3.Press 1, and then press 1. This selects Add Number to Junk List and then selects Select Number. 4.Press to scroll through the numbers from which you have received faxes. When the number you want to block appears, press OK to select it. 5.When the Select Another? prompt appears, do one of the following: •If you want to add another number to the list of junk fax numbers, press 1 to select Yes, and then repeat step 4 for each number you want to block. •If you are done, press 2 to select No. To manually enter a number to block 1.Press Setup. 2.Press 4, and then press 7. This selects Basic Fax Setup and then selects Junk Fax Blocker Set Up. 3.Press 1, and then press 2. This selects Add Number to Junk List and then selects Enter Number. 4.Use the keypad to enter a fax number to block and then press OK. Make sure you enter the fax number as it appears on the display, and not the fax number that appears on the fax header of the received fax, as these numbers can be different. 5.When the Enter Another? prompt appears, do one of the following: •If you want to add another number to the list of junk fax numbers, press 1 to select Yes, and then repeat step 4 for each number you want to block. •If you are done, press 2 to select No. Remove numbers from the junk fax list If you no longer want to block a fax number, you can remove a number from your junk fax list. To remove numbers from the list of junk fax numbers 1.Press Setup. 2.Press 4, and then press 7. This selects Basic Fax Setup and then selects Junk Fax Blocker Set Up. 3.Press 2. This method is called Fax over Internet Fax over the Internet using IP phone 99
Protocol (FoIP). You probably use a FoIP service (provided by your telephone company) if you: •Dial a special access code along with the fax number, or •Have an IP converter box that connects to the Internet and provides analog phone ports for the fax connection. NOTE:You can only send and receive faxes by connecting a phone cord to the 1- LINE port on the back of the HP All-in-One. This means that your connection to the Internet must be done either through a converter box (which supplies regular analog phone jacks for fax connections) or your telephone company. The FoIP service might not work properly when the HP All-in-One is sending and receiving faxes at high speed (33600 bps). If you experience problems sending and receiving faxes, use a slower fax speed. You can do this by changing the Fax Speed setting from Fast (the default) to Medium. You should also check with your telephone company to make sure their Internet phone service supports faxing. If they do not support faxing, you might encounter intermittent problems when trying to send and receive faxes through the Internet. Related topics Set the fax speed Print reports You can set up the HP All-in-One to print error reports and confirmation reports automatically for each fax you send and receive. You can also manually print system reports as you need them; these reports provide useful system information about the HP All-in-One. By default, the HP All-in-One is set to print a report only if there is a problem with sending or receiving a fax. A confirmation message that indicates whether a fax was successfully sent appears briefly on the display after each transaction. This section contains the following topics: • Print fax confirmation reports • Print fax error reports • Print the fax log • Print other reports Print fax confirmation reports If you need printed confirmation that your faxes were successfully sent, follow these instructions to enable fax confirmation before sending any faxes. Select either On Fax Send or Send & Receive. The default fax confirmation setting is Off. This means that the HP All-in-One will not print a confirmation report for each fax sent or received. A confirmation message indicating whether a fax was successfully sent appears briefly on the display after each transaction. Chapter 10 100 Use the fax features
To enable fax confirmation from the control panel 1.Press Setup. 2.Press 2, and then press 3. This selects Print Report and then selects Fax Confirmation. 3.Press to select one of the following, and then press OK. OffDoes not print a fax confirmation report when you send and receive faxes successfully. This is the default setting. On Fax SendPrints a fax confirmation report for every fax you send. On Fax ReceivePrints a fax confirmation report for every fax you receive. Send & ReceivePrints a fax confirmation report for every fax you send and receive. TIP:If you choose On Fax Send or Send & Receive, and scan your fax to send from memory, you can include an image of the first page of the fax on the Fax Sent Confirmation report. Press Setup, press 2, and then press 2 again. Select On from the Image on Fax Send Report menu. Print fax error reports You can configure the HP All-in-One so that it automatically prints a report when there is an error during transmission or reception. To set the HP All-in-One to print fax error reports automatically 1.Press Setup. 2.Press 2, and then press 3. This selects Print Report and then selects Fax Error Report. 3.Press to select one of the following, and then press OK. Send & ReceivePrints whenever there is any kind of fax error. This is the default setting. OffDoes not print any fax error reports. On Fax SendPrints whenever there is a transmission error. On Fax ReceivePrints whenever there is a receiving error. Print the fax log The fax log enables you to print a log of approximately the last 30 fax transactions. If a fax transaction had an error, the error is indicated by an error code in the fax log. If necessary (for security purposes, for example), you can easily clear the entire log from memory. This also deletes any saved faxes from memory. To print the fax log from the control panel 1.Press Setup. 2.Press 2, and then press 6. This selects Print Report and then prints the fax log. Print reports 101
To clear the fax log from memory 1.Press Setup. 2.Press 6, and then press 7. This selects Tools menu and then selects Clear Fax Log. The fax log and any faxes that might have been stored in memory are deleted. Print other reports You can manually generate reports about the HP All-in-One, such as the status of the last fax you sent, a list of programmed speed dial entries, or a self-test report for diagnostic purposes. To print reports from the control panel 1.Press Setup, and then press 2. This selects Print Report. 2.Press to select one of the following, and then press OK. Fax ConfirmationLets you set up fax confirmation reports to print automatically. TIP:If you choose On Fax Send or Send & Receive, and scan your fax to send from memory, you can include an image of the first page of the fax on the Fax Sent Confirmation report. Press Setup, press 2, and then press 2 again. Select On from the Image on Fax Send Report menu. Fax Error ReportLets you set up fax error reports to print automatically. Self-Test ReportPrints a report to assist you in diagnosing print and alignment problems. This report also contains valuable information if you need to call HP Support. Last TransactionPrints details of the last fax transaction. Fax LogPrints a log of approximately the last 30 fax transactions. Speed Dial ListPrints a list of programmed speed dial entries. You can also print this report by selecting Print Speed Dial List from the Speed Dial Setup menu. To do so, press Setup, press 2, and then press 4. Caller ID ReportIf you subscribe to a caller ID service through your phone provider, this report prints a list of approximately the last 30 fax calls you received. The report shows the phone number, date and time, and, depending on the format your phone provider uses to transmit caller ID information, might include the name of the sender. NOTE:This feature is not supported in all countries/regions. If it is not supported in your country/region, Caller ID Report does not appear in the Print Report menu. Junk Fax ListIf you subscribe to a caller ID service through your phone provider, and have designated any numbers as junk fax numbers, this report prints a Chapter 10 102 Use the fax features
list of the phone numbers you have blocked. (The maximum number of fax numbers you can block varies by model.) NOTE:This feature is not supported in all countries/regions. If it is not supported in your country/region, Junk Fax List does not appear in the Print Report menu. To stop faxing from the control panel ▲Press Cancel on the control panel to stop a fax you are sending or receiving. If the HP All-in-One does not stop faxing, press Cancel again. The HP All-in-One prints any pages it has already started printing and then cancels the remainder of the fax. This can take a few moments. To cancel a number you are dialing ▲Press Cancel to cancel a number you are currently dialing. Stop faxing 103
11 Maintain the HP All-in-One The HP All-in-One requires little maintenance. Sometimes you might want to clean the glass and lid backing to remove surface dust and ensure that your copies and scans remain clear. You will also need to replace, align, or clean your print cartridges from time to time. This section provides instructions for keeping the HP All-in-One in top working condition. Perform these simple maintenance procedures as necessary. This section contains the following topics: • Clean the HP All-in-One • Check the estimated ink levels • Print a self-test report • Work with print cartridges Clean the HP All-in-One To ensure that your copies and scans remain clear, you might need to clean the glass and lid backing. You might also want to dust the exterior of the HP All-in-One. This section contains the following topics: • Clean the glass • Clean the lid backing • Clean the exterior • Clean the automatic document feeder Clean the glass Glass that is dirty from fingerprints, smudges, hair, and dust on the main glass surface slows down performance and affects the accuracy of features such as Fit to Page. In addition to the main glass surface, you might also need to clean the small glass strip inside the automatic document feeder. Streaks can occur if the glass strip inside the automatic document feeder is dirty. To clean the glass 1.Turn off the HP All-in-One, and raise the lid. 2.Clean the glass with a soft cloth or sponge slightly moistened with a nonabrasive glass cleaner. CAUTION:Do not use abrasives, acetone, benzene, or carbon tetrachloride on the glass, since they can damage it. Do not place or spray liquid directly on the glass. The liquid might seep under the glass and damage the device. 3.Dry the glass with a dry, soft, lint-free cloth to prevent spotting. 4.Turn on the HP All-in-One. Clean the lid backing Minor debris can accumulate on the white document backing located underneath the lid of the HP All-in-One. Maintain the HP All-in-One 105
To clean the lid backing 1.Turn off the HP All-in-One, unplug the power cord, and raise the lid. NOTE:Depending how long the HP All-in-One is unplugged, the date and time might be erased. You might need to reset the date and time later, when you plug the power cord back in. 2.Clean the white document backing with a soft cloth or sponge slightly moistened with a mild soap and warm water. Wash the backing gently to loosen debris. Do not scrub the backing. 3.Dry the backing with a dry, soft, lint-free cloth. CAUTION:Do not use paper-based wipes, as these might scratch the backing. 4.If further cleaning is needed, repeat the previous steps using isopropyl (rubbing) alcohol, and wipe the backing thoroughly with a damp cloth to remove any residual alcohol. CAUTION:Be careful not to spill alcohol on the glass or exterior of the HP All- in-One, as this might damage the device. Clean the exterior Use a soft cloth or slightly moistened sponge to wipe dust, smudges, and stains off the case. The interior of the HP All-in-One does not require cleaning. Keep fluids away from the control panel and the interior of the HP All-in-One. CAUTION:To avoid damage to the exterior of the HP All-in-One, do not use alcohol or alcohol-based cleaning products. Clean the automatic document feeder If the automatic document feeder picks up multiple pages or if it does not pick up plain paper, you can clean the rollers and separator pad. cover to access the pick assembly inside the automatic document feeder, clean the rollers or separator pad, and then close the cover. To clean the rollers or separator pad 1.Remove all originals from the document feeder tray. 2.Lift the automatic document feeder cover (1). This provides easy access to the rollers (2) and separator pad (3), as shown below. 1Automatic document feeder cover 2Rollers 3Separator pad 3.Lightly dampen a clean lint-free cloth with distilled water, then squeeze any excess liquid from the cloth. 4.Use the damp cloth to wipe any residue off the rollers or separator pad. NOTE:If the residue does not come off using distilled water, try using isopropyl (rubbing) alcohol. 5.Close the cover of the automatic document feeder. Clean the HP All-in-One 107
To clean the glass strip inside the automatic document feeder 1.Turn off the HP All-in-One, and unplug the power cord. NOTE:Depending how long the HP All-in-One is unplugged, the date and time might be erased. You might need to reset the date and time later, when you plug the power cord back in. 2.Lift the cover of the automatic document feeder. 3.Raise the lid, as if you were loading an original on the glass. 4.Lift the automatic document feeder mechanism.
