Executive set with expanded display 1 WHAT IS IMAGEN? IMAGEN is a multiple application generator that incorpo- rates an electronic voice mail system, providin g you with an easy, fast and dependable way to communicate with people inside and outside your or ganization. • For outside callers dialin g in to your organization, IMAGEN plays a recorded announcement that offers assistance in reachin g the person with whom they want to speak, and provides options for proceedin g if that person is subsequently unavailable. • For you, as an IMAGEN subscriber, the wide variety of IMAGEN features provides you with the flexibility you need in mana ging your communications requirements, such as handlin g incoming calls, and leaving and receivin g messages. This manual provides you with an explanation of these features, to gether with step-by- step instructions for operatin g the IMAGEN functions.
2 Executive set with expanded display BASIC CONCEPTS WHAT IS A MAILBOX? Every internal IMAGEN user is assi gned a mailbox for their own personal use. This is where the recorded messa ges you receive are stored. Each mailbox has a unique number (up to six di gits). Your mailbox number is usually the same as your extension number. Once the system administrator has assi gned a mailbox to you, you personalize it by: • obtainin g a unique password from the system adminis- trator (which you can chan ge or cancel); • recordin g your name in your mailbox; • recordin g the personal greetings that you want your callers to hear when you are unavailable. SOFTKEYS The six keys located on the left of your display screen are called softkeys. The name of each softkey appears on the display screen next to it. This name chan ges, depending on the particular function you are performin g. When performin g most functions you have two choices. You can either press a softkey, or dial the correspondin g number on the dialpad, in order to perform the same func- tion. For example, to receive your messa ges you can either press the {RECEIVE} softkey or dial [1] on the dialpad. For some functions there is no softkey, but only a number on the dialpad.
Executive set with expanded display 3 For your convenience both the softkey (if available) and the di git for performing a certain function appear in the menus in this manual. MENUS A menu is a list of options. For example, upon enterin g the system at your extension, you receive the IMAGEN MAIN Menu: In some menus you both see and hear the list of options. You see the softkey names displayed on your screen and at the same time you hear a recorded announcement, informin g you of the dialpad digits that also perform these functions. In the above menu, for example, there is no dif- ference between pressin g the {LEAVE MSG} softkey and dialin g [2] on the dialpad. There are other menus that you only hear -- they may have no display, or only a partial display. In still other menus you see a full display, but hear only some of the options. You make a selection from a menu by pressin g the appro- priate key. You may then receive another, different list of options, dependin g upon your selection. You do not have to listen to the entire recorded menu before makin g your selection. Your system may have been pro grammed with menus that are sli ghtly different from the ones in this manual. See your system administrator for more information. 4 Executive set with expanded display NOTE After the menu recordin g is finished, you have 5 seconds in which to make a selection from the menu. If you do not make a selection within 5 sec- onds, the previous menu appears and/or is played. If a gain you do not make a choice within 5 sec- onds, you exit IMAGEN. YOUR PASSWORD Your mailbox has a unique password, to make sure that no one but you has access to the messa ges you receive. You receive your password (of up to 12 di gits) from the system administrator. TYPOGRAPHIC CONVENTIONS In this guide the names of softkeys appear in italic bold type and within braces, as in {ACTIVATE}, whereas the names of fixed buttons and dialpad buttons appear in bold type and within brackets, as in [SPKR] or [2]. The names of menus are in all capital letters, as in MAILBOX Menu. GENERAL FUNCTION KEYS There are some keys whose functions are fixed: Dial [0]To repeat the current menu or To dial for operator assistance -- only for outside calls Dial [ *]To return to the previous menu or To exit IMAGEN from the MAIN Menu

IMAGEN enables you to perform the followin g functions: • receive messa ges; • view your messa ge listing on screen • leave messa ges for other subscribers; • leave messa ges for a group of subscribers; • record your telephone conversations; • screen incomin g calls; • store messa ges intended for future delivery; • have a messa ge header (date and time that a message was sent) attached to incomin g messages; • attach an annotation to a messa ge you are redirecting; • receive confirmation when a messa ge you have sent is heard by the receivin g party; •ta g messages as urgent and/or private; • forward calls and/or messa ges to another destination; • index old messa ges for future retrieval; • copy or transfer messa ges you have received to other mailboxes; • pro gram Automated attendant service for your mailbox.
6 Executive set with expanded display ACCESSING IMAGEN The IMAGEN External Main Menu (below) is played to external callers dialin g in to the IMAGEN system. You can access this menu from outside the system by dialin g the IMAGEN telephone number, given to you by the system administrator. You hear the followin g options: If you are callin g from inside the system, simply dial the IMAGEN access code, given to you by the system admin- istrator. NOTE If you use a non-tone dial telephone to dial in to IMAGEN, the call is handled accordin g to system pro gramming. Generally, the call is forwarded directly to operator assistance. You can choose from a variety of alternative pro gramma- ble Automated Attendant service approaches, as described in detail in PROGRAMMING AUTOMATED ATTENDANT SERVICE FOR YOUR MAILBOX, under ADVANCED IMAGEN SUBSCRIBER FEATURES, below. 8 Executive set with expanded display GETTING STARTED WITH YOUR MAILBOX ENTERING YOUR MAILBOX You generally enter your mailbox from your own extension, usin g the IMAGEN access code that the system adminis- trator has defined. However, you can also enter your mail- box from any standard tone dial telephone. For example, if you are at home and want to listen to the messa ges you received at the office, you can dial the IMAGEN telephone number and then enter your mailbox.
