Scanning Xerox Color 550/560 PrinterUser Guide221 Layout Adjustment Layout adjustment provides additional settings for original orientation,\ original size, edge erase, Book Scanning and Reduce/Enlarge. On the printer control panel, press Services Home. 1. Touch the desired scan method. 2. Touch the Layout Adjustment tab. 3. Touch the desired setting. 4. Setting Use Original Orientation Choose from Upright Images or Sideways Images. Original Size Choose from Auto Detect, Manual Size Input or Mixed Size Originals. Edge Erase Choose from All Edges, Print to Edge, Individual Edges or from a previously created Preset. Using the plus or minus buttons, enter the value. Book Scanning Choose from Left Page then Right, Right Page then Left or Top Page then Bottom. Using the plus or minus buttons, enter the Binding Edge Erase. Xerox Color 550/560 Printer User Guide 222 Scannin g Filing Options Filing Options provide additional settings for naming images, choosing i\ mage formats, adding meta data, and behavior if a file name already exists. To use Filing Options: On the printer control panel, press Services Home. 1. Touch the desired scan method. 2. Touch the Filing Options tab. 3. Touch the desired setting. 4. Setting Use File Name Enter a filename prefix. File Format Choose from: PDF (Image Only or Searchable), PDF/A (Image Only or Searchable), Multi-page TIFF, TIFF (1 file per page), JPEG (1 file p\ er page) or XPS (Image Only or Searchable). Choose Compression Method, MRC High Congressman or Optimize for Fast Web View. Meta Data Assign descriptive metadata to a scanned image. Password Enter password if required. If File Already Exists Choose from Do Not Save, Rename New File, Overwrite Existing File, Append to Existing Folder, or AddDateStamp to File. Login Name Enter login name if required. Scanning Xerox Color 550/560 PrinterUser Guide223 Using the Xerox Scan Utility The Xerox Scan Utility allows you to scan images from the printer direct\ ly to your computer. These scanned images are not stored in the printer. Note: You must install the scan drivers to use the Xerox Scan Utility. For det\ ails, see the System Administrator Guide. Note: You must create a scan template before using the Xerox Scan Utility. Overview The following steps summarize the use of the Xerox Scan Utility: Create a Xerox Scan Utility scan template using your computer. 1. Once created, the template data is sent to the printer and stored there \ for later use. The template contains scanning instructions, such as color settings, fil\ e format and resolution. Scan an original document at the printer. 2. Scan the original document. Using the printer’s touch screen, select the desired template. When scanning is complete, the image is sent from the printer to the com\ puter. Use the Xerox Scan Utility to manage the scanned image at your computer:\ 3. Xerox Color 550/560 Printer User Guide 224 Scannin g Creating a Scan Template Scan templates contain scanning instructions, such as color settings, fi\ le format and resolution. You can specify additional settings to retain thumbnail images, or you can select a fold\ er destination so that when images are scanned, they are automatically copied into a designated folder on your \ computer. You must create a scan template before you can download images to your computer or import images to appl\ ications using TWAIN or WIA. To create a new Xerox Scan Utility scan template or edit an existing tem\ plate: Access the Xerox Scan Utility on your computer: 1. Macintosh: Navigate to Applications > Xerox > Xerox Scan Utility , then double-click the Xerox Scan Utility . Windows: In the taskbar, right-click the Xerox Scan Utility icon. Select Open Xerox Scan Utility . If the icon is not visible in the taskbar, click Start,select All Programs , or Programs if you are using Windows Classic View, select Xerox Office Printing > Scanning > Xerox Scan Utility . Click Scan Settings , then select one of the following options: 2. To automatically save the scanned images in a particular folder without \ opening the Xerox Scan Utility, click Send Image Directly to Folder . For details, see Xerox Scan Utility Help . To edit an existing template with the settings you selected: in the Saved Template Settings drop- down list, select a template from the list displayed. Click Save. To create a new template for the settings you selected: in the Saved Template Settings dropdown list, type the name for the new template. Click Save. Select the desired settings for the template: Color, Black and White, Original Size, Resolution, Original Type, File Format , and Sides to Scan . 3. Note: Spaces are not permitted in template names. The template will now appear in the list of templates on the Network Sca\ nning tab on the printer’s touch screen and in Folder: List of Files in CentreWare IS. On the control panel, press Services Home. 1. Touch Network Scanning . 2. Touch the desired template. To create a template, see Creating a Scan Template. 3. Note: Settings chosen using CentreWare IS can be overridden using the printer’\ s touch screen. To change any of the scan settings, touch the four menus at the bottom o\ f the touch screen: Color Scanning, 2-Sided Scanning, Original Type and Scan Presets . For details, see Setting Scan Options . 4. Press the green Start button; the progress screen appears on the printer’s touch screen. W\ hen the scan is complete, the touch screen will redisplay the Network Scanning tab. Your\ file is stored in the selected folder on your computer. 5. Note: A password may be required when scanning to a template. Contact your sys\ tem administrator for the password. Note: If scanning fails, an error page will print. Xerox Color 550/560 Printer User Guide 228 Scannin g Importing Scanned Images into a Windows Application (TWAIN) To import scanned images into an application for Windows 2000, Windows X\ P, Windows Vista and Windows Server 2003: Open the file in which you want to place the image. 1. Click the application’s menu item to acquire the scanned image. For e\ xample, if you are placing an image in a Microsoft Word 2003 document: 2. Select the image you want to import. 3. Click Retrieve . A copy of the image is transferred to the location in your application\ . If you want to delete the images you selected, click Delete. 4. Click Picture . Click Insert . Click From Scanner or Camera . Click the scanner, then click Custom Insert. The Xerox Scan Utility window displays thumbnails of the scanned images.\ The date and time the image was scanned appears below each thumbnail. If you move your mouse over the th\ umbnail, a pop-up message displays information including the resolution and size of the image file\ . If a recently scanned image is not displayed, click Refresh. To acquire the scanned image, select the application’s menu item. For\ example, if you are placing an image in a Microsoft Word 2003 document: 2. Open the folder to view thumbnails of the scanned images. 3. To see details of an image file: 4. Click Picture . Click Insert . Click From Scanner or Camera . Select the scanner, then click OK. Click View picture information . The Properties dialog box displays the file size, and the date and time that the image was scanned. Select the image. Click OK. Select the image you want to import. Click Get Pictures . 5. A copy of the image is transferred to the location selected in your appl\ ication. Note: If you want to delete the images you selected, click Delete.
