    Checking for Threshold Exceptions
    Monitor the threshold s field  on the STATUS line at the top  of the ad ministrative 
    forms. This field d isp lays the word “ none”  if no exc ep tions exist. It may take up  to 
    30 minutes for a threshold  exc eption to b e rep orted  or for the exc ep tion to c lear if 
    suffic ient spac e is freed  up  in the filesystem. When a threshold exc ep tion oc c urs, 
    the threshold s field d isp lays one of the following  messag es: 
    If you are c urrently seeing  threshold  exc ep tions on the status line and  d o not 
    want to p urc hase ad d itional storag e hours, you c an ad just the threshold s on the 
    System-Parameters Threshold s sc reens so that you will not b e notified  until a 
    higher p erc ent of storag e sp ac e is used . If you set the threshold s too hig h, you 
    run the risk of running  out of storag e sp ac e without ad eq uate warning . If you 
    ad just the threshold  to 100% you may see storag e 0 alarms ind ic ating  that you 
    are running  out of sp ac e.Message Description
    Lower
    This indic ates that a lower messag e sp ac e threshold  has 
    b een exc eed ed  within the total messag e sp ac e availab le for 
    voic e messag es. If you are using  the default lower threshold  
    that was d elivered  on the System-Parameters Threshold s 
    sc reen, this means that 75% of the messag e sp ac e availab le 
    has b een used . Ask sub sc rib ers to d elete all unnec essary 
    messag es and  g reeting s from their mailb oxes.
    Middle
    This indic ates that a mid d le messag e sp ac e threshold  has 
    b een exc eed ed  within the total messag e sp ac e availab le for 
    voic e messag es. If you are using  the default mid dle threshold  
    that was d elivered  on the System-Parameters Threshold s 
    sc reen, this means that 85% of the messag e sp ac e availab le 
    has b een used . Ask sub sc rib ers to d elete all unnec essary 
    messag es and  g reeting s from their mailb oxes.
    Upper
    This indic ates that an up p er messag e sp ac e threshold  has 
    b een exc eed ed  within the total messag e sp ac e availab le for 
    voic e messag es. If you are using  the default up per threshold  
    that was d elivered  on the System-Parameters Threshold s 
    sc reen, this means that 95% of the messag e sp ac e availab le 
    has b een used . You alread y should  have asked  sub sc rib ers 
    to d elete unnec essary messag es when eac h of the other two 
    threshold s were reac hed . Therefore, it is p rob ab ly useless to 
    ask sub sc ribers to d elete ad ditional messag es and  g reeting s 
    ag ain. Instead , c onsid er d ec reasing  the retention times on the 
    Class of Servic e sc reen to allow the system to automatic ally 
    d elete messag es sooner. Then run audit mailboxes
     to d elete 
    messag es that are old er than this new retention time. If your 
    system is c urrently using  a 6-hour,15-hour or 40-hour d isk, 
    you also may consider going to a larger disk.

    Backing Up Filesystems and 
    Subdirectories
    Some filesystems and  sub d irec tories are b ac ked  up  on tape or MO d isk 
    automatic ally by the DEFINITY AUDIX system on a reg ular b asis. 
    You may need  to manually b ac k up p ertinent filesystems and  sub d irec tories after 
    making  major system c hang es, after entering  large numb ers of new sub sc rib ers, 
    or when you are experienc ing  system p rob lems and  d o not want to risk losing 
    information that was entered  sinc e the last automatic  b ac kup . 
    Bec ause of the typ es of d ata stored  in the d ifferent filesystems and  
    sub d irec tories, not all system filesystems and  sub d irec tories are normally 
    b ac ked  up. All that is req uired  to rec over from a d isk c rash or other major 
    p rob lem is a c urrent c op y of the System Data filesystem, one version of the 
    Announc ement d irec tory of the Storag e filesystem (only nec essary if you 
    c ustomize announc ements), and  a c opy of the Names d irec tory of the Storag e 
    filesystem. With these filesystem or d irec tory b ac kup s, you c an rec over all the 
    nec essary filesystem d ata exc ep t the messag es and  greeting s in the Voic e Text 
    d irec tory of the Storag e filesystem.
    It is ad visab le to b ac kup  messag es and  g reeting s with the save voic e c ommand  
    to save sub sc rib er greeting s, Automated Attend ants and  Bulletin Board s. This 
    b ac kup  will sp eed  rec overy of your system if a reload  is nec essary.
    With 3.2 and  earlier releases, three removab le tapes were ship p ed  with the 
    DEFINITY AUDIX system: one c ontaining  system p rograms and  two that are 
    b lank. With release 4.0, four mag neto-op tic al d isks were ship p ed  with the 
    DEFINITY AUDIX system: one c ontaining  system p rograms, one lang uage d isk 
    and  two 640 MB d isks for b ac kup s.
    One of the tap es or MO d isks that was ship p ed  b lank should  b e installed  at all 
    times for b ac king  up the System Data filesystem (whic h is d one automatic ally 
    eac h nig ht) and  the Names Direc tory on the Storag e filesystem (whic h is d one 
    automatic ally eac h week). This tap e or MO d isk also is normally used  to manually 
    b ac k up  filesystems. With 3.2 and  earlier releases, you should  p eriod ic ally 
    c hang e the b ac kup  tap e sinc e, if it bec omes full, it will overwrite your c urrent 
    b ac kup . Look for warning s ab out a full tap e in the Ad ministration Log . With 
    release 4.0, the Mag neto-op tic al (MO) d isk d rive will not overwrite your c urrent 
    b ac kup . It always leaves at least one b ac kup  of the same typ e on the MO d isk. If 
    the MO d isk is full and  the d rive c annot overwrite the same typ e of b ac kup , it 
    reports an alarm.

    unless you have c ustomized  announc ements. If you make 
    c hang es to c ustomized  announc ements, c op y this 
    d irec tory to a tap e or MO d isk using  the save 
    Announc ements sc reen after you make c hang es. If you 
    d o not have c ustomized  announc ements, you alread y 
    have a b ac kup  on the orig inal fac tory tap e.
    Storag e;Names 
    Direc toryThe Names Direc tory c ontains sub sc rib er names and  is 
    b ac ked  up  automatic ally 
    every Sund ay nig ht if 
    ad ministered  to d o so on the System-Parameters 
    Features sc reen. After you rec ord a large numb er of 
    sub scrib er names, you may want to b ack this d irectory up  
    immed iately b y exec uting  the save weekly
     command.
    Storag e;Voic e 
    Te x t  D i r e c t o r yNot all issues of release 3.2 allow bac kup  of messag es 
    and  g reeting s with the c ustomer log in. With release 4.0 
    use the save voice
     c ommand  to bac kup  these messag es 
    and  g reeting s. Bec ause this c ommand  saves all voic e 
    messag es and  g reeting s, b e sure that you have 
    ad eq uate sp ac e on your MO d isk b efore you b eg in the 
    save. You may want to use a sep arate MO disk just for 
    this operation.
    System Data The System Data filesystem c ontains information that 
    must b e recovered  if you lose filesystem information. 
    Bec ause of the imp ortanc e of this d ata, the system d ata 
    filesystem is b ac ked up  automatic ally 
    eac h nig ht by the 
    DEFINITY AUDIX system after the nig htly aud its, whic h 
    start at 1:00 a.m. 
    NOTE:
    Be c ertain that the switc h aud its and  the DEFINITY 
    AUDIX aud its d o not run at the same time. If they 
    are sc hed uled  for the same time, c hang e the time 
    for the switc h aud its.
    Thus, you d o not need  to manually b ac k up this filesystem 
    unless your system is exp erienc ing  p rob lems and  you 
    want to ensure that a c urrent c op y is stored  on a 
    removab le tap e or MO d isk. You c an p erform a d emand  
    b ac kup  of this filesystem b y exec uting  the save nightly

    Adding an Additional
    Announcement Set
    You c an install up  to nine announc ement sets on the DEFINITY AUDIX system 
    sub jec t to the amount of storag e sp ac e that is availab le. Eac h announc ement set 
    takes up  storag e spac e on the system and  may take storag e sp ac e away from 
    voic e text information. Before installing  another announc ement set, c hec k the 
    amount of sp ac e availab le on the List Measurements Load  Day sc reen. Ensure 
    that there is enoug h storage sp ac e to install the announc ement set and  still have 
    ad eq uate voic e text storag e sp ac e. Refer to 
    DEFINITY AUDIX System — System 
    Desc rip tion
    , 585-300-205, or DEFINITY AUDIX System Release 4.0 System 
    Desc rip tion
    , 585-300-214 for an estimate of the amount of storag e sp ac e need ed  
    b y eac h announc ement set. Refer to 
    DEFINITY AUDIX System — Installation, 
    585-300-111, or 
    Installation and  Switc h Ad ministration for the DEFINITY AUDIX 
    System Release 4.0
    , 585-300-122 for instruc tions on installing  the ad ditional 
    announc ement set.
    Replacing an MO disk
    Use the following  p roc ed ure to rep lac e an MO d isk in the DEFINITY AUDIX 
    system: 
    1. Enter remove MO-d isk to unloc k and  unload  the MO d isk.
    2. Remove the MO d isk from the d rive. Rep lac e it with a new MO d isk. 
    3. Enter ad d  MO-d isk. This c lears mo-d isk med ium-related  alarms, load s the 
    MO disk, and adds the default volume label.
    Optionally, if you are reusing  an MO d isk, you c an ad d  initialize to the ad d  
    MO-d isk c ommand . This will remove all d ata on the d isk while retaining  the 
    volume lab el.
    Replacing a Removable Tape
    Use the following  p roc ed ure to rep lac e a tap e in the DEFINITY AUDIX system: 
    1. Enter remove tape
     to unloc k and  unload  the tap e. 
    2. Remove the tap e from the d rive. Replac e it with a new tap e. 
    3. Typ e the add tape
     c ommand . This c lears any existing  alarms (exc ep t 
    c leaning  alarms), load s the c artrid g e, and  ad d s the d efault ID lab el. 
    Cleaning a Tape
    You need  to c lean the DEFINITY AUDIX tap e p eriod ic ally. Refer to Chap ter 4 of 
    DEFINITY AUDIX System — Maintenanc e, 585-300-110, for the tap e c leaning 
    p roc ed ure

    Filesystem Information
    Oc c asionally, system hard ware p rob lems may oc c ur c ausing  all or p art of the 
    information on the hard  d isk to b e d estroyed . You will b e notified  of filesystem or 
    volume p rob lems b y an alarm ind ic ation on the STATUS line of your terminal. 
    When an alarm is ind ic ated , c hec k the alarm log  to d etermine the typ e of 
    problem. 
    The alarm log will d isp lay a fault c ode ind ic ating  file troub le and  a resourc e typ e 
    indic ating the filesystem that is c orrup t (damag ed  in some way). These c od es 
    are listed  in 
    DEFINITY AUDIX System — Maintenanc e, 585-300-110 or DEFINITY 
    AUDIX System Release 4.0 Maintenanc e,
     585-300-121. You will need  to rep ort 
    this information to the servic e tec hnic ian. 
    The servic e tec hnic ian must determine the c ause of the p rob lem and  p erform a 
    rec overy of the filesystems that are c orrup t. The rec overy is made from the 
    b ac kup  c op ies of these filesystems. For this reason it is extremely imp ortant to 
    ensure that the nig htly bac kup s of the System Data filesystem are made and to 
    c hec k the b ac kup  med ia onto whic h the filesystems are b ac ked up  to ensure that 
    no c urrent d ata is lost. See ‘‘Backing Up Filesystems and Subdirectories’’
     earlier 
    in this c hap ter. 
    NOTE:
    If your files b ec ome c orrup t or the d isk c rashes, you will have to rerec ord  
    any automated  attend ant menus. You might want to keep  a c op y of the text 
    of automated  attend ant menus so that you c an rerec ord  them p rec isely if 
    nec essary. If you saved  the g reeting s in a voic e bac kup , p rovid e this to the 
    tec hnic ian. Only b ac kup s from the c urrent release of your DEFINITY AUDIX 
    system can b e restored .
    Customizing Announcements
    While using  the DEFINITY AUDIX voic e messag ing  system, you hear voic e 
    p rompts c alled  
    announc ements. Announc ements are c omp rised  of sep arate 
    instruc tions c alled  
    frag ments whic h tell you what to d o and  what your op tions are. 
    You c an c hang e DEFINITY AUDIX announc ements to more exac tly meet the 
    need s of your b usiness and  sub sc rib ers. Use c ommand s and  p roc ed ures 
    d esc rib ed  in this sec tion to c hang e announc ements.
    What Are Fragments and Announcements
    To effec tively c hang e announc ements, you need  to und erstand  p rec isely what 
    frag ments and  announc ements are.

    Fragments
    The voic e p romp ts that you hear c onsist of one or more p iec es of rec orded  text 
    called 
    frag ments. A frag ment c an b e a rec ord ed word , p hrase, or sentenc e. 
    Eac h frag ment is id entified  b y an alp hanumeric  c od e starting  with the letter “ f” .
    For example, the voic e prompt

    Announcements
    An announc ement is ac tually a plac ehold er within the system that p lays the 
    frag ments. For eac h event that may oc c ur within the DEFINITY AUDIX system, 
    the system p ermanently assig ns one or more announc ements, eac h id entified  b y 
    numb er, to that event. Eac h announc ement is c omp osed  of frag ments that c an 
    b e rearrang ed  or rerec ord ed  to meet your b usiness req uirements.
    Thus, when a c aller or sub sc rib er c omp letes an event (normally p ushing  a 
    b utton), the DEFINITY AUDIX system p roc esses the announc ement numb er 
    assig ned  to that event and  then p lays the frag ments assig ned  to that 
    announc ement. Eac h announc ement is id entified  b y a c od e starting  with the 
    letter “ a” , also known as the announc ement numb er. For instanc e, “ a10”  is 
    announc ement 10.
    Look at the samp le event seq uenc e in Fi g u re  6 - 2. Announc ement a815 marks the 
    p oint where frag ments are played  when the c aller c onnec ts to the DEFINITY 
    AUDIX system. The 
    us-eng voic e promp t at this p oint says Welc ome to AUDIX.

    Announc ements are fixed in p lac e. You c annot use an announc ement numb er to 
    mark a different point in the DEFINITY AUDIX system. Therefore, you cannot add,

    System and Administrative Announcement Sets
    Announc ements sets are id entified  to AUDIX as either system or administrative. 
    Sys t e m means that this announc ement set is the d efault announc ement set for all 
    system p rompts and  announc ements. 
    Ad ministrative means that the set c an b e 
    c ustomized . 
    A set c an b e 
    both system and ad ministrative. When this is true, announc ement 
    set c hang es will b ec ome immed iately effec tive for DEFINITY AUDIX users. 
    Therefore, you should  test and  verify your c hang es to the administrative 
    announc ement set, b efore id entifying it as the system set using  the 
    c orresp ond ing field s on the System-Parameters Features
     screen. 
    DEFINITY AUDIX Announcement Sets
    A rep resentative list of announc ement sets is shown in the tab le below. New 
    announc ement sets are c onstantly und er d evelop ment. Contac t your Luc ent 
    rep resentative for the most rec ent list. 
    Custom Announcement Sets
    You c an c reate and  ac tivate c ustom announc ement sets with c ustomized  
    messag es that meet the sp ec ific  need s of your business and system users. 
    Creating  a c ustom announc ement set c onsists of four steps:
    1. Ad d ing  the new announc ement set name to the system
    2. Cop ying into this new set the announc ements from another set
    3. Chang ing the announc ements and frag ments in the c ustom set
    4. Ac tivating  the c ustom set Language Announcement Set

    You c an c ustomize announc ements in the following ways: 
    nRe-rec ord ing  a frag ment 
    nEliminating  a frag ment 
    nAd d ing  a frag ment 
    How you c ustomize announc ements d ep end s on the announc ement and 
    whether the fragments c ontained  in that announc ement are used in other system 
    announc ements. The following  p roc ed ures d esc rib e how to c reate a new 
    announc ement set, and how to alter an announc ement b y re-rec ord ing  a 
    frag ment, eliminating  a frag ment, or ad ding  a frag ment. 
    NOTE:
    Refer to the DEFINITY AUDIX System Sc reens Referenc e for a c omp lete 
    d esc rip tions of how to use the sc reens. 
    Creating a New Announcement Set
    Before you c ustomize announc ements, you should  c reate a c ustomized  
    announc ement set and  id entify it as an 
    ad ministrative set. 
    Creating  a c ustom announc ement set, rather than simp ly c hanging  the set 
    rec eived  with the DEFINITY AUDIX set ac c omp lishes two thing s: 1) you c an 
    id entify this set as ad ministrative so that the c hang es d o not immed iately impac t 
    the users; and  2) this p revents your c hang es from being rep lac ed  with a system 
    up g rad e. 
    The sec ond  pag e of the System-Parameters Features
     sc reen identifies the ac tive 
    and  ad ministrative announc ement sets. Sinc e you c an make rec ord ed  c hang es 
    only to the administrative announc ement version, you must id entify your c ustom 
    set as ad ministrative b efore making  c hang es. 
    Make a c op y of the announc ement set you wish to c hang e, as follows: 
    1. Enter add annc-set
     
    new-annc-set-name, where new-annc-set-name is 
    the name that you wish to g ive to the new announc ement set. 
    2. Enter copy annc-set
     to b ring up  the Announc ement Sets
     sc reen. 
    3. Enter the name of the existing  announc ement set in the From 
    Announc ement Set field . 
    4. Enter the name that you g ave to the new announc ement set in the To 
    Announc ement Set field . 
    NOTE:
    The c op y will take plac e over several minutes. The Ad min Log  
    indic ates when finished  using a “ c p as”  typ e log  entry.

    5. Enter change system-parameters features
     to b ring  up the 
    System-Parameters Features
     sc reen. 
    6. Enter the name of the new announc ement set in the Ad ministrative field  on 
    the sec ond p ag e of this sc reen. 
    Re-Recording a Fragment
    There are at least two announc ements you may want to c hang e when you 
    customize your DEFINITY AUDIX system: 
    nThe d efault c all answer g reeting  a c aller hears when routed  to a 
    sub sc rib er’s DEFINITY AUDIX mailb ox 
    nThe d efault voic e mail g reeting  a sub sc rib er hears when c alling  DEFINITY 
    AUDIX d irec tly. 
    Proc ed ures for c hang ing  the d efault c all answer g reeting  and  d efault voic e mail 
    g reeting  are desc rib ed  later.
    However, the proc ed ure for re-rec ording  a frag ment is the same for any 
    announc ement, as d esc rib ed  b elow: 
    1. Contac t the Tec hnic al Servic e Org anization to ob tain the number of the 
    announc ement you want to c hang e and  the text and  numb er of eac h 
    frag ment c ontained  in the announc ement. Then d ec id e whic h frag ment(s) 
    you want to c hang e for that announc ement. 
    2.  Verify that the frag ment is used  only in those announc ement(s) that you 
    expect to be affected by your changes. 
    NOTE:
    If a frag ment is used  b y numerous announc ements, you may not b e 
    ab le to re-rec ord  the frag ment b ec ause of how it would  affec t the 
    rest of the announc ements. In this instanc e, c reate a new frag ment 
    following  the ‘‘Ad d ing  a Frag ment to an Announc ement’’ 
    instruc tions in this c hap ter. 
    3. Use the System-Parameters Features
     sc reen to d esig nate the c orrec t 
    announc ements set that you p lan to c hange as the ad ministrative version. 
    4. Use the Announc ement
     sc reen to verify that the announc ement you p lan to 
    c hang e is ac tually c omp osed  of the frag ments you exp ec t. 
    5. Use the Sub sc rib er
     sc reen to c onfirm that you have p ermission to c hang e 
    announc ements (you must have a y in the Announc ement Control field ). 
    6. Use your touc h-tone phone to log  in to the DEFINITY AUDIX system. 
    7. At the ac tivity menu, press  . (For sec urity purposes, this op tion is not 
    inc lud ed  in the voic ed  op tions you hear.) If you hear 
    Invalid entry. For help  
    at any time, p ress star H
    , you d o not have announc ement c ontrol 
    p ermission.
