71Chapter2Using basic applications Creating memos (Memo Pad) You can use Memo Pad to make brief memos on your CLIE handheld. You can also display TXT or CSV (Comma Separated Value) document files created on your computer. A record in Memo Pad is called a “memo.” Note If the HOLD switch is in the protect position, you cannot operate your CLIE handheld. Creating a new memo A memo can contain up to 4,000 characters. The number of memos you can store is limited only by the memory available on your Sony handheld. 1Press the Memo Pad button on the front panel. Memo Pad starts up. Memo Pad opens to display the last Memo Pad screen that you viewed. Tip Press the Memo Pad button repeatedly to cycle through the categories in which you have memos. 2Tap New. A new memo is created. To move down to a new line, tap the Enter key when using the software keyboard or write when using Graffiti writing. 4Tap Done or press the BACK button when you finish. The first line of the memo is displayed. Tips • You can also create a new memo by beginning your memo in the Graffiti writing area on the Memo screen. The first letter is automatically capitalized and begins your new memo. • While entering text, the text may overlap the Done or Details buttons. 73Chapter2Using basic applications Reviewing memos The first line of a memo appears in the Memo List. This makes it easy to locate and review your memos. 1Press the Memo Pad button on the front panel. Memo Pad starts and the Memo list is displayed. 2Rotate the Jog Dial™ navigator to select the memo you want to view. If the desired memo is not displayed, rotate the Jog Dial navigator further to scroll up or down the memo list. 3Press the Jog Dial navigator. The content of the selected memo is displayed. If the memo text does not fit on the screen, rotate the Jog Dial navigator to scroll the screen. 4Press the Jog Dial navigator. The Memo list is displayed again. Creating memos (Memo Pad)
74Chapter2Using basic applications Viewing memos by category Press the Jog Dial navigator when the memo list is displayed but no memo is selected. Each time you press the Jog Dial navigator, the display toggles through all the available categories. Selecting the desired category from the categories list Tap the arrow V at the upper right corner of the screen to display the category list. You can select the desired category from the list. Sorting memos You can change the order in which Memo Pad shows your memos. 1Press the Memo Pad button on the front panel. Memo Pad starts and the Memo list is displayed. 2Tap the Menu icon. 75Chapter2Using basic applications 4Tap the desired order of the memos in the Sort by field. •Manual: Sorts the memos manually. •Alphabetic: Sorts the memos in numerical and then alphabetical order. 5Tap OK. To sort the memos manually In step 4, select Manual to activate manual sorting. Tap the memo you want to move in the Memo screen and drag it into the desired location. The memo is placed where you released the stylus. The memos are renumbered accordingly. Note A change in the order of the memos in Memo Pad does not affect their order in the Palm™ Desktop for CLIE software. 76Chapter2Using basic applications Editing memos Deleting a memo You can delete an unnecessary memo from Memo Pad. 1On the Memo Pad screen, tap the memo you want to delete. The contents of the memo you tapped appears. 2Tap Details. The Memo Details dialog box appears. 3Tap Delete. The Delete Memo dialog box appears. 4Tap OK to delete the memo. The selected record is deleted. To cancel deletion, tap Cancel. Tip If you select the “Save archive copy on PC” check box, the deleted memo will be saved onto the Palm Desktop for CLIE software on your computer during the next HotSync ® operation. In step 3 of “Deleting a memo,” tap the arrow V next to Category to display the list of available categories and then tap the desired category for the memo. Making a memo private You can hide a memo that you mark as private. If you define a password for your CLIE handheld, you must enter it to display private records. 1On the Memo Pad screen, tap the memo you want to mark as private. 2Tap Details. The Memo Details dialog box appears. 3Tap and select the Private check box. 4Tap OK. The memo is marked as private. 78Chapter2Using basic applications Using the Memo Pad menus This section explains the menu commands specific to Memo Pad. For the Edit menu, see “Using the Edit menu” on page 110. The Record and Options menus differ depending on the screen displayed. Record menus Beam CategorySends all the memos in the currently selected category to another Sony handheld via the infrared communications port. New MemoCreates a new memo. Delete MemoDeletes the current memo. The Delete Memo dialog box appears. Note By default, the memos that you delete are restored and saved in Palm Desktop for CLIE software on your computer at the next HotSync operation. To delete the memos completely, deselect the check box ( ) for “Save archive copy on PC” in the Delete Memo dialog box. Beam MemoSends the current memo to another Sony handheld via the infrared communications port. The Options menus FontYou can select a desired font in the Select Font dialog box. Phone LookupPhone Number Lookup screen appears. If there is an Address Book entry, you can look up the phone number of the selected memo. PreferencesSpecifies how the memos are displayed. The Memo Preferences screen appears. SecurityHides the current memo unless the password is entered. You can select the view option among Show Records, Mask Records, or Hide Records. 79Chapter2Using basic applications Managing expenses (Expense) You can use Expense for many disbursement purposes such as recording expenditures for business trips and personal expenses. A record in Expense is called an “item.” Recording a new Expense item Expense allows you to record the date, Expense type, and the amount you spent. You can sort Expense items into categories or add other information to an item. 1Rotate the Jog Dial™ navigator to select Expense and then press the Jog Dial navigator. Or tap the Expense icon on the Application Launcher screen. The Expense screen appears. 2Tap New. New Expense item is created. Continued on next page
80Chapter2Using basic applications 3Enter the amount of the expense. 4Tap –Expense Type– and select an Expense type from the drop-down list box. The item you entered in Step 4 is saved when you select an Expense Type. Note If you do not select an Expense type, the entered data will not be saved. Tip You can also create a new Expense item on the Expense screen by writing on the number side of the Graffiti ® writing area. The first number you write begins your new Expense item.
