Avanti 3025 telephone set 5 ference between pressing the {LEAVE MSG} softkey and dialin g [2] on the dialpad. There are other menus that you only hear -- they may have no display, or only a partial display. In still other menus you see a full display, but hear only some of the options. You make a selection from a menu by pressin g the appro- priate key. You may then receive another, different list of options, dependin g upon your selection. You do not have to listen to the entire recorded menu before makin g your selection. Your system may have been pro grammed with menus that are sli ghtly different from the ones in this manual. See your system administrator for more information. NOTE After the menu recordin g is finished, you have 5 seconds in which to make a selection from the menu. If you do not make a selection within 5 sec- onds, the previous menu appears and/or is played. If a gain you do not make a choice within 5 sec- onds, you exit IMAGEN. YOUR PASSWORD Your mailbox has a unique password, to make sure that no one but you has access to the messa ges you receive. You receive your password (of up to 12 di gits) from the system administrator. TYPOGRAPHIC CONVENTIONS In this guide the names of softkeys appear in italic bold type and within braces, as in {ACTIVATE}, whereas the names of fixed buttons and dialpad buttons appear in bold type and within brackets, as in [SPKR] or [2] . 6 Avanti 3025 telephone set GENERAL FUNCTION KEYS There are some keys whose functions are fixed: WHAT CAN YOU DO WITH IMAGEN IMAGEN enables you to perform the followin g functions: • receive messa ges; • view your messa ge listing on screen • leave messa ges for other subscribers; • leave messa ges for a group of subscribers; • record your telephone conversations; • screen incomin g calls; • store messa ges intended for future delivery; • have a messa ge time tag (date and time that a mes- sa ge was sent) attached to incoming messages; • attach an annotation to a messa ge you are redirecting; • receive confirmation when a messa ge you have sent is heard by the receivin g party; •ta g messages as urgent and/or private; • forward calls and/or messa ges to another destination; • index old messa ges for future retrieval; • copy or transfer messa ges you have received to other mailboxes; •pro gram Automated attendant service for your mailbox. You can access this menu from outside the system by dialin g the IMAGEN telephone number, given to you by the system administrator. You hear the followin g options: If you are callin g from inside the system, simply dial the IMAGEN access code, given to you by the system admin- istrator. NOTE If you use a non-tone dial telephone to dial in to IMAGEN , the call is handled accordin g to system pro gramming. Generally, the call is forwarded directly to operator assistance. Avanti 3025 telephone set 9 GETTING STARTED WITH YOUR MAILBOX ENTERING YOUR MAILBOX Yo u generally enter your mailbox from your own extension, usin g the IMAGEN access code that the system adminis- trator has defined. However, you can also enter your mail- box from any standard tone dial telephone. For example, if you are at home and want to listen to the messa ges you received at the office, you can dial the IMAGEN telephone number and then enter your mailbox. To enter your mailbox from your own extension 1. Dial the IMAGEN access code; you receive the internal MAIN Menu: 2. Press {YOUR MBOX} or dial [#][#] ; if you have any messa ges, you hear a recorded announcement: You have new messages and old messages, and are asked to enter your password. To enter your mailbox from another extension within the system 1. Dial the IMAGEN access code; you receive the internal Main Menu (see above). 2. Dial [#] and your mailbox number; you are asked to enter your password. 3. Enter your password; you receive the MAILBOX Menu. RECORDING YOUR NAME AND PERSONAL GREETINGS You personalize your mailbox by recordin g your name and your own personal greetings. To record your name: 1. 12 Avanti 3025 telephone set 2. Press {YOUR NAME} or [3] ; you receive the PERSONAL GREETINGS RECORD Menu. 3. Press {RECORD NEW} or , and wait for the tone before sayin g your name. While you are recordin g either your name or personal greetings, the {ADD TIME} and {END OF MSG} soft- keys appear on the screen. Unless your system is pro- grammed differently, you have four minutes to finish recordin g, but can add another minute each time you press {ADD TIME}. 4. NOTE If you exit the END OF RECORD Menu without pressin g {SAVE MSG}, your recording will not be effective. To record your personal greetings You record your various personal greetings in the same way that you record your name. The only difference is that you select [1] , [2] , [4] or [5] from the PERSONAL GREET- INGS Menu in step 2 above, dependin g upon the type of greeting you want to record. There is no other difference in the procedure. • Callers hear your personal mailbox greeting when you dont answer your rin ging telephone, when it is in the Do Not Disturb (DND) mode, or when you have not recorded a busy greeting; • Callers hear your busy greeting if they call while you are usin g your telephone; • Callers hear your special temporary greeting (for example, while you are on vacation), until you erase it, after which your mailbox reverts to your re gular per- sonal greeting. • Callers from within the system hear your internal greeting (if programmed) as an alternative to your mailbox greeting. 14 Avanti 3025 telephone set CHANGING YOUR PASSWORD You receive your initial password from the system adminis- trator, but can chan ge it at any time. You may also cancel your password. However, if you do so, anyone can enter your mailbox and listen to your messa ges. To change your password 1. Enter your mailbox (dial the IMAGEN access code and dial [#][#] ). 2. Enter your current password; you receive the Mailbox Menu. 3.
