Telephone and External devices 41 7 External and extension telephones 7 Connecting an external or extension telephone7 You can connect a separate telephone as shown in the diagram below. 1 Extension telephone 2 External telephone When you are using an external telephone, the LCD shows Telephone. Operation from extension telephones7 If you answer a fax call on an extension or an external telephone plugged into the correct socket on the machine, you can make your machine take the call by using the Remote Activation Code. When you press the Remote Activation Code l51, the machine starts to receive the fax. If the machine answers a voice call and pseudo/double-rings for you to take over, use the Remote Deactivation Code #51 to take the call at an extension telephone. (See F/T Ring Time (Fax/Tel mode only) on page 34.) If you answer a call and no one is on the line: 7 You should assume that youre receiving a manual fax. Press l 51 and wait for the chirp or until the LCD shows Receiving, and then hang up. Note You can also use the Fax Detect feature to make your machine automatically take the call. (See Fax Detect on page 35.) Using extension telephones (For U.K. only)7 Your premises may already be wired with parallel extension telephones, or you may plan to add extension telephones to your line, as well as your machine. While the simplest arrangement is a straightforward parallel connection, there are some problems with this arrangement, the most obvious of which is inadvertent interruption of a facsimile transmission caused by someone picking up an extension telephone to make an outgoing call. Also, Remote Activation Code may not operate reliably in such a simple configuration. This machine may also be set to make a delayed transmission (i.e. a transmission at a pre-set time). This pre-set job may coincide with someone picking up an extension handset. These problems can easily be eliminated, if you arrange modification of your extension wiring circuit, such that extension devices are connected ‘downstream’ of your machine in a master/slave configuration (see fig. 2). In this configuration the machine can always detect whether a telephone is in use. Thus it will not attempt to seize the line during that time. This is known as ‘telephone off-hook detection.’ The inadvisable configuration is shown in figure 1, and the recommended master/slave configuration is shown in figure 2. 1 2
Chapter 7 42 This new connection configuration can be arranged by contacting BT, Kingston upon Hull Telecommunications, your PBX maintainer or a qualified telephone installation company as appropriate. Simply explained, the extension telephone circuit should be terminated on a normal modular plug (BT 431A style), which in turn should be put into the modular socket of the white ‘T’-shaped connector provided as part of the line cord assembly. Note These telephones are now connected as external devices (see Connecting an external or extension telephone on page 41), because they are connected to the fax machine via the T-connector. Using a cordless external telephone7 Once the base unit of the cordless telephone has been connected to the same telephone line as the machine (see External and extension telephones on page 41), it is easier to answer calls during the Ring Delay if you carry the cordless handset around with you. If you let the machine answer first, you will have to go to the machine so you can press Tel/R to send the call to the cordless handset. Using remote codes7 Remote Activation Code7 If you answer a fax call on an extension telephone, you can tell your machine to receive it by dialling the Remote Activation Code 51. Wait for the chirping sounds then replace the handset. (See Fax Detect on page 35.) If you answer a fax call at the external telephone, you can make the machine receive the fax by pressing Mono Start. Remote Deactivation Code7 If you receive a voice call and the machine is in F/T mode, it will start to sound the F/T (double) ring after the initial ring delay. If you pick up the call on an extension telephone you can turn the F/T ring off by pressing #51 (make sure you press this between the rings). If the machine answers a voice call and pseudo/double rings for you to take over, you can take the call at the external telephone by pressing Tel/R. FAX 112 3 FAX 11 2 3
Telephone and External devices 43 7 Changing the remote codes7 If you want to use Remote Activation, you have to turn on the remote codes. The preset Remote Activation Code is 51. The preset Remote Deactivation Code is #51. If you want to, you can replace them with your own codes. aPress Menu, 2, 1, 4. 1.Setup Receive 4.Remote Codes bPress aorb to choose On (or Off). Press OK. cEnter the new Remote Activation Code. Press OK. dEnter the new Remote Deactivation Code. Press OK. ePress Stop/Exit. Note • If you are always disconnected when accessing your external TAD remotely, try changing the Remote Activation Code and Remote Deactivation Code to another three-digit code using the numbers 0-9, , #. • Remote Codes might not work with some telephone systems.
44 8 How to Dial8 Manual dialling8 Press all of the digits of the fax or telephone number. Speed Dialling8 aPress (Speed Dial). bPress OK and the # (hash) key, and then the two digit Speed Dial number using the dial pad. Note If the LCD shows Not Registered when you enter a Speed Dial number, a number has not been stored at this location. Search8 You can search for names you have stored in the Speed Dial memory. aPress (Speed Dial). bPress aorb to choose Search. Press OK. cDo one of the following: „To search numerically, press aorb to choose the number, and then press OK. „To search alphabetically, enter the first letter of the name using the dial pad, then press dorc to choose the name, and then press OK. Fax Redial8 If you are sending a fax manually and the line is busy, press Redial/Pause, and then press Mono Start or Colour Start to try again. If you want to make a second call to the last number dialled, you can save time by pressing Redial/Pause and Mono Start or Colour Start. Redial/Pause only works if you dialled from the control panel. If you are sending a fax automatically and the line is busy, the machine will automatically redial up to three times at five minute intervals. Note In Real Time Transmission the automatic redial feature does not work when using the scanner glass. Dialling and storing numbers8
Dialling and storing numbers 45 8 Storing numbers8 You can set up your machine to do the following types of easy dialling: Speed Dial and Groups for broadcasting faxes. When you dial a Quick Dial number, the LCD shows the name, if you stored it, or the number. Note If you lose electrical power, the Quick Dial numbers that are in the memory will not be lost. Storing a pause8 Press Redial/Pause to put a 3.5-second pause between numbers. If you are dialling overseas, you can press Redial/Pause as many times as needed to increase the length of the pause. Storing Speed Dial numbers8 You can store up to 40 2-digit Speed Dial locations with a name. When you dial you will only have to press a few keys (For example: Speed Dial, OK, #, the two-digit number, and Mono Start or Colour Start). aPress (Speed Dial) and aorb to choose Set Speed Dial. Press OK. bUse the dial pad to enter a 2-digit Speed Dial location number (01-40). Press OK. cEnter the fax or telephone number (up to 20 digits). Press OK. dDo one of the following: „Enter the name (up to 16 characters) using the dial pad. Press OK. (To help you enter letters, see Entering Text on page 119.) „To store the number without a name, press OK. eDo one of the following: „To store another Speed Dial number, go to stepb. „To finish the setting, press Stop/Exit. Changing Speed Dial numbers8 If you try to store a Speed Dial number where a number has already been stored, the LCD will show the name or number that has been stored there, and will ask you to do one of the following: #05:MIKE 1.Change 2.Exit „Press 1 to change the stored number. „Press 2 to exit without making a change. If you chose 1, you will be able to change the stored number and name, or enter a new one. Follow the instructions below: aEnter a new number. Press OK. bEnter a new name. Press OK. „To change a character, use dorc to position the cursor under the character you want to change, then press Clear/Back. Re-enter the character. „To finish the setting, press Stop/Exit.
Chapter 8 46 Setting up groups for broadcasting8 Groups, which can be stored in a Speed Dial location, allow you to send the same fax message to many fax numbers by pressing only (Speed Dial), Search, OK, #, the two-digit location and Mono Start. First, youll need to store each fax number in a Speed- Dial location. Then you can include them as numbers in the Group. Each Group uses up a Speed Dial location. You can have up to six Groups, or you can assign up to 39 numbers in a large Group. (See Storing Speed Dial numbers on page 45 and Broadcasting (Monochrome only) on page 27.) aPress (Speed Dial) and aorb to choose Setup Groups. Press OK. bUse the dial pad to enter the two-digit Speed Dial number where you want to store the Group. Press OK. cUse the dial pad to enter a Group number (1 to 6). Press OK. Setup Group:G0_ dTo add Speed Dial numbers follow the instructions below: For example, for Speed Dial numbers 05 and 09. Press (Speed Dial), 05, (Speed Dial), 09. The LCD shows: G01:#05#09 ePress OK when you have finished adding numbers. fUse the dial pad to enter a name for the Group. Press OK. Note You can easily print a list of all your Speed Dial numbers. Numbers that are part of a group will be marked in the GROUP column. (See How to print a report on page 48.) Combining Quick Dial numbers8 Sometimes you may want to choose from several long distance carriers when you make a call. Rates may vary depending on the time and destination. To take advantage of low rates, you can store the access codes of long-distance carriers and credit card numbers as Speed Dial numbers. You can store these long dialling sequences by dividing them and setting them up as separate Speed Dial numbers in any combination. You can even include manual dialling using the dial pad. (See Storing Speed Dial numbers on page 45.) For example, you might have stored ‘555’ on Speed Dial #03 and ‘7000’ on Speed Dial #02. You can use them both to dial ‘555-7000’ if you press the following keys: (Speed Dial), OK, #03, (Speed Dial), #02, and Start. To temporarily change a number, you can substitute part of the number with manual dialling using the dial pad. For example, to change the number to 555-7001 you could press the following keys: (Speed Dial), OK, #03, 7, 0, 0, 1 (on the dial pad), and Start. You can also add a pause by pressing the Redial/Pause key.
47 9 9 Fax reports9 You need to set up the Transmission Verification Report and Journal Period using the Menu key. Transmission Verification Report9 You can use the Transmission Report as proof that you sent a fax. This report lists the time and date of transmission and whether the transmission was successful (OK). If you choose On or On+Image, the report will print for every fax you send. If you send a lot of faxes to the same place, you may need more than the job numbers to know which faxes you must send again. Choosing On+Image or Off+Image will print a section of the faxs first page on the report to help you remember. When the Verification Report is turned Off or Off+Image , the Report will only print if there is a transmission error, and the fax could not be sent. If you choose On+Image or Off+Image the image will only appear on the Transmission Verification Report if Real Time Transmission is set to Off. (See Real time transmission on page 30.) aPress Menu, 2, 3, 1. bPress aorb to choose Off+Image, On, On+Image or Off. Press OK. cPress Stop/Exit. Fax Journal (activity report)9 You can set the machine to print a journal at specific intervals (every 50 faxes, 6, 12 or 24 hours, 2 or 7 days). If you set the interval to Off, you can still print the report by following the steps in Reports on page 48. The default setting is Every 50 Faxes. aPress Menu, 2, 3, 2. bPress aorb to choose an interval. Press OK. (If you choose 7 days, the LCD will ask you to choose the first day for the 7-day countdown.) „6, 12, 24 hours, 2 or 7 days The machine will print the report at the chosen time and then erase all jobs from its memory. If the machines memory is filled with the maximum 200 jobs before the time you chose has passed, the machine will print the Journal early and then erase all jobs from the memory. If you want an extra report before it is due to print, you can print it without erasing the jobs from the memory. „Every 50 Faxes The machine will print the Journal when the machine has stored 50 jobs. cEnter the time to start printing in 24-hour format. Press OK. (For example: enter 19:45 for 7:45 PM.) dPress Stop/Exit. Printing Reports9
Chapter 9 48 Reports9 The following reports are available: 1.XMIT Verify Prints a Transmission Verification Report for your last transmission. 2.Help List A help list showing how to program your machine. 3.Quick Dial Lists names and numbers stored in the Speed Dial memory, in numerical order. 4.Fax Journal Lists information about the last incoming and outgoing faxes. (See Loading documents on page 17.) cPress Mono Start or Colour Start. Making multiple copies10 You can make up to 99 copies in one print run. aMake sure you are in Copy mode . bLoad your document. (See Loading documents on page 17.) cUse the dial pad to enter the number of copies (up to 99). dPress Mono Start or Colour Start.
