CHAPTER 14 BROTHER NETWORK PC FAX SOFTWARE 14-9 Sending a File as a PC FAX Using the Simple Style 1. Create a file in Word, Excel, Paint, Draw, or any other application on your PC. 2. From the File menu, select Print. 3. The Print dialog box will appear: 4. Select Brother PC-FAX as your printer, and then click OK. 5. The FAX Sending dialog box will appear: 6. In the To: field, type the fax number of the receiving party. By click To: button, you can also use the Address Book to select destination fax numbers. If you made a mistake entering a number, click the Clear button to clear all entries. 7. To send a Cover Page and note, click the Cover page On check box. 8. When you are ready to send your fax, click the Send icon. 9. If you wish to cancel the fax, click the icon.

From the File menu, select Print. The Print dialog box will appear: 3. Select Brother PC-FAX as your printer, and then click OK. The FAX Sending dialog box will appear: 4. Enter a telephone number by using any of the following methods: a. Enter the number using the numeric keypad. b. Click any of the 10 Speed Dial buttons. c. Click the Address Book button, and then select a Member or Group from the Address Book. If you make a mistake you can use the Clear button to clear all the entries. 5. To include a cover page, check the Cover Page On. You can also click the icon to create or edit an existing cover page. 6. Click Start to send the fax. 7. If you wish to cancel the fax, click Stop. Redial: If you wish to redial a number, press Redial to scroll through the last five fax numbers.
CHAPTER 14 BROTHER NETWORK PC FAX SOFTWARE 14-11 Updating other FAX/MFC’s through the Network It is possible to program Brother FAX/MFC’s on the network with either settings from an already programmed FAX/MFC or with data from the Brother Network PC Fax Address Book. When Brother Network PC Fax in used from a PC that has BRAdmin Professional installed, an extra option appears in BRAdmin. By selecting a networked FAX/MFC in the BRAdmin main window and right clicking it you will be presented with an extra option, Configure Address Book. When you select this option BRAdmin reads the telephone settings from that machine (if there are any programmed) into Brother PC Fax Address Book. Illustrated below is the Brother Address Book, on the left are One Touch / Speed Dial numbers read from the machine. On the right is the Brother Address Book. It is now possible to allocate One Touch / Speed Dial numbers from the FAX/MFC into the Brother Address Book and also use members of the Brother Address Book and send them to the FAX/MFC. You can now make changes to the data in the Brother Network PC Fax Address Book and click OK.
CHAPTER 14 BROTHER NETWORK PC FAX SOFTWARE 14-12 This data is then stored in the Windows Temp Folder and can be used to update singular or multiple FAX/MFC’s on the network. Highlight singular or multiple networked Brother FAX/MFC’s in the main BRAdmin window by highlighting and pressing the shift key on your keyboard. Right click the highlighted FAX/MFC’s and press Send Address Book Data. The new data is then sent to all the highlighted FAX/MFC’s. A dialogue box is displayed showing the upload status of current FAX/MFC and beneath this the whole progress is displayed if updating multiple FAX/MFC’s.
CHAPTER 14 BROTHER NETWORK PC FAX SOFTWARE 14-13 When the process is finished a dialogue box is displayed showing which FAX/MFC’s on the network have been updated. Sending a Fax from Your Macintosh® Application You can send a fax directly from your Macintosh® application using the following steps: 1. From the Apple menu, open the Chooser. 2. Click HL-1200/MFL Pro icon. On the right side of the Chooser, click the printer to which you want to print. Close the Chooser. 3. To begin the fax transmission, select Print from the File menu. The Printer dialog box appears: When Printer is selected, the top button shows Print and the Address button is grayed. To connect with AppleTalk ®, it is necessary to show printer’s AppleTalk® service name in the Connect to list box. The default node name will be BRN_XXXXXX_P1, where “XXXXXX” is the last six digits of the Ethernet address (MAC address). You can find the node name and MAC address by printing out the FAX/MFC configuration page. Refer to the NC-8100h Quick Setup Guide for information on how to print the configuration page on your Print/Fax server. 4. From the Output pop-up menu, select Facsimile. When Facsimile is selected, the top button shows Send Fax and the Address button is available. 5. Click Send Fax. The Send Fax dialog box appears: The Send Fax dialog box has two list boxes. The left box shows all the previously Stored Fax Numbers; the right box will show the Destination Fax Numbers as you select them. 6. To address the fax, type a fax number in the Input Fax Number box. —OR— Select a name/number from the Stored Fax Numbers box, and then click >>. Your recipient will appear in the Destination Fax Numbers box. Note: You can select several stored numbers at once by using the Shift and Ctrl keys.

If you want to, you can add your new recipients to the Stored Fax Number at this time by clicking New. —OR— You can add a new group by clicking Group. 8. If you are finished addressing your fax, click Send Fax. Click OK to return to the Send Fax dialog box. To select and send only certain pages of the document, enter the page numbers in the From and To : boxes in the Facsimile dialog box. If you click Send Fax without addressing your fax, the following error message appears: Setting Up Your Address Book You can add new members and groups to your Address Book, even while you are addressing a fax. Adding a New Member 1. To add a new member to the Address Book, in the Facsimile dialog box clic Address. The Address Book dialog box appears: 2. Click New. The following dialog box appears: 3. Type the name and fax number. 4. If you want to, you can store a comment in the Memo field if you wish (up to 15 characters). 5. Click OK to return to the Address Book dialog box. Adding a New Group You can set up a group of multiple recipients. 1. Click Group. The Group Setting dialog box appears. 2. In the Group Name field, type a name for your Group. 3. From the Stored Fax Numbers box select the recipients for your Group, and then click. Your selection will appear in the box under the Group Name field. 4. Click OK. The Address Book dialog box reappears: 5. Click OK. The Print/Facsimile dialog box reappears: 6. If you are ready to send your fax, click Send Fax.
CHAPTER 15 Brother BFP Software 15-1 15 151CHAPTER FIFTEEN Brother BFP Software Brother Internet Fax Printing Software Overview Depending on your network configuration and application requirements for sending faxes via a network, you can choose between Brother Network PC FAX Software or Brother Internet Fax Printing Software. With either software, viewable document such as web pages, word documents, PDF documents can be sent from the users desktop to any standard Facsimile machines, Internet fax machines and E-mail addresses. Brother Internet Fax Printing Software (BFP) is a Windows ® 95/98/Me, Windows® NT® and Windows® 2000/XP *1 software utility that gives network PC Fax and Internet Fax functionality from the desktop to users on your network or over the Internet. BFP utilizes SMTP as the transport for sending documents from your PC. This allows any PC supported by a SMTP mail server to send an Internet FAX even if that PC does not have direct access to the networked FAX/MFC. Brother Network PC Fax Software utilizes LPR as the transport for sending documents from your PC to the networked FAX/MFC for transmission. This requires that the sending PC has access to the network that the sending FAX/MFC is connected. *1 Windows® XP users must download the Windows® XP version of the BFP Software. CHAPTER 15 Brother BFP Software 15-2 Installing Brother Internet Fax Printing Driver Insert the CDROM supplied with your Brother FAX/MFC into your CD-ROM Drive. The installer screen will automatically start. 1. Select Install Software. 2. Select Network Applications for Optional NC-8100h. 3. Highlight Brother Internet Fax Printing (BFP) Driver. 4. Click Install. Next you will be presented with the licensing agreement, please carefully read the agreement and make the necessary choice. The next step requires you to specify the location you wish to install the BFP files. Brother suggests you accept the default. Figure 2 Default path for installation files Important Information: If the installer screen does not appear automatically select Start | Run and type X:/setp.exe (X:/ should be the drive letter of your CD ROM drive on your PC)
CHAPTER 15 Brother BFP Software 15-3 During the installation you are presented with the following screen, select the default unless you have previously installed this software. If this is the case use a port number that has not been previously configured. Example BFP2 Figure 3 BFP Port Number You also need to enter certain information into the printer driver dialog screen as illustrated below. Figure 4 Port Settings It is very important that you enter your own E-mail address. You also need to configure the SMTP mail server IP address or host name as illustrated above. If in any doubt contact your Network Administrator for assistance Here you can enter the default E-mail address NC-8100h or you can leave it blank. *If an address is specified here this will always be used as default sending address. This can be the host name or IP address of the E-mail server When Installing BFP on Windows® NT4.0 and 2000 operating systems we recommend that you add a “:” to the end of the port name so BFP1 = BFP1:
CHAPTER 15 Brother BFP Software 15-4 Changing the BFP Port Settings If you have more than one networked FAX/MFC with an NC-8000 or NC-8100h Print/Fax Server you may want to change the settings of the BFP software to use an alternative machine as the network fax print server. To alter BFP settings, select Start | Settings | Printers to open the Printers dialogue box. From the Printers Windows ® illustrated below highlight the Brother Internet Fax driver and right click the mouse. From the list presented select Properties. Figure 5 BFP Settings You are now presented with the screen below, which allows you to configure the BFP settings. To change the details of the print server that receives the fax for onward sending select the details tab.
