49 6 6 Receive modes6 You must choose a receive mode depending on the external devices and telephone services you have on your line. Choose the Receive Mode6 By default, your machine will automatically receive any faxes that are sent to it. The diagram below will help you choose the correct mode. For more detailed information on the receive modes, see Using receive modes on page 50. To set a receive mode follow the instructions below. aPress Menu. bPress aor b to choose Initial Setup . Chapter 6 50 Using receive modes6 Some receive modes answer automatically ( Fax Only and Fax/Tel ). You may want to change the ring delay before using these modes. (See Ring Delay on page 51.) Fax only6 Fax only mode will automatically answer every call as a fax call. Fax/Tel6 Fax/Tel mode helps you automatically manage incoming calls, by recognizing whether they are fax or voice calls and dealing with them in one of the following ways: „ Faxes will be automatically received. „ Voice calls will start the F/T ring to tell you to pick up the line. The F/T ring is a fast double ring made by your machine. (Also see F/T Ring Time (Fax/Tel mode only) on page 51 and Ring Delay on page 51.) Manual6 To receive a fax in manual mode lift the handset of an external telephone. When you hear fax tones (short repeating beeps), press Mono Start or Colour Start and choose Receive . You can also use the Fax Detect feature to receive faxes by lifting a handset on the same line as the machine. (Also see Fax Detect on page 52.) External TAD6 External TAD mode lets an external answering device manage your incoming calls. Incoming calls will be dealt with in one of the following ways: „ Faxes will be automatically received. „ Voice callers can record a message on the external TAD. (For more information see Connecting an external TAD (telephone answering device) on page 71.) Note • When changing your Receive Mode, if the message appears DR Mode in Use , please go to page 65 to turn Distinctive Ring Off. Then return to change your receive mode. • Do not turn off Distinctive Ring if you are subscribed to FaxStream ® Duet®.
Receiving a Fax51 6 Receive mode settings6 Ring Delay6 The Ring Delay sets the number of times the machine rings before it answers in Fax Only or Fax/Tel mode. If you have external or extension telephones on the same line as the machine choose the maximum number of rings. (See Operation from extension telephones on page 73 and Fax Detect on page 52.) aPress Menu. bPress aor b to choose Fax. Press OK. cPress aor b to choose Setup Receive . Press OK. dPress aor b to choose Ring Delay . ePress dor c to choose how many times the line rings before the machine answers ( 2-10 for Australia, 1-10 for New Zealand, 0-10 for some countries). Press OK. If you choose 0, the line will not ring at all. fPress Stop/Exit . F/T Ring Time (Fax/Tel mode only)6 When somebody calls your machine, you and your caller will hear the normal telephone ring sound. The number of rings is set by the ring delay setting. If the call is a fax, then your machine will receive it; however, if it is a voice call the machine will sound the F/T ring (a fast double-ring) for the time you have set in the F/T ring time setting. If you hear the F/T ring it means that you have a voice caller on the line. Because the F/T ring is made by the machine, extension and external telephones will not ring; however, you can still answer the call on any telephone. (For more information see Using remote codes on page 73.) aPress Menu. bPress aor b to choose Fax. Press OK. cPress aor b to choose Setup Receive . Press OK. dPress aor b to choose F/T Ring Time . ePress dor c to choose how long the machine will ring to alert you that you have a voice call (20, 30, 40 or 70 seconds for Australia and some countries, 20, 30, 40 or 55 seconds for New Zealand). Press OK. fPress Stop/Exit . Note Even if the caller hangs up during the pseudo/double-ringing, the machine will continue to ring for the set time.
Chapter 6 52 Fax Detect6 If Fax Detect is On:6 Fax Detect is turned On as default. The machine receives a fax call automatically, even if you answer the call. When you see Receiving on the LCD or when you hear “chirps” through the handset you are using, just replace the handset. Your machine will do the rest. If Fax Detect is Off:6 If you are at the machine and answer a fax call by lifting the handset, press Mono Start or Colour Start , then press 2 to receive the fax. If you answered at an extension telephone, press l 5 1 (l 9 1 for New Zealand). (See Operation from extension telephones on page 73.) Note • If this feature is set to On, but your machine does not connect a fax call when you lift an extension or external telephone handset, press the remote activation code l 5 1 ( l 9 1 for New Zealand). • If you send faxes from a computer on the same telephone line and the machine intercepts them, set Fax Detect to Off. aPress Menu. bPress aor b to choose Fax. Press OK. cPress aor b to choose Setup Receive . Press OK. dPress aor b to choose Fax Detect . ePress dor c to choose On (or Off ). Press OK. fPress Stop/Exit . Additional receiving operations 6 Printing a reduced incoming fax6 If you choose On, the machine automatically reduces each page of an incoming fax to fit on one page of A4, Letter or Legal size paper. The machine calculates the reduction ratio by using the page size of the fax and your Paper Size setting. (See Paper Size and Type (MFC-5890CN only) on page 26 or Paper Size and Type (MFC-6490CW only) on page 27.) aPress Menu. bPress aor b to choose Fax. Press OK. cPress aor b to choose Setup Receive . Receiving a Fax53 6 Setting Receiving Priority6 If a A3 Colour fax is sent to your machine, your machine will receive either a A3 mono fax or a A4 Colour fax depending on the Receiving Priority setting. If you choose Mono(Max.A3), you will receive a A3 mono fax. If you choose Colour(Max.A4), you will receive a A4 Colour fax. Note The default setting is Mono(Max.A3), so the machine cannot receive A4 colour fax by default. 1These results may vary depending on the sending machines ability. aPress Menu. bPress aor b to choose Fax. Chapter 6 54 Printing a fax from the memory6 If you have chosen fax storage, you can still print a fax from the memory when you are at your machine. If you have chosen Fax Preview , see Fax Preview (Monochrome only) on page 58. aPress Menu. bPress aor b to choose Fax. Press OK. cPress aor b to choose Print Document . Press OK. dPress Mono Start . ePress Stop/Exit . Note When you print a fax from the memory, the fax data will be erased. Out of Paper Reception6 As soon as the paper tray becomes empty during fax reception, the LCD shows No Paper Fed . Put some paper in the paper tray. (See Loading paper and other print media on page 9.) The machine will carry on receiving the fax, with the remaining pages being stored in memory, if enough memory is available. Further incoming faxes will also be stored into memory until the memory is full. When the memory is full the machine will stop automatically answering calls. To print the faxes, put fresh paper in the tray. Memory Receive (Monochrome only) 6 You can only use one Memory Receive operation at a time: „ Fax Forwarding „ Fax Storage „ PC Fax Receive „ Off You can change your selection at any time. If received faxes are still in the machine’s memory when you change the Memory Receive operations, a message will appear on the LCD. (See Changing Memory Receive Operations on page 58.) Note When you receive a colour fax, the machine will treat the data as a colour or monochrome fax depending on the Receive Priority setting. (See Setting Receiving Priority on page 53.)
Receiving a Fax55 6 Fax Forwarding6 When you choose Fax Forward, your machine stores the received fax in the memory. The machine will then dial the fax number you have programmed and forward the fax message. aPress Menu. bPress aor b to choose Fax. Press OK. cPress aor b to choose Setup Receive . Press OK. dPress aor b to choose Memory Receive . Press OK. ePress aor b to choose Fax Forward . Press OK. fEnter the forwarding number (up to 20 digits). Press OK. gPress aor b to choose Backup Print:On or Backup Print:Off . Press OK. Note • If you choose Backup Print:On , the machine will also print the fax at your machine so you will have a copy. This is a safety feature in case there is a power failure before the fax is forwarded or a problem at the receiving machine. This Backup Print:On feature will not work if Fax Preview is on. • The machine can store faxes approximately 24 hours if there is a power failure. hPress Stop/Exit . Fax Storage6 If you choose Fax Storage, your machine stores the received fax in the memory. You will be able to retrieve fax messages from another location using the remote retrieval commands. If you have set Fax Storage, a backup copy will automatically be printed at the machine. aPress Menu. bPress aor b to choose Fax. Press OK. cPress aor b to choose Setup Receive . Press OK. dPress aor b to choose Memory Receive . Press OK. ePress aor b to choose Fax Storage . Press OK. fPress Stop/Exit .
Chapter 6 56 PC Fax Receive6 If you turn on the PC-Fax Receive feature your machine will store received faxes in memory and send them to your PC automatically. You can then use your PC to view and store these faxes. Even if you have turned off your PC (at night or on the weekend, for example), your machine will receive and store your faxes in its memory. The number of received faxes that are stored in the memory will appear at the bottom left side of the LCD. When you start your PC and the PC-FAX Receiving software runs, your machine transfers your faxes to your PC automatically. To transfer the received faxes to your PC you must have the PC-FAX Receiving software running on your PC. (For details, see PC-FAX receiving in the Software User’s Guide on the CD-ROM.) If you choose Backup Print:On the machine will also print the fax. aPress Menu. bPress aor b to choose Fax. Press OK. cPress aor b to choose Setup Receive . Press OK. dPress aor b to choose Memory Receive . Press OK. ePress aor b to choose PC Fax Receive . Press OK. fPress aor b to choose or the PC you want to receive. Press OK. gPress aor b to choose Backup Print:On or Backup Print:Off . Press OK. hPress Stop/Exit . Note • PC Fax Receive is not supported in the Mac OS ®. • Before you can set up PC Fax Receive you must install the MFL-Pro Suite software on your PC. Make sure your PC is connected and turned on. (For details see PC-FAX receiving in the Software User’s Guide on the CD-ROM.) • In the event of a power failure, the machine will store your faxes in the memory for approximately 24 hours. However, if you choose Backup Print:On the machine will print the fax, so you will have a copy if there is a power failure before it is sent to the PC. • If you get an error message and the machine cannot print the faxes in memory, you can use this setting to transfer your faxes to your PC. (For details, see Error and Maintenance messages on page 153.)

Chapter 6 58 Changing Memory Receive Operations6 If received faxes remain in your machine’s memory when you change the Memory Receive Operations, the LCD will ask you one of the following questions: „ Erase All Doc? Yes iPress 1 No iPress 2 „ Print All Fax? Yes iPress 1 No iPress 2 • If you press 1, faxes in the memory will be erased or printed before the setting changes. If a backup copy has already been printed it will not be printed again. • If you press 2, faxes in the memory will not be erased or printed and the setting will be unchanged. If received faxes are left in the machines memory when you change to PC Fax Receive from another option [ Fax Forward or Fax Storage ], press a or b to choose the PC. The LCD will ask you the following question: „ Send Fax to PC? Yes iPress 1 No iPress 2 • If you press 1, faxes in the memory will be sent to your PC before the setting changes. You will be asked if you want to turn on Backup Print. (For detail, see PC Fax Receive on page 56.) • If you press 2, faxes in the memory will not be erased or transferred to your PC and the setting will be unchanged. Fax Preview (Monochrome only) 6 How to preview a received fax6 You can view received faxes on the LCD by pressing the Fax Preview key. When the machine is in Ready mode, a popup message will appear on the LCD to alert you of new faxes. Setting Fax Preview6 aPress Fax Preview . bPress 1 to choose Yes. LCD asks you again to make sure that faxes will not be printed. Press 1 to choose OK. Note • When you receive colour fax, the machine will treat the data as colour fax or monochrome fax depend on your setting for Memory Receive. (See Setting Receiving Priority on page 53.) • When Fax Preview is turned On, a backup copy of received faxes will not be printed, even if you have set Backup Print On. • (For Singapore and Hong Kong) Fax Preview is not available when Fax Forwarding is turned on.
