8-2Receiving Faxes Chapter 8 Receiving Methods Your machine provides you with several modes for receiving faxes. To determine which mode best suits your requirements, refer to the table below: Once you have decided which mode is suitable for your needs, set the mode as described in this chapter. You can change the mode at any time. Receive Mode Fax/Tel Mode MANUAL MODE FAX ONLY MODE ANS.MACHINE MODE DRPD Main Use Fax/Tel Te l Fax Fax/Tel Fax/Tel Operation The machine automatically switches between fax and voice calls. It receives faxes automatically and rings for voice calls. The machine rings for every call, whether a fax call or a voice call. For a fax call, you have to manually activate reception of a fax. The machine answers all calls as fax calls. It receives faxes automatically and disconnects voice calls. The machine receives documents automatically and the answering machine records voice messages. The machine rings differently depending on whether a call is a fax or voice call. Requirements Handset or the extension telephone connected to your machine. Chapter 8 Receiving Faxes8-3 Receiving Faxes Receiving Both Faxes and Telephone Calls Automatically: Fax/Tel Mode Set this mode if you only have one telephone line for fax and telephone use and want your machine to automatically switch between fax and voice calls. 8-4Receiving Faxes Chapter 8 Setting the Options for Fax/Tel Mode If you set Fax/Tel Mode, you can control precisely how the machine handles incoming calls by adjusting the following settings: – RING START TIMEsetting: Adjust the time the machine takes to check whether a call is from a fax machine or from a telephone (default: 8 seconds). – F/T RING TIMEsetting: Adjust the length of time the machine rings when the call is from a telephone (default: 15 seconds). – DEFAULT ACTIONsetting: Set whether the machine switches to receive mode or disconnects the call after the ring time set in F/T RING TIMEhas elapsed (default: switches to receive mode). ■What Happens When Fax/Tel Mode is Selected When the machine receives a call, it responds according to the type of call as follows: Telephone Fax Fax Sending document manuallySending document automatically The machine answers without ringing. The machine listens for the fax tone. (For 8 sec.) The fax tone is detected. The fax tone is not detected. The document is received automatically. The machine starts ringing.Pick up the handset to talk. If you do not pick up the handset (within 15 sec.). DEFAULT ACTION Choose between: RECEIVE (default setting) and DISCONNECT.DISCONNECT RECEIVE (Default setting)(The fax tone is detected and the machine switches to receive mode.) The machien disconnects the call. Not all fax machines are capable of sending the fax tone. If this is the case, set the DEFAULT ACTION setting to RECEIVE so that the machine switches to receive mode automatically and starts receiving the document. If no document comes in, it disconnects the call after approximately 40 seconds. F/T RING TIME (Default setting = 15 sec.) Type of call Telephone charges begin for the caller. RING START TIME (Default setting = 8 sec.)

8-6Receiving Faxes Chapter 8 Receiving Faxes Manually: MANUAL MODE Set this mode if you only have one telephone line that you use mainly for voice calls, and only occasionally to receive faxes. You can activate reception directly from your machine, or if your telephone is located away from your machine, you can dial the remote receiving ID on the telephone to activate reception (this is called Remote reception). Setting MANUAL MODE Follow this procedure to set the receive mode to MANUAL MODE: 1Press Function, then Receive Mode. 2Press ∂or ¨to select MANUAL MODE. 3Press Set. •The LCD changes to this display: Receiving a Fax Manually Follow this procedure to receive a fax manually: 1Make sure Manualis displayed in the LCD. 2Make sure you have connected the handset or extension telephone to your machine (1 p. 2-8). 3When you hear the handset or extension telephone ring, pick up the handset. ■If you hear a long beep tone or silence: 4Someone is trying to send you a fax. Press Start/Copyon your machine and hang up to begin receiving the document. •If you are using the extension telephone and it is located away from your machine, dial 25 (the default remote receiving ID) on your telephone and hang up. 12/26 Manual 12/26 Manual MANUAL MODE

If the caller wants to send a fax after talking to you, ask them to press the start button on their fax machine. 5When you hear a long beep, press Start/Copyon your machine and hang up to begin receiving the document. •If you are using the extension telephone and it is located away from your machine, dial 25 (the default remote receiving ID) on your telephone and hang up. n •If using the handset, be sure to hang up afteryou press Start/Copyon the machine, otherwise the call will be disconnected. •Your machine will alert you by beeping if the handset is not hung up properly. Make sure the handset is seated properly in its cradle. If you do not want the machine to beep, disable the OFFHOOK ALARMsetting (1p.14-4). •If you cannot activate reception from the extension telephone, check that the REMOTE RX setting is enabled (1p.14-7). •You can change the remote receiving ID (1 REMOTE RX ID, p. 14-7), or disable remote receiving (1 REMOTE RX, p. 14-7). •If you have an answering machine connected to your machine that can carry out remote- control operations (controlling your answering machine from a remote telephone), the security code for this function may be the same as the remote receiving ID of your machine. If this is the case, make sure you change the machine’s remote receiving ID to make it distinct from the answering machine’s security code (1 REMOTE RX ID, p. 14- 7).
8-8Receiving Faxes Chapter 8 Receiving Faxes Automatically: FAX ONLY MODE If you have a separate telephone line for fax use only, connect your machine to this line and set FAX ONLY MODE.Your machine will answer all calls as fax calls. Setting FAX ONLY MODE Follow this procedure to set the receive mode to FAX ONLY MODE: 1Press Function. 2Press Data Registration. 3Press Set. 4Use ∂or ¨to select RX SETTINGS. 5Press Set. 6Use ∂or ¨to select RX MODE. 7Press Set. 8Use ∂or ¨to select FAX ONLY MODE. 9Press Set. 10Press Stop/Resetto return to standby mode. 11Confirm that FaxOnlyis displayed in the LCD. •If FaxOnlyis not displayed, follow steps 1 to 3 on top of p. 8-3. The machine treats all incoming calls as fax calls. It receives faxes automatically and disconnects any voice calls. n The machine does not ring when it receives a fax call. If you want to be alerted when a fax call is received, connect the handset or an extension telephone to the machine, and enable the INCOMING RINGsetting (1p.14-7). Chapter 8 Receiving Faxes8-9 Receiving Faxes Receiving With an Answering Machine: ANS.MACHINE MODE Connecting an answering machine to the machine allows you to receive faxes and telephone messages while you are out. In ANS.MACHINE MODE, the machine allows the answering machine to answer incoming calls, then listens for the fax tone and automatically receives the fax if it detects this tone. Setting ANS.MACHINE MODE n For this mode, you need to connect an answering machine or a telephone with an answering machine to your machine (1 p.2-8). Follow this procedure to set the receive mode to ANS.MACHINE MODE: 1Press Function, then Receive Mode. 2Press ∂or ¨to select ANS.MACHINE MODE. 3Press Set. •The LCD changes to this display: Using the FAXPHONE With an Answering Machine Follow these guidelines when using the machine with an answering machine: •Set the answering machine to answer on the first or second ring. •When recording the outgoing message on the answering machine, the entire message must be no longer than 15 seconds. For example: “Hello. I can’t answer the phone right now, but please leave a message after the beep. Thank you.” 12/26 AnsMode ANS.MACHINE MODE
8-10Receiving Faxes Chapter 8 Receiving With the Distinctive Ring Pattern Detection Feature: DRPD • Choose this mode if: •you only have one telephone line for both fax and telephone use. •y ou want to receive faxes automatically as well as voice calls. •y ou have subscribed to a DRPD (Distinctive Ring Pattern Detection) service with y our telephone company. This service assigns two or more telephone numbers with distinctive ring patterns to a single telephone line, allowing you to have both a fax n umber(s) and a telephone number(s) using only one telephone line. Your machine will automatically monitor incoming calls and based on the ring pattern, will let you know if the call is a fax or voice call. Contact your telephone company for more information on this service. • You will need to: • subscribe to a DRP service offered by some telephone companies. • connect the handset to your machine ( → Set-Up Instructions). •When you receive a fax call: The machine will ring according to the ring pattern you have chosen and receive the fax automatically. • When you receive a voice call: The machine will ring according to the ring pattern you have chosen. Pick up the handset to answer the call. Setting DRPD Y our telephone company will assign a distinctive ring pattern to each number when you order the DRP service.
