you might encounter intermittent problems when trying to send and receive faxes through the Internet. Related topics “ Set the fax speed” on page 18 Stop faxing You can cancel a fax you are sending or receiving at any time. To stop faxing from the control panel ▲ Press Cancel on the control panel to stop a fax you are sending or receiving. If the product does not stop faxing, press Cancel again. The product prints any pages it has already started printing and then cancels the remainder of the fax. This can take a few moments. To cancel a number you are dialing ▲ Press Cancel to cancel a number you are currently dialing. Chapter 11 84 Use the fax features Fax
Print fax reports You can set up the HP All-in-One to print error reports and confirmation reports automatically for each fax you send and receive. You can also manually print system reports as you need them; th ese reports provide useful system information about the HP All-in-One. By default, the HP All-in-One is set to print a report only if there is a problem with sending or receiving a fax. A confirmation message that indicates whether a fax was successfully sent appears briefly on the display after each transaction. This section contains the following topics: • Print fax confirmation reports • Print fax error reports • Print the fax log • Print other reports Print fax confirmation reports If you need printed confirmation that your faxes were successfully sent, follow these instructions to enab le fax confirmation before sending any faxes. Select either On Fax Send or Send & Receive . The default fax confirmation setting is Off. This means that the HP All-in-One will not print a confirmation report for each fax sent or received. A confirmation message indicating whether a fax was successfully sent appears briefly on the display after each transaction. To enable fax confirmation from the control panel 1. Press the button next to Scan/Fax. 2. Press the button next to Fax Menu. 3. Press the button next to Fax Reports. 4. Press the button next to the down arrow to highlight Fax Confirmation, and then press the button next to OK. 5. Press the button next to the down arrow to select one of the following, and then press the button next to OK. On Fax SendPrints a fax confirmation report for every fax you send. On Fax ReceivePrints a fax confirmation report for every fax you receive. Send & ReceivePrints a fax confirmation report fo r every fax you send and receive. OffDoes not print a fax confirmation report when you send and receive faxes successfully. This is the default setting. Print fax error reports You can configure the HP All-in-One so that it automatically prints a report when there is an error during transmission or reception. Print fax reports 85 Fax
To set the product to print fax error reports automatically 1. Press the button next to Scan/Fax. 2. Press the button next to Fax Menu. 3. Press the button next to Fax Reports. 4. Press the button next to the down arrow to highlight Fax Error Report, and then press the button next to OK. 5. Press the button next to the down arrow to select one of the following, and then press the button next to OK. On Fax SendPrints whenever there is a transmission error. On Fax ReceivePrints whenever there is a receiving error. Send & ReceivePrints whenever there is any kind of fa x error. This is the default setting. OffDoes not print any fax error reports. Print the fax log The fax log enables you to print a log of approximately the last 30 fax transactions. If a fax transaction had an error, the error is indicated by an error code in the fax log. If necessary (for security purposes, for example), you can easily clear the entire log from memory. This also deletes any saved faxes from memory. To print the fax log from the control panel 1. Press the button next to Scan/Fax. 2. Press the button next to Fax Menu. 3. Press the button next to Fax Reports. 4. Press the button next to the down arrow to highlight Fax Log, and then press the button next to OK. To clear the fax log from memory 1. Press the button next to Scan/Fax. 2. Press the button next to Fax Menu. 3. Press the button next to Fax Reports. 4. Press the button next to the down arrow to highlight Clear Fax Log, and then press the button next to OK. The fax log and any faxes that might have been stored in memory are deleted. Press the button next to the down arrow to select one of the following, and then press the button next to OK. Fax ConfirmationLets you set up fax confirmation reports to print automatically. Fax Error ReportLets you set up fax error reports to print automatically. Last TransactionPrints details of the last fax transaction. Caller ID ReportIf you subscribe to a caller ID service through your phone provider, this report prints a list of approximately the last 30 fax calls you received. The report shows the phone number, date and time, and, depending on the format your phone provider uses to transmit caller ID information, might include the name of the sender. NOTE: This feature is not supported in all countries/regions. If it is not supported in your country/region, Caller ID Report does not appear in the Fax Reports menu.
