•Power and connection messages • Print cartridge messages Device messages The following is a list of device-related error messages: • Automatic document feeder failed to load • Automatic document feeder is jammed • Fax receive failed • Fax send failed • Firmware revision mismatch • Mechanism error • Memory is full • Scanner failure Automatic document feeder failed to load Cause:The automatic document feeder did not work properly, and the job did not finish. Solution:Try loading the originals in the automatic document feeder again, and restart the job. Do not load more than 20 sheets in the document feeder tray. Automatic document feeder is jammed Cause:Paper has jammed the automatic document feeder. Solution:Clear the paper jam and try the job again. Do not load more than 20 sheets of paper in the document feeder tray. For information on clearing jams, see Clear paper jams. Fax receive failed Cause:An error caused a fax to fail while the HP All-in-One was receiving the fax. The error could be due to noisy lines or some other communication error. Solution:Contact the sender and request that the fax be sent again. For more fax troubleshooting information, see Fax troubleshooting. Fax send failed Cause:The fax could not be completed because of a communication error, blacklisting (your number is blocked by the receiver), or a paper jam. Solution:Check the HP All-in-One for a possible paper jam and send the fax again. If the problem persists, try to contact the owner of the fax number for clarification. Firmware revision mismatch Cause:The revision number of the HP All-in-One firmware does not match the revision number of the software. Solution:To find support and warranty information, go to the HP Web site at www.hp.com/support. If prompted, choose your country/region, and then click Contact HP for information on calling for technical support. Mechanism error Cause:The HP All-in-One has a paper jam. Solution:Clear the paper jam. Turn the HP All-in-One off and then turn it on again. For information on clearing jams, see Clear paper jams. CAUTION:Trying to clear a paper jam from the front of the HP All-in-One can damage the print mechanism. Always access and clear paper jams through the rear door. Cause:The print carriage is blocked or stalled. Solution:Turn the HP All-in-One off, remove any objects that are blocking the print carriage (including any packing materials), and then turn the HP All-in-One on again. Memory is full Cause:While receiving a fax, the HP All-in-One jammed with paper or ran out of paper. Solution:If the HP All-in-One supports faxing and you have Backup Fax Reception enabled, the HP All-in-One might have stored the fax in memory upon reception. After clearing the paper jam or loading paper in the input tray, you might be able to reprint the entire fax from memory. If you do not have Backup Fax Reception enabled, or if the fax was not stored in memory for some reason (for example, if the HP All-in-One was out of memory), you will need to contact the sender and ask for the fax to be resent. To load full-size paper 1.Remove the output tray. 2.Slide the paper-width guide to its outermost position. 3.Tap a stack of paper on a flat surface to align the edges, and then check the paper for the following: • Make sure it is free of rips, dust, wrinkles, and curled or bent edges. • Make sure all the paper in the stack is the same size and type. 4.Insert the stack of paper into the input tray with the short edge forward and the print side down. Slide the stack of paper forward until it stops. CAUTION:Make sure that the HP All-in-One is idle and silent when you load paper into the input tray. If the HP All-in-One is servicing the print cartridges or otherwise engaged in a task, the paper stop inside the device might not be in place. You could push the paper too far forward, causing the HP All-in-One to eject blank pages. TIP:If you are using letterhead, insert the top of the page first with the print side down. For more help on loading full-size paper and letterhead, refer to the diagram engraved in the base of the input tray. 5.Slide the paper-width guide inward until it stops at the edge of the paper. Do not overload the input tray; make sure the stack of paper fits within the input tray and is no higher than the top of the paper-width guide. 6.Replace the output tray. 7.Flip the tray extender up toward you. NOTE:When you use legal-size paper, leave the tray extender closed. To reprint faxes in memory from the control panel 1.Make sure you have paper loaded in the input tray. 2.Press Setup. 3.Press 6, and then press 5. This selects Tools and then selects Reprint Faxes in Memory. The faxes are printed in the reverse order they were received with the most recently received fax printed first, and so on. 4.If you want to stop reprinting the faxes in memory, press Cancel. Cause:The document you are copying has exceeded the memory of the HP All-in- One. Solution:Try making fewer copies or, in the case of a multi-page document, copy fewer pages at a time. Scanner failure Cause:The HP All-in-One is busy or an unknown cause has interrupted your scan. Solution:Turn off the HP All-in-One and then turn it on again. Restart your computer and then try to scan again. File messages The following is a list of file-related error messages: • Error reading or writing the file • File format not supported • Invalid file name • Supported file types for the HP All-in-One Error reading or writing the file Cause:The HP All-in-One software could not open or save the file. Solution:Check to see if you typed the correct folder and file name. File format not supported Cause:The HP All-in-One software did not recognize or support the file format of the image you are trying to open or save. If the file extension indicates it is a supported file type, the file might be corrupted. Solution:Open the file in another application, and save it in a format that the HP All- in-One software recognizes. For more information about supported file types, see Supported file types for the HP All-in-One. Invalid file name Cause:The file name you entered is invalid. Solution:Make sure that you are not using any invalid symbols in the file name. Supported file types for the HP All-in-One The HP All-in-One software recognizes the following file formats: BMP, DCX, FPX, GIF, JPG, PCD, PCX, and TIF. General user messages The following is a list of messages related to common user errors: • Cannot crop • Dialed fax busy • Disconnected • No scan options • Not supported • Receiving fax machine did not answer • Receiving fax machine does not support color Cannot crop Cause:The computer does not have enough memory. Solution:Close all unnecessary applications. This includes applications that run in the background, such as screensavers and virus checkers. (If you turn off your virus checker, remember to turn it back on after you finish.) Try restarting your computer to clear the memory. You might need to purchase more RAM. Refer to the documentation that came with your computer. Cause:For scanning, there must be at least 50 MB of space available on your computers hard disk. Chapter 12 244 Troubleshooting
Solution:Empty the Recycle Bin on your desktop. You might also need to remove files from the hard disk. Dialed fax busy Cause:The fax number you attempted to call is busy. Solution:Wait and try to send the fax to the number at a later time. Disconnected Cause:Several situations can cause the Disconnected error message to appear. •Your computer is not turned on. •Your computer is not connected to the HP All-in-One. •The HP software that came with the HP All-in-One was not installed correctly. •The HP software is installed, but it is not running. Solution:Make sure your computer is turned on and is connected to the HP All-in- One. Also make sure you installed the software that came with the HP All-in-One. No scan options Cause:You did not install the software that came with the HP All-in-One, or the software is not running. Solution:Make sure the software is installed and running. For more information, see the Setup Poster that came with the HP All-in-One. Not supported Cause:You tried to send a color fax from memory. The HP All-in-One does not support this procedure. Solution:Try sending the color fax normally and not from memory. Receiving fax machine did not answer Cause:The receiving fax machine is not online, is turned off, is not functioning, or is not set to automatically answer incoming faxes. For more fax troubleshooting information, see Fax troubleshooting. Solution:Try to send the fax to the number again at a later time. If the problem persists, try to contact the owner of the fax number. Receiving fax machine does not support color Cause:You have tried to send a color fax to a fax machine that does not support color. Errors 245
Solution:The HP All-in-One alerts you to this situation and sends the color fax as black and white instead. Paper messages The following is a list of paper-related error messages: • Cannot load paper from input tray • Ink is drying • Out of paper • Paper jam, misfeed or blocked carriage • Paper mismatch • Wrong paper width Cannot load paper from input tray Cause:There is not enough paper in the input tray. Solution:If the HP All-in-One is out of paper or there are only a few sheets remaining, load more paper in the input tray. If there is paper in the input tray, remove the paper, tap the stack of paper against a flat surface, and reload the paper into the input tray. To continue your print job, press OK on the control panel of the HP All-in- One. Ink is drying Cause:Transparencies and some other media require a drying time that is longer than normal. Solution:Leave the sheet in the output tray until the message disappears. If it is necessary to remove the printed sheet before the message disappears, carefully hold the printed sheet on the underside or the edges, and place it on a flat surface to dry. Out of paper Cause:There is not enough paper in the input tray. Solution:If the HP All-in-One is out of paper or there are only a few sheets remaining, load more paper in the input tray. If there is paper in the input tray, remove the paper, tap the stack of paper against a flat surface, and reload the paper into the input tray. To continue your print job, press OK on the control panel of the HP All-in- One. Cause:The rear door is off the HP All-in-One. Solution:If you removed the rear door to clear a paper jam, replace it. Paper jam, misfeed or blocked carriage Cause:Paper has jammed the HP All-in-One or automatic document feeder. Solution:Clear the jam. For more information on clearing jams, see Clear paper jams. CAUTION:Trying to clear a paper jam from the front of the HP All-in-One can damage the print mechanism. Always access and clear paper jams through the rear door. Cause:The print carriage is blocked. Solution:Open the print cartridge door to access the print carriage area. Remove any objects that are blocking the print carriage, including any packing materials. Turn the HP All-in-One off and then turn it on again. Paper mismatch Cause:The print setting for the print job does not match the paper type or size loaded in the HP All-in-One. Solution:Change the print setting or load the appropriate paper in the input tray. To change the print settings for the current job 1.On the File menu in your software application, click Print. 2.Make sure the HP All-in-One is the selected printer. 3.Click the button that opens the Properties dialog box. Depending on your software application, this button might be called Properties, Options, Printer Setup, Printer, or Preferences. 4.Make changes to the print settings, and click OK. 5.Click Print or OK in the Print dialog box to print the job. For more information on choosing paper, see Understand specifications for supported media. Wrong paper width Cause:Faxing requires letter, A4, or legal paper. Solution:Load letter, A4, or legal paper in the input tray. Cause:The print setting chosen for the print job does not match the paper loaded in the HP All-in-One. Solution:Change the print setting or load the appropriate paper in the input tray. To change the print settings for the current job 1.On the File menu in your software application, click Print. 2.Make sure the HP All-in-One is the selected printer. Errors 247
3.Click the button that opens the Properties dialog box. Depending on your software application, this button might be called Properties, Options, Printer Setup, Printer, or Preferences. 4.Make changes to the print settings, and click OK. 5.Click Print or OK in the Print dialog box to print the job. Power and connection messages The following is a list of power- and connection-related error messages: • Communication test failed • HP All-in-One not found • Improper shutdown • Two-way communication lost Communication test failed Cause:The HP All-in-One is turned off. Solution:Look at the display on the HP All-in-One. If the display is blank and the Power button is not lit, the HP All-in-One is turned off. Make sure the power cord is firmly connected to the HP All-in-One and plugged into a power outlet. Press the Power button to turn on the HP All-in-One. Cause:The HP All-in-One is not connected to the computer. Solution:If the HP All-in-One is not properly connected to the computer, communication errors can occur. Make sure the USB cable is securely connected to the HP All-in-One and the computer, as shown below. Chapter 12 248 Troubleshooting
