Avanti 3020 and 3015D telephone sets 25 After listening to each message, you hear the LISTEN Menu: (Alternatively, you can ask your system administrator to pro gram your MAILBOX Menu so that you can access your messa ges in a slightly different manner.) In such a case, you listen to your new messa ges by select- in g {NEW MSGS} or [1] , and old messages can be heard by pressin g {OLD MSGS} or [6] , while future delivery mes- sa ges can be heard by dialing [8] . The LISTEN Menu is then played. 26 Avanti 3020 and 3015D telephone sets The above menu enables you to change the volume or speed of the messa ge you are listening to, or to repeat the messa ge with its header. If you select [1] -- New Messa ges, either from the MAIL- BOX Menu or the MESSAGE TYPE SELECTION Menu, you are informed how many of these were ta gged ‘Urgent’ by the sender. ‘Ur gent’ messages are played first and are prefixed by an URGENT! announcement. Once a mes- sa ge has been heard (and you press any button), its classi- fication chan ges to OLD, and can be reheard by selecting [2] from the MESSAGE TYPE SELECTION Menu. New confirmation messa ges are also contained in the ‘New messa ges’ category. Old confirmation messages can be heard by dialin g [4] in the MESSAGE TYPE SELEC- TION Menu. CHANGING AN OLD MESSAGE TO A NEW MESSAGE You may want a messa ge that you have already heard to be played to gether with your new messages. To change the status of a message from old to new 1. After listenin g to a message, select [6] from the LISTEN Menu; you receive the MORE LISTEN OPTIONS Menu. 2. Press [7] ; the messa ge is played with your new messages. PROGRAMMING CONTINUOUS LISTENING You may want to be able to listen to all your messa ges, without havin g to touch the dialpad to activate the next messa ge. This is particularly helpful if you have entered your mailbox from a cellular phone in your car, for example. To program Continuous Listening 1. Press [9] ; you receive the CONTINUOUS LISTENING Menu and have the followin g options: DETERMINING WHO A MESSAGE IS FROM AND WHEN YOU RECEIVED IT Each messa ge has an attached header, or time tag, con- tainin g the name or extension number of the person who sent the messa ge, and the data and time that the message was sent. The header is in the form of a recorded announcement, played before the messa ge itself if you have activated the header option. 28 Avanti 3020 and 3015D telephone sets To activate the header (time tag) option 1. Press {SET OPTION} or [4] in the MAILBOX Menu; you receive the MAILBOX OPTIONS Menu: 2. Press {HEADER} or [4] ; you receive the ACTIVATE/ DEACTIVATE Menu. 3. Dial [1] or press {ACTIVATE} to activate the option and dial [2] or press {DEACTIVATE} to deactivate the option. If the header option is deactivated, you can neverthe- less hear the time ta g for a particular message. To listen to the message header for a particular message 1. After listenin g to a message, select [6] from the LISTEN Menu; you receive the MORE LISTEN OPTIONS Menu. 2. Press [9] ; the messa ge is repeated with its time tag. VIEWING THE CONTENTS OF YOUR MAILBOX (3020 SET ONLY) This feature provides you with a visual listin g of all the messa ges currently stored in your mailbox. You can scroll throu gh the list and play a particular message without hav- in g to listen to all the preceding messages first. From the MAILBOX Menu, press {VISUAL LST} or [9] ; you receive a list, showin g how many messages you have in each of the cate gories: New, Old, Future, Ur gent. 2. Press the softkey adjacent to the messa ge category you wish to view. You receive a listin g of the messages contained in the selected cate gory: • The top line of your screen displays the mailbox name and number, the number of messa ges in the selected cate gory and the page number. Each subsequent line contains details of a particular messa ge. •The date the messa ge was sent is shown at the left of the screen. If the date is blinkin g, this indicates that the messa ge is urgent. •The time that the messa ge was sent appears in 24- hour format. •The name or telephone extension of the person who sent the messa ge appears next. If the message was left by an external caller, the telephone number of the external caller is displayed (if applicable to your sys- tem); otherwise, the ta g ‘EXTERNAL’ appears. The duration is recorded in minutes and multiple of 10 seconds (for example, a messa ge of 2 minutes and 32 seconds is shown as 2:3). If the mes- sa ge is more than ten minutes long, then the message duration is rounded to the nearest minute. Messa ges are listed in chronological order, with the first messa ge being the one most recently received. You can scroll up and down throu gh the listing by pressing the [LOW] (previous pa ge) and [HIGH] (next page) keys. To listen to a listed message 1. When the messa ge you wish to hear appears on the display, press the left softkey adjacent to the messa ge; the messa ge is played. After the messa ge has been completed, you hear the LISTEN Menu: Once you have dealt with the messa ge by either exer- cisin g one of the menu options or dialing [*] , you are returned to the visual messa ge display. Avanti 3020 and 3015D telephone sets 31 NOTE After a ‘new’ messa ge has been heard (and you press any button), it is transferred to the ‘old mes- sa ges’ category. However, if you dial [*] while lis- tenin g to a message, it remains in the ‘new’ cate gory. If you press the ri ght softkey adjacent to a message, then after listenin g to the message, you are returned to the reg- ular audio IMAGEN session, and not to the visual display. You can also leave the visual messa ge list and return to the re gular IMAGEN session by pressing {PREV} on the first pa ge of the display. RECOVERING A MESSAGE THAT YOU HAVE DELETED If you delete a messa ge, and then decide you require the messa ge after all, it is possible -- within 15 minutes after havin g listened to a message and deleted it -- to recover it. To recover a deleted message • Enter your mailbox and select [7] , the undelete mes- sa ges option, from the MAILBOX Menu; IMAGEN announces how many messa ges have been success- fully recovered, and you may listen to them by selectin g the OTHER MESSAGES option from the MAILBOX MENU. NOTE If the undelete messa ges option does not appear in the menu, this is because there are no deleted messa ges in your mailbox that are capable of bein g restored. 32 Avanti 3020 and 3015D telephone sets REPLYING TO A MESSAGE You can immediately reply to a messa ge as soon as you finish listenin g to it. To reply to a message you have just listened to 1. From the LISTEN Menu, press [4] ; you hear a recorded announcement: < Mailbox greeting>. Please state your message clearly, then dial pound [#] . Then you hear a tone. NOTE If the person who left the messa ge did so from out- side the system -- for example, your boss called from home to leave you a messa ge -- you hear a recorded announcement: This message arrived from an outside caller -- Please enter mailbox number . (If you do not know the mailbox number, you can- not reply to the messa ge. Dial [#] , and the system continues playin g your other messages.) 2. State your reply to the messa ge clearly. While you are recordin g the {ADD TIME} and {END OF MSG} soft- keys appear. You can add recordin g time by pressing the {ADD TIME} softkey. 3. COPYING OR TRANSFERRING A MESSAGE TO ANOTHER MAILBOX You can copy or transfer a messa ge someone sent you into another mailbox or mailbox group. If you copy it, a copy remains in your mailbox. If you transfer the messa ge, it is sent to another mailbox or mailbox group and erased from your mailbox. To copy or transfer a messa ge, you must first be listening to it. 1. When you hear a messa ge you want to copy or trans- fer, press [5] ; you receive the COPY/SEND Menu: 2. Press {COPY MSG} or [1] and the mailbox number, or {TRANSF MSG} or [2] and the mailbox number, to copy or transfer the messa ge to a single mailbox. Simi- larly, to copy or transfer messa ges to mailbox groups, dial [3] or [4] and enter the group number. Press {SKIP} or [2] ; IMAGEN informs you that the mes- sa ge has been copied or sent to the appropriate mail- box or mailbox group; or Press {CANCEL} or [3] if you want to abort the send/ copy procedure; or Press [4] if you want to ta g your message prior to send- in g; you receive the SEND/COPY OPTIONS Menu: Select the attribute you want to attach to the messa ge by pressin g the corresponding number or softkey; you can attach any or all of the attributes in this fashion. Select [2] from the previous menu to complete the send/copy procedure.
