System Management Tools
DEFINITY AUDIX system manag ement involves evaluating  information ab out 
your system’s p erformanc e and taking  ap p rop riate ac tions. This task is p art of 
your ongoing ad ministrative resp onsib ilities. System manag ement information is 
g enerated  from the following  sourc es: 
nAlarms, log s, and aud its — DEFINITY AUDIX system d iag nostic  prog rams 
rec og nize and /or resolve p rob lems that may oc c ur within system files. The 
Ac tivity Log  is a uniq ue typ e of log  that d oes not generate error or alarm 
notific ations b ut trac ks and  displays a history of ac tivities involving 
sub sc rib er mailb oxes. Other d iag nostic  p rog rams that monitor the system 
while running in the b ac kg round  find  errors as they oc c ur and  run internal 
tests or aud its that attemp t to c orrec t p rob lems. If p rob lems c annot b e 
c orrec ted  internally, they are log g ed  as faults that g enerate alarms. 
System audits run automatic ally eac h nig ht or as administered  using the 
DEFINITY AUDIX system ad ministration sc reens. Aud its also are run 
automatic ally when faults are log g ed  b y software d uring  normal DEFINITY 
AUDIX system op eration. These p roc esses are d esc rib ed  in Chap ter 7, 
‘‘Alarms, Log s, and  Aud its’’. 
nTraffic  rep orts — DEFINITY AUDIX rep ort-g enerating  prog rams c ollec t 
d ata ab out your system’s ac tivities d uring  spec ified  hours, d ays, or 
months. These rep orts are used  to evaluate ac tual system use c ompared  
to p rojec ted  use and  are help ful in p red ic ting  your future eq uipment 
requirements. Traffic reports are described in Chap ter 8, ‘‘Traffic  Rep orts’’. 
nAUDIX Ad ministration and  Data Ac q uisition Pac kag e (ADAP) — Collec ts 
and  transfers DEFINITY AUDIX sc reens d ata (suc h as sub sc rib er, traffic , 
and  b illing information) to a PC from the DEFINITY AUDIX system 
ad ministration terminal p ort. The d ata is transferred  to a PC d atab ase and  
stored  in a format c ompatib le with dBASE III PLUS™. Onc e this data is 
c ollec ted  and  d ownload ed  to a PC, it c an b e p resented  in stand ard  
rep orts g enerated  b y ADAP, or p rog rams c an b e written to p resent this 
d ata in formats that fit your sp ec ific  need s. This software p ac kag e is 
described in

Responsibilities
Your resp onsib ilities as a DEFINITY AUDIX system ad ministrator inc lud e the 
following  tasks: 
nPerforming  the initial system ad ministration tasks suc h as c hang ing  
the system p assword , c ustomizing  system announc ements 
(op tional), setting  up  the automated  attend ants, and  d istrib uting 
d oc umentation to sub sc rib ers. This ad ministration is d esc rib ed  in 
Chapter 2, ‘‘Prep aring  for DEFINITY AUDIX System Op eration’’. 
nDetermining  whic h DEFINITY AUDIX features to make availab le to 
sub sc rib ers and  p erforming system and  sub sc rib er ad ministration 
that ac tivates, deac tivates, mod ifies, or monitors these features. 
This ad ministration is d esc ribed  in Chap ter 3, ‘‘Feature 
Ad ministration’’. 
nPerforming  ong oing  d aily, weekly, and  monthly p reventive 
maintenanc e tasks to monitor system p erformanc e. This 
ad ministration is d esc ribed  in Chapter 4, ‘‘Ong oing  Preventive 
Maintenanc e’’. 
nPerforming  ong oing  sub sc rib er ad ministration to ad d , c hang e, and  
remove subsc ribers as new emp loyees are ad d ed  to the DEFINITY 
AUDIX system, as new features are mad e availab le, and  as 
sub sc rib ers c hang e loc ations or leave your c omp any. This 
ad ministration is d esc ribed  in Chapter 5, ‘‘Ongoing Subscriber 
Ad ministration’’. 
nPerforming ongoing data administration including backing up 
filesystems, c ustomizing  system g reeting s, and  c hang ing  
announc ement versions. This ad ministration is d esc rib ed  in 
Chapter 6, ‘‘Ong oing  Data Ad ministration’’. 
nMonitoring  system alarms, the ad ministration log , and  system 
aud its to ensure that your system is p erforming  p rop erly and  to 
c orrec t ad ministrative errors that may oc c ur. This ad ministration is 
described in Chap ter 7, ‘‘Alarms, Log s, and  Aud its’’. 
nMonitoring  traffic  rep orts that p rovid e d etailed  information ab out the 
DEFINITY AUDIX system and subsc ribers to ensure that your 
system is p erforming  p rop erly and  to sp ot p otential p rob lems and  
trend s that may req uire intervention on your p art. This 
ad ministration is d esc ribed  in Chapter 8, ‘‘Traffic Reports’’. 
nIf you use AUDIX ADAP c ollec tion features, you also may b e 
resp onsib le for setting  up  these features, c ollec ting  raw d ata from 
the DEFINITY AUDIX system on a PC, and  p rod uc ing  ad d itional 
traffic  and  financ ial manag ement rep orts. AUDIX ADAP is

nInterac ting  with your sub sc ribers, ensuring that they are p rop erly 
trained , c orrec ting  their misc onc ep tions, troub leshooting  their 
p rob lems, and  listening  to their need s.

This c hapter d esc rib es the ad ministrative ac tivities that you should  c omp lete 
b efore sub sc rib ers start using  the DEFINITY AUDIX system. 
Overview
Your resp onsib ilities d uring  the initial ad ministrative p hase b eg in after the Luc ent 
servic e tec hnic ians at your site have installed  the DEFINITY AUDIX system, 
p erformed (with you) ac c ep tanc e tests to verify that the system is working  
p rop erly, set up  the switc h integ ration method  selec ted  b y your c omp any, and  
ad ministered  the DEFINITY AUDIX system sub sc rib ers. 
Ac tivities desc rib ed  in this c hap ter are listed  in the ord er in whic h they should  b e 
p erformed during  this p hase. During  the ong oing  administration p hase, you may 
need  to p erform some of these ac tivities ag ain on a reg ular b asis, thoug h not 
nec essarily in the order listed  here. Your initial tasks inc lud e the following :

The system p assword  that you set affects only the cust login. The 
Luc ent Tec hnic al Servic es Org anization (TSO) maintains separate

Besid es the tasks in the list ab ove, there are a numb er of other tasks that also 
mig ht b e c ompleted  d uring  this p rep aratory p hase. For examp le, you c ould  
mod ify d efault values in c ertain field s on the ad ministrative forms. However, you 
may wish to wait until the system has b een in use for some time before c hang ing  
the d efaults. This will g ive you a c hanc e to evaluate ac tual usag e req uirements 
and  make c hang es b ased  on those req uirements. 
Initial Administration Prerequisites
Before you c an b eg in your p hase of initial ad ministration, you must verify that the 
nec essary switch administration has been completed, and you must know how to 
use the DEFINITY AUDIX ad ministration terminal to ac c ess and  modify DEFINITY 
AUDIX ad ministrative sc reens. 
Switch Administration
Switc h administration sets up c ommunic ations b etween the DEFINITY AUDIX 
system and  the switc h and  d efines where the DEFINITY AUDIX system fits in the 
call-coverage paths of individual DEFINITY AUDIX subscribers. 
This ad ministration is p erformed  by Luc ent tec hnic al p ersonnel d uring  DEFINITY 
AUDIX system installation. Before you b eg in DEFINITY AUDIX system 
ad ministration, verify with your switc h ad ministrator and/or Luc ent p ersonnel that 
the switc h ad ministration has b een c omp leted . Refer to

c onnec ted  to the DEFINITY AUDIX ad ministration p ort. The following  terminals

The terminal should  have been installed  and  tested  d uring  DEFINITY AUDIX 
system installation. 
The sc reens displayed on the administrative terminal, called the DEFINITY 
AUDIX ad ministrative sc reens, are used  to add , c hang e, remove, or d isp lay 
information relating  to the DEFINITY AUDIX system and  its sub sc ribers. 
Online help  is available when you are using  ad ministrative sc reens. This p rog ram 
provides three levels of information: path-line help, sc reen help, and field help. 
All three levels of help  information are availab le for every ad ministrative and 
maintenanc e sc reen.

Passwords
This section describes the login and system passwords. 
There are four log in IDs that c an ac c ess DEFINITY AUDIX sc reens. One of these 
is the 
cust login, whic h is sp ec ific ally alloc ated  for ad ministration. This is the only 
login that you, the system ad ministrator, will use. The other log in IDs are reserved  
for Luc ent p ersonnel and  are used  to install the DEFINITY AUDIX system and  to 
p erform remote maintenanc e op erations on your system as ap p rop riate. 
The DEFINITY AUDIX system is d elivered  with a d efault p assword  for the 
cust 
login. The system tec hnic ians who install your system may assig n log in 
p assword s to one or more of the Luc ent log in IDs b ut they will not c hang e the 
login p assword for the 
cust log in ID. You should  c hang e the p assword for the 
cust log in as d esc rib ed  in the next sec tion. 
The system password  is a sec ond  level of system sec urity for the 
cust log in. Only 
you, the DEFINITY AUDIX system ad ministrator, have the ability to estab lish the 
system p assword . It will not exist until you ad d  it as d esc rib ed  in the next sec tion. 
For maximum system sec urity, you should  c hang e the 
cust login password and 
the system password periodically. See Chap ter 10, ‘‘Ong oing  System Sec urity’’, 
for information on c hoosing  and  c hang ing  p assword s to maintain a high level of 
system sec urity. 
Customer Initial Administration Tasks
This sec tion d esc rib es the tasks that you should  p erform onc e you have rec eived  
your DEFINITY AUDIX system. 
Task 1: Logging into the DEFINITY AUDIX 
System
To administer your DEFINITY AUDIX system, you must first log  in at your 
ad ministration terminal. 
To log  in: 
1. Enter cust
 (the ad ministrative log in ID) at the log in p romp t. 
2. Enter custpw
 (the d efault log in password ) at the p assword  p romp t. 
3. Press   at the system p assword  p romp t. 
4. Enter 513
 or the ap p rop riate terminal typ e at the terminal typ e p rompt.

Task 2: Changing Your Passwords

cust log in ID eac h time you log  in to p erform DEFINITY AUDIX system 
ad ministration.

Change the System Password
Chang e the system p assword . You will use this new system p assword eac h time 
you log  in to perform DEFINITY AUDIX system ad ministration. 
NOTE:
If you forg et your log in ID, your log in p assword , or the system p assword 
onc e you have c hang ed  them, you must c ontac t the AUDIX Helpline to 
reassig n the system d efault p assword  or log in ID. This is a c omp lic ated  
p roc ed ure that may req uire re-entering  system translations and  other 
information, and  this may inc ur c harg es for the Tec hnic al Servic es 
Org anization (TSO) eng ineer’s time. Some of this information may b e 
d iffic ult to d up lic ate. Therefore, 
d o not forget your log in ID or p assword s. 
Task 3: Customizing System Announcements
Your DEFINITY AUDIX system c omes with the announc ement sets that you c hose 
for your system. You may c ustomize these announc ement sets for your c omp any. 
Refer to Customizing  Announc ements in 
Chap ter 6, ‘‘Ong oing  Data 
Ad ministration’’. 
This section of Chap ter 6 also p rovid es p roc ed ures for 
Chang ing the Default Call Answer Greeting  and  Chang ing  the Default Voic e Mail 
Greeting . You should  verify that the system announc ements are suitab le for your 
application before you allow subscribers to begin using the DEFINITY AUDIX 
system.
Task 4: Customizing Automated Attendants
The Automated  Attend ant feature allows you to set up  automatic  answering  
servic es that p rovid e c allers with a voic e menu of op tions for transferring  c alls to 
other extensions. For examp le, an automated  attend ant c an answer your 
c omp any’s p hone and  p romp t c allers to d ial extensions d irec tly if they know the 
numb er or to p ress the ap prop riate key on their touc h-tone p hones in resp onse to 
voic ed  menu op tions. The automated  attend ant c an have as many as 10 menu 
op tions, c orresp ond ing  to the buttons 0 throug h 9 on a touc h-tone telep hone. 
If p ossib le, you should  c ustomize automated  attend ant announc ements b efore 
you allow sub sc rib ers to use the DEFINITY AUDIX system. However, you will 
p rob ab ly find that the way the automated  attend ant feature is used  will c hang e 
with system usag e.
